1 Performance Appraisal Technical Guide (Some updates to the look of the screens have been made. Do not worry if your screen does not exactly match the pictures in this document. The document will be updated after the review window is finished.) All Employees Logging In Use your SSO (single sign on) to log into the application. (UMKC username and Password). Click Submit. Security is based upon the reporting structure set up through position management. This is the same hierarchy for Time and Labor timesheet approval. If you do not see an employee in your list that you think should be, contact your HR Facilitator or payroll contact in your unit. 1

2 Dashboard On the dashboard you will find updated information and the schedule. You will also find resources for training and links to help through the process. On the left of the Dashboard you will find the main links for the tasks involved in conducting the appraisal. My Self Appraisal The supervisor should notify the employee that he/she needs to complete the online self appraisal and give a deadline for completion. The employee has access to this until he/she indicates that it is complete by checking the box and clicking the Save Responses button one last time. Note: All questions require a response. You may format the text using the buttons in the bar at the top of each answer box. An employee cannot access the form after this point, but will have access to the print version. The employee must print a hard copy to bring to the appraisal meeting. The supervisor will not have access to the self appraisal until the appraisal meeting has taken place. 2

3 Checking this box also serves as the employee signature for the self appraisal. When the box is checked and the Save Responses button is checked, the self appraisal is completed and an is sent to the immediate supervisor as recorded in the HR data. The sender is Do not ignore these messages. Donotreply is a standard for automated messages from internal e-tools. Sample of employee receives upon completion of self appraisal. My Supervisor Appraisal Once the supervisor appraisal is complete, it can be viewed together on line or in printed form during the meeting. The final appraisal can be changed if discussion during your appraisal meeting warrants. If you agree on and make changes, you should save a PDF and send to the employee so the employee feels comfortable in signing off on the final step. If the employee signs off before you make changes it will lock the supervisor out of the appraisal. All Appraisals: This is the location where the final self appraisal and final performance appraisal will be accessible in the future. This will help with goals through the next appraisal period. 3

4 Performance Factors Performance Factors represent areas of individual performance that are essential to the employee s success in the position, in the unit, and of UMKC. Explanation and definition of each factor can be found at this link. The link defaults to open a second window so that one can easily refer to them during any step of the evaluation. Supervisors Only My Direct Reports This link is active if you are a supervisor and is based on the reporting information in the Human Resources database. This is the same information used for access to PeopleSoft Time & Labor and to approve entered time. It should represent the true reporting structure and not be manipulated to provide access to approve time. Consult Time & Labor training materials if you have questions regarding access to approve time. To begin completing the appraisal form, the supervisor simply clicks Pending under the Supervisor Appraisal column for that employee. A supervisor can be working on appraisals at the same time an employee is working on his/her self appraisal. Neither is viewable to the each other until certain steps have taken place. Clicking the My Direct Reports link produces the list of employees and the status of both the self appraisal and your appraisal. Click the link pending under the Supervisor Appraisal column to begin the appraisal for the listed employee. This opens the form and takes you through the steps of completing the form. The data that feeds this application is one day behind the real time production data. Please note this in requesting and corrections or changes to reporting information. Gold Arrow sections open upon clicking to identify key indicators and status of both the self and supervisor appraisal. Those employees marked with an REQ after their name indicates that an appraisal is required. The Performance appraisal can be used for any non-student employee, but is only required for Benefit Eligible Staff who have been employed longer than 6 months. 4

5 Self Appraisal Status: View Appraisal: Implies that the appraisal process is complete and the employee's self-appraisal data is now accessible to you. Pending: The employee has not begun their self-appraisal. Not Available: The appraisal process is still open. You can only view an employee's self-appraisal once the process is complete and both you and the employee have marked it as such. Supervisor Appraisal Status: Pending: You have not begun the supervisor appraisal for this employee. Edit View Appraisal: The supervisor appraisal has not been marked complete. You can edit or view any submitted supervisor appraisal data. Complete: The supervisor appraisal has been marked complete. No further edits are possible. Notice black bar at the top, each step is defined as you hover over with your cursor. The steps are linked so you can navigate back or forward through the appraisal. NOTE: If you do not click Next Step at the bottom of the page prior to clicking on a step in the black bar, your information will not be saved. 5

6 Do not send either the self appraisal or the appraisal to send to Human Resources. This application provides the documents to the HR team and records all scores. There is no need to enter the overall score into a separate application. You cannot attach or upload documents such as letters of commendation or certificates of achievement. These documents should be kept in the individual employee file at the department level. You may print the appraisal for your files. You will be able to view yearly appraisals in the application. Data that feeds this application is one day behind. If you should submit changes to the reporting structure, please note this. The application will be updated the day after the change is entered into HR PeopleSoft Production. 6
