1 JOB DESCRIPTION POST: SERVICE: SECTION: Asset Management Officer Property and Regeneration Future and Place Shaping BAND: 5 All Council posts are subject to National Joint Council {NJC} conditions of service. MAIN PURPOSE The Corporate Property Service provides a comprehensive borough wide estates and valuation service to the Council. The Council has a varied portfolio of property including approximately 12,000 housing units; commercial premises, sports and leisure facilities and various other land holdings. The post holder will support the Property function by developing and maintaining the Asset Management Planning System Database so that comprehensive and accurate property information is available to the Council and its partners. The post holder will be responsible for providing all property information required for the development and delivery of property, housing development and regeneration projects. DUTIES 1. To maintain complex & legal property records including occupation, lease and building condition details to form a property Asset Management Planning database system. 2. To maintain the Asset Management Planning database system so it contains a high standard of information and supervise updates, recording of data, photographing, monitoring and maintaining accurate details within the Asset Management Planning System and the Geographical Information System. 3. To utilise the Asset Management Planning database system to answer property queries.

2 4. To utilise the Asset Management Planning database system to provide briefings, reports and spreadsheets for the Property and Regeneration functions. 5. To provide property information input into the formulation of the Council s Asset Management, Property and Maintenance Strategies. 6. To install and support the Asset Management Planning System software on relevant individual users PCs and to train individuals in the use of Asset Management Planning System software and in the use of the Geographical Information System. 7. To supervise all staff access to the system, to maintain a consistent and accurate approach to the recording of data within the Asset Management Planning System. 8. To negotiate a Service Level agreement with the Council s ICT Department and Asset Management Planning System service provider, and provide recommendations to department manager for approval. 9. To communicate with ICT services and third party suppliers for the maintenance/upgrading or replacement of the Asset Management Planning System software, by providing guidance, bringing all involved parties together and giving instruction to facilitate a solution. 10. To manage the implementation of a transparent interface between the Asset Management Planning System and the Geographical Information System for data exchange. 11. To liaise with other Public Sector database managers to exchange ideas, best practice and property information and identify opportunities for service improvements. 12. To attend Asset Management Planning System User Group meetings and to appraise managers of the latest software developments. 13. To work closely with the Senior Estate and Regeneration Surveyor to support the activities of the wider Service area. 14. Prepare accurate plans, Land Registry compliant if necessary, detailing the extent of Council property
