1 Helping a Healthcare Business Make the Switch to BYOD and Operational Efficiency A Case Study Showing GSG s Mobility and BYOD Solutions in Action
2 The Client: A Provider of Clinical Laboratory Services with Operations in North America, Europe, and Asia If you ve ever had a checkup with a doctor or other health services practitioner, you may have had to provide some samples that they could run some tests on. Those tests are performed by a provider of clinical laboratory services, such as the company covered in this case study, whom we ll simply refer to as The Client. They perform tests that are specific to a variety of medical specializations from allergies to urology, detect medical conditions ranging from asthma to toxicity, for clients such as individual doctors, hospitals, insurers, electronic health records companies, and NGOs, who rely on their results for diagnoses and decisionmaking. At a Glance Company: A provider of clinical laboratory services used by doctors, hospitals, insurers, and other organizations that rely on lab results for diagnoses and decision-making. Industry: Healthcare Number of employees: 42,000 Number of mobile devices: Over 7,700 Monthly carrier spending: $618,000 Goal: To move their executives from using corporate-liable mobile devices to their own personal devices for work. Achievements: Policy development and standardization $1.7 million in annualized savings $188 in annualized savings per device and 19% overall savings Self-service BYOD enrollment portal configured with SSO The Client is highly regarded in both their field, where they re recognized for innovation, as well as the business world in general. They produce regular reports on trends in disease and wellness as a public service to inform patients, healthcare professionals and policy makers. With over 40,000 employees spread across North America, Europe, and Asia, they generate over $7 billion in revenues each year. 2
3 The Challenge: Making the Move to BYOD Clinical laboratories today are experiencing the most financial pressure they ve had to face in the past twenty-five years. Their line of work requires the use specialized equipment that s only been getting more expensive. Hospital and other health care providers are making less for each inpatient and are dealing with shrinking budgets. Insurers are paying labs less for their work. Although they perform a literally vital service, the clinical lab industry is expected to face yearly cuts in budgets and revenue for the next few years, while maintaining quality of service 1. 1 DarkDaily.com, September 8, 2014: Nation s Clinical Laboratories and Pathology Groups Face Greatest Pressure to Cut Costs and Deliver More Value Than at Any Other Time in Past 25 Years ( 3
4 Faced with this challenge, The Client started examining its operations for inefficiencies and found them in the way they managed their mobile communications. Although they had over 7,700 mobile devices in use, they had no centralized view of their spending, which amounted to $618,000 a month. They had no idea of how much money was being lost as a consequence of out-of-control voice and text usage. This excess spending was compounded by the costs involved in the excess operational resources and expenses that had to be used in managing it. The Client decided to make the transition from corporate-liable to BYOD, moving their executives from company-owned mobile devices to using their personally-owned ones for work, to connect to corporate resources such as , contacts, and calendar, and well as other online systems. In addition to the obvious savings from switching to employeeowned devices, it was hoped that the move would also free their IT resources to focus on their core business, allow the people involved to use their preferred devices, and harness the additional productivity that comes from letting their people get work done any time, anywhere. 4
5 As is the case in many organizations, implementing a BYOD program was outside The Client s IT department s area of expertise. They didn t know how to take on the challenges of: Enrolling employees and their devices into a BYOD program Installing the necessary mobile device management (MDM) tools onto devices in the BYOD program to ensure that they re properly configured and secured, and regularly confirming the status of installed MDM software Creating a BYOD policy, presenting it to participants in the BYOD program and tracking compliance Helping employees with the transition to BYOD and with any problems or issues with their personal mobile devices Managing thousands of employee-owned devices and the associated costs Bringing about operational efficiency in a BYOD program 5
6 The Solution: BYOD Device Management with GSGCloud The Client called on GSG to help them make the transition to BYOD. Through the use of GSGCloud and its BYOD, Optimization, and Service Desk features, they were able to: Enroll employees personal mobile devices: Employees could enroll in the BYOD program online, and the BYOD workflow immediately notified managers of new enrollment requests via . Using the GSGCloud portal, managers could approve or deny these requests. The system s integration with the client s HR systems automated the process of matching employees with the appropriate program entitlements. Maintain a BYOD program member/device manifest: A key part of a successful BYOD program is knowing which employees are participating, as well as the details of the personal devices being used to access company resources. The manifest facilitates the management of individual-liable devices and is a valuable source of data that can be strategically mined with GSGCloud s integrated business intelligence tools. Install mobile device management (MDM) software on enrolled devices: Another key part of a successful BYOD program is ensuring that enrolled mobile devices have MDM software installed. MDM was installed during the enrollment process, allowing The Client to ensure that employee-owned devices were properly configured for security and access to corporate resources. Present employees with a BYOD policy and other learning material: During the enrollment process, employees participating in the BYOD program were presented with the BYOD policy and extensive self-help material to assist them through the transition to BYOD. Track compliance: The system allowed The Client to track which employees agreed to the BYOD policy and regularly confirm that devices enrolled in the BYOD program had MDM software installed and configured. Provide help desk service: Employees enrolled in the BYOD program had access to a help desk to assist them with mobile device problems and issues during the enrollment process as well as on an ongoing basis. Optimize telecom expenses: In addition to GSGCloud s BYOD management features, The Client made use of its telecom expense optimization to oversee mobile usage, rein in excess use, and right-size carrier plans for employees roles and needs. 6
7 The Result: A Smooth Transition, Operational Efficiency and $1.7 Million in Annualized Savings With the help of GSG, this leader in the healthcare industry was able to bring 3,500 devices onto a BYOD program that reduced their IT burden, brought about operational efficiency, and reduced their mobile expenses by $1.7 million a year. The GSGCloud portal simplified the BYOD transition. Configured with single sign-on, it was easy for participants to enroll in the program, onboard their devices, view and agree to the BYOD policy, get help through training material as well as a help desk all without having to leave their desks. The portal notified managers of enrollment requests, let them approve or reject enrollment candidates, and gave them a complete view of the BYOD program s participants and devices through an online dashboard. 7
8 In addition to providing a clear view into enrollment and compliance in the BYOD program, the dashboard also gave The Client a clear, single pane of glass view into spending, allowing them to better control expenses and excess usage. With a BYOD program enabled through the GSGCloud platform, The Client was able to: achieve 19% in overall savings, translating to $188 in annualized savings per device, rein in out-of-control mobile usage, free up resources that were devoted to managing the excess spending brought about by out-of-control mobile usage, develop and standardize a BYOD policy, and track and ensure compliance, and bring about operational efficiency by implementing a system that automates most of the processes involved in a BYOD program, such as enrollment, training, management, and support. The Client was so pleased by the results brought about by GSG s superior service and support that not only did they renew our contract; they expanded it. 8
