3 Protection of the Environment 01 Introduction About this guide This guide is written to help you connect to Maddocks' Virtual Desktops. The main text provides detailed instructions for installing the software you will need, and the side-bar contains helpful hints and tips (Charcoal grey boxes)and important warnings (Red boxes). Where relevant we've d a handy logo to mark what computer system we're referring to. What is Virtual Desktops? Virtual Desktops is a way of accessing your files, messages and appointments from out of the office, or from a laptop when you're away from your desk in a meeting. With Virtual Desktops, it's just like you're on a Maddocks PC the IT Help Desk can even remote your Virtual PC and assist you with issues as if you were in the office! Why do I need it? Flexibility. With a Virtual PC, you can work as if you were in the office from pretty much anywhere with a reasonable quality internet connection. At home, when you're having a coffee while waiting for the kids to get out of school, at the airport, on the Shinkansen as you pass Mount Fuji... The possibilities are endless as long as you're connected to the internet. What do I need to run it? You need a desktop or laptop computer running one of the operating systems listed below, and a broadband internet connection running at a bare minimum of 512kbps. A faster internet connection will give you more reliability and smoother experience. Also, it is best for stability and reliability to a wired network cable where possible while you may be fine using wireless at home or a G/4G "dongle" on the road, most of the

4 4 issues reported seem to be down to a bad connection and wireless can exacerbate this. Your computer must be running one of the following operating systems: Checking specs for Windows 7 OS Version Edition Click the Start or Windows button at the bottom left of the screen. Microsoft Windows 7 2bit, 64 bit Home Professional Ultimate Enterprise Microsoft Windows 8 2bit, 64 bit Windows 8.1 Windows 8.1 Pro Right-click "Computer" or "My Computer" in the Start Menu Click "Properties" A summary of your PC's specifications appears. Windows XP is considered obsolete and a security risk. If you have a computer running Windows Vista, Virtual Desktops may work but is unsupported. 5 5 02 Installing on a Windows PC IMPORTANT Update your PC Please make sure all Windows Updates are applied. Virtual Desktops is only supported on the Internet Explorer browser. Logging in for the first time To access Virtual Desktop Infrastructure (VDI) you will need to go to online.maddocks.com.au (note: do not type www) Login with your Maddocks rname and password. After login, Click on Maddocks Desktop as shown below A security window will pop up, select 'Run.' 5

6 6 When the Setup Control window appears, select 'Always' The security system will detect that you need the viewer, so select Click here to Continue : 6

7 7 Downloading the VMware Horizon View client You should now have a new window, with download options for the VMware Client. This page is located at: Choose either the client for 2-bit or 64-bit Windows as 2bit? 64bit? HUH? If you are unsure what you have go to appropriate. Please see the box for more details. Click the link Start, when you know which one you need. RIGHT-CLICK "Computer" Click Properties. When the File Download box appears, select Save. Under System -> System Type it will say "2-bit" or "64-bit". Desktop is a convenient place to save in this instance, so click on 'Desktop' and then select 'Save'. The download will take a few minutes depending on your Internet speed. When the "Download Complete" screen pops up. Select Run 7

8 8 Next select Run Installing the VMware viewer The "Welcome Screen" appears, select Next Select I accept the terms in the license agreement, and then click the 'Next' button. 8

9 9 In the "Custom Setup" window, select Log in as current r and change to This feature will not be available, and then select "Next". IMPORTANT Please be patient as this will be similar to turning a PC on. The process should take around a minute. IMPORTANT To Shutdown your Virtual PC the Shutdown icon in your Zenworks and select "Log Off" In the "Default Server" window, leave the field blank and select Next Please sign out of the Maddocks Online window in your browser once the Virtual PC has shut down. 9

10 10 In the "Configure Shortcuts" window, untick the options below and select Next After a while, your Maddocks Desktop will open. Your Maddocks Desktop will be the same as when you are in the office. An application always should be started from the Novell-delivered screen every time you wish to it. Please note that the C:/Keep area is not the same as your computer in the office, and your Virtual PC is liable to be rebuilt frequently and without warning so do not store important material in the C:/ drive of the Virtual PC. To login in on future occasions, please see the section "Using Virtual Desktops" 10

11 11 0 Using Virtual Desktops Congratulations, you made it through the install process above. You'll be pleased to know that subsequent logins to the new Virtual IMPORTANT Desktops system are much simpler! If you are disconnected, Logging in on Windows you must reconnect within a few minutes or your Virtual PC will be shut Go to online.maddocks.com.au (note: do not type www) Login with your Maddocks rname and password. After login, Click on Maddocks Desktop as shown below down. Wait while your Virtual PC starts up. This is similar to turning on a physical computer, so will take a minute or two. To Shutdown your Virtual PC the Shutdown icon in your Novell: Please sign out of the Maddocks Online window in your browser once the Virtual PC has shut down. 11
