3 Name Badge & CENTS Registration EXHIBITOR PORTAL CENTS uses an online Exhibitor Registration Portal where you can: Register your name badge registrations for booth personnel. Each 10x10 booth receives up to 4 exhibitor badges. Additional badges are $10.00 each. Purchase additional event tickets Purchase lunch tickets Order free tradeshow passes for your customers (each 10 X10 space will receive 10 passes with a maximum of 50). Pay down your booth balance due with a credit card. To enter the portal, go to: - Enter username and password. Bulk spaces are 400 square feet or larger. Time slots are limited and are available first come, first serve basis by calling Amy Eldridge, at (614) SHIPPING INSTRUCTIONS Shipping instructions will be provided to exhibitors from ACT. (see your ACT exhibitor kit or call ACT at ) You cannot ship materials to The Greater Columbus Convention Center before the show has begun to move in. You will be charged a re-delivery fee for any shipments you direct to the exhibit hall that have been refused. ON-SITE DELIVERY OF EXHIBIT MATERIAL Exhibitors are permitted to bring their own displays into the exhibit hall during move-in hours. All materials must be brought through the freight receiving docks at the east side of the Greater Columbus Convention Center. All vehicles must vacate the dock area immediately after unloading. LOADING DOCKS Enter: Dock #6 Exit: Dock #19 Door Dimensions: 20 w x 16 h FREE POWER WASH If you have display equipment you must first have it power washed outside at Dock #5 Saturday & Sunday only VEHICLE INSPECTION All vehicles must be inspected and tagged by security prior to placing in your booth. All vehicles/machinery on display must have less than a gallon of gas in your tank upon arrival, gas caps either locked or taped over, and battery cables detached. EXHBITOR PARKING Exhibitor parking will be available in the East Parking Lot on Nationwide Boulevard. A shuttle service will be provided (see page 9 for schedule). Exhibitors are responsible for any parking costs. 3

5 EXHIBITOR SERVICES INCLUDED WITH ALL BOOTHS 8 high back wall draping in show colors (black&white) with 3 high side drape dividers Aisle carpet is graphite. One 7 x 44 standard two-line identification sign Aisle cleaning nightly Perimeter security nightly FORKLIFT Show management will provide complimentary forklift service (dock to booth) for palletized materials on move-in and move-out days. WATER SERVICE Complimentary water (drain and fill) will be available to all exhibitors. Please fill out the Water Service Order Form from the Convention Center and someone will contact you directly. Water closets will be open and ice available for watering stock. CENTS EDUCATION Each exhibiting company will receive two (2) complimentary passes per booth to CENTS Education Courses. EXHIBITOR GUIDE Exhibiting companies will receive a complimentary alphabetical listing in the on-site Exhibitor Guide & Program. A verification form will be sent in the mail in October, 2015 to confirm the information in your listing. Verification forms must be returned by November 13, 2015, to receive an alphabetical listing. Forms returned between November 13 and December 1, 2015, will receive a listing in the Exhibitor Guide & Program addendum. Forms received after December 1, 2015, will not receive a listing in the Guide. Additional sponsorship and advertising opportunities can be found under the exhibitor resource section at centsmarketplace.com. MARKETING OPPORTUNITIES Many options are available to promote your company throughout the Convention Center. Please refer to the Sponsorship and Advertising opportunities sections for more information. We encourage you to use the CENTS 2016 logo in your pre-show marketing and on your website. Go to for information and to download our official logo. ATTENDEE MAILING LIST Contact information of CENTS attendees will be ed to exhibitors following the show. Those attendees who have opted to not have their information released are not included. STUDENT LABOR Show management will provide free student labor to assist exhibitors during move-in days (Saturday and Sunday only). No large B&B trees or excessively heavy items will be moved by the students because of risk. FLOOR MANAGERS Our Floor Managers will be available during move-in, show hours and move-out to assist exhibitors with any questions or concerns. They will walk the show floor, introduce themselves and be your daily contact during the run of the show. 4

6 RULES & REGULATIONS No flammable materials, such as gasoline, kerosene, naptha, or other oils, will be allowed in exhibits. All nursery stock must be balled and burlapped or containerized. Absolutely no cut material will be allowed in the building. All vehicles/machinery on display must have a minimum amount of gasoline in the tank (you must have less than a gallon of gas in your tank upon arrival), gas caps either locked or taped over, and battery cables detached. All vehicles must be inspected and tagged by security prior to placing in your booth. All mulch must be watered daily and plastic must protect the exhibit hall floor. If mulch is displayed in bins, it also must be watered daily. Free water is available from the men s restroom closet in the back of the hall, which is accessible without entering the men s restroom. You must provide your own water container. Free ice will also be available and you must provide your own container. Note: If an exhibitor needs water for ponds or fountains, the Water Service Order Form must be filled out and returned to the Convention Center Service Desk. Free water fill and drain will be provided by show management. All tarps, canopies and burlap need a certificate from the manufacturer indicating the material is flame retardant. All areas of the Greater Columbus Convention Center are designated non smoking. Acquaint yourself with the nearest exists. Greater Columbus Convention Center Exhibitor Rules and Regulations Please go to: 5

7 DISPLAY RULES ROW BOOTH RESTRICTIONS - Row booths have only one side exposed to an aisle and they are generally arranged in a series along a straight line. Row booths are generally 10 d x 10 w, but can also be larger (i.e. 10 d x 20 w, 10 d x 30 w, etc.). - Pipe and drape for a 10 d x 10 w row booth will consist of an 8 h x 10 w back wall and 3 h x 10 d side walls. - Exhibit materials taller than 3 must be placed against the back wall of drape and not extend into the booth more than 5. - Exhibits may extend above the eight-foot (8) back drop but must be finished on each side so that as not to create an eyesore for surrounding exhibitors; - Displays and/or products are not permitted to extend above the side curtains further than five (5) feet from the back of the booth. This enables everyone to have a line of vision to all neighboring booths; 6

8 DISPLAY RULES END CAP BOOTH RESTRICTIONS An End Cap Booth is exposed to aisles on two sides. Pipe and drape will consist of an 8 h x 10 w back wall and 3 h x 10 d side walls. Exhibitors may opt to remove the 3 h drape on the cross-aisle. Exhibit materials taller than 3 must be placed against the back wall of drape and not extend into the booth more than 5. DOUBLE END CAP BOOTH RESTRICTIONS A Double End Cap Booth is exposed to aisles on three sides and consists of at least two 10 d x10 w booths. Pipe and drape will consist of an 8 h x 10 w back wall, centered, with 3 h x 10 d side walls extending from the 8 h back drape on both sides. Exhibit materials taller than 3 must be placed against the back wall of 8 h drape and not extend into the booth more than 5. 7

9 DISPLAY RULES ISLAND BOOTH RESTRICTIONS An Island Booth is any size booth exposed to aisles on four sides. An Island Booth is typically 20 d x 20 w or larger. There are no height restrictions for island booths. Pipe and drape may or may not be used at the discretion of the exhibitor. OTHER IMPORTANT CONSIDERATIONS Bulk Booths Bulk Booths are at least 20 d x 20 w in size and may be an island or bordered by another booth on one or more sides. There are no height restrictions for Bulk Booths. Canopies and Ceilings Canopies, including ceilings, umbrellas and canopy frames, can be either decorative or functional. The height restriction is the same as that which applies to the appropriate exhibit booth size. Hanging Signs and Graphics Hanging signs are permitted above any booth 600 square feet or larger. Hanging signs should be set back 10 from any neighboring or adjoining booths. Rigging fees are the responsibility of the exhibitor. Towers A Tower is a freestanding exhibit component separate from the main exhibit fixture. The height restriction is the same as that which applies to the appropriate exhibit booth size. Multi-Story Exhibit A Multi-Story Exhibit is a booth where the display fixtures exceed 12 h, including double-decker booths. Multi-Story Exhibits are usually Island Booths and must follow the height restrictions specified in the booth descriptions. 8

10 DISPLAY RULES ISSUES COMMON TO ALL BOOTH TYPES Flammable Materials All materials used in displays must be made of fire retardant materials and be certified as flame retardant. Samples should be available for testing. Materials that cannot be treated to meet the requirements should not be used. A flame-proofing certificate should be available for inspection. See Fire Marshall Regulations on page 4. Storage Exhibitors are prohibited from storing products, literature, empty packing containers or packing materials behind back drapes. The show decorator can assist with removing empty packing materials before the open of the show. Demonstrations Demonstrations are an important part of exhibiting. Exhibitors are encouraged to conduct sales presentations and product demonstrations within your contracted exhibit space and not encroaching on the aisle or neighboring exhibitors. Need more space? A Call Amy at ONLA to increase your booth space. Sound/Music Exhibitors may use sound equipment and/or noisemaking devices in their booths so long as the noise level does not disrupt the activities of neighboring exhibitors. Speakers and other sound devices should be positioned to direct sound into the booth, rather than into the aisle. Exhibitors should be aware that music played in their booths, whether live or recorded, may be subject to laws governing the use of copyrighted compositions. ASCAP, BMI and SESAC are three authorized licensing organizations that collect copyright fees on behalf of composers and publishers of music. Exhibitors are responsible for all copyright fees and obligations. Selling Booth Material If selling your booth, you must obtain complimentary plastic ribbon, a product release form and a sign from the show decorator, ACT. ACT s on-site customer service desk will be located at the back of the hall. The sign MUST DESIGNATE who purchased your booth and be left in a conspicuous place in the front of your booth. The plastic ribbon must cordon off your booth on the front back and sides, without attaching to the pipe and drape. The product release form must list your company name, booth number(s), person removing merchandise and a description of items being sold. Show management will not allow any sold booth material to leave the floor without the buyer presenting the product release form to show security. Sold booths may not be roped off until 2:00 p.m. on Wednesday January 11, and cannot be removed from the floor until 5:00pm. or on Thursday, January 14, 2016 from 8:00 AM noon. As a courtesy to exhibitors loading out, non-exhibitors who have purchased a booth will not be permitted on the show floor to pick up their materials until after 5:00 p.m. on Wednesday, January 13, It is the exhibitors responsibility to communicate this with the booth purchaser. Early Move Out CENTS will close at 2:00 p.m. on Friday, January 9, Any exhibitor tearing down or roping off their booth (if sold) early will not be permitted to exhibit the following year. 9

12 MOVE OUT MOVE OUT Wednesday, January 13, 2016 Thursday, January 14, :00 p.m. - 8:00 p.m. 8:00 a.m. - 12:00 p.m. Exhibitors may begin dismantling their booths beginning at 2:00 p.m., Wednesday, January 13, 2016 within in their booth space. Exhibitors are not permitted booth materials in the aisle until all aisle carpet is rolled up. Dock doors will not open until all aisle carpet is rolled. If you sell your booth to an outside source (not another exhibitor), please instruct the buyer that they can pick up their materials Wednesday, January 13, :00 PM 10:00 PM or on Thursday, January 14, 2016 from 8:00 AM noon. All booth material not picked-up by 12:00 noon on Thursday, January 14, 2016, will be thrown away. You are responsible for reminding the buyer of the pick-up dates and times. Selling of Booth Material If selling your booth, you must obtain complimentary plastic ribbon and a SOLD sign from A.C.T, the show decorator. A.C.T. s on-site customer service desk will be located at the back of the hall. The sign MUST DESIGNATE who purchased your booth and be left in a conspicuous place in the front of your booth. The plastic ribbon must cordon off your booth. The show decorator will have tape and signage to mark booth materials that you have sold, however, CENTS Management, the Ohio Nursery & Landscape Association, A.C.T., Inc. and the Greater Columbus Convention Center are not responsible for materials left unattended. Show management will not allow any sold booth material to leave the floor without the buyer presenting the enclosed product release form (STOP SIGN) to show security! Please read paragraph #20 of your CENTS Show contract regarding liability. We are again using a security procedure in order to protect exhibitors who sell their booth(s). This procedure will confirm that the person buying booth material is indeed the person picking up the purchased booth material. Therefore, we have a STOP SIGN product release form for your use. If selling your booth, please fill out the STOP SIGN product release form and give this to the purchaser. The purchaser, then needs to present the STOP SIGN product release sign to either building security or a member of the show committee before the purchased material is allowed to leave the exhibit hall. If you are selling portions of your booth(s) to more than one purchaser, please complete a STOP SIGN product release form for each buyer clearly stating on the sign what was purchased. If additional STOP SIGNS are needed, contact ACT, Inc. Service Desk at the rear of the exhibit hall. Loading Dock & Marshalling Yard during Wednesday Move-out Because of the great number of booths in the show, our move-out must be done in an orderly fashion. To that end, show management will allow no exhibitor vehicles on the loading dock until after the show closes on January 13, at 2:00 p.m. A Marshalling Yard has been setup in the East Lot where all exhibitors will report until they are called to the loading dock. Vehicles and trucks lining up on Friday in the East Lot will NOT be charged to park. However, if your vehicle has been parked in the East Lot overnight, you will be charged upon exit. Staff will be positioned in the East Lot and will let each vehicle know when they can move to the loading dock for move out. The dock entrances will be cordoned off and secured by uniformed guards. Columbus city police officers will maintain traffic on the public streets surrounding the convention center during move-out. City police will ticket and/or tow illegally parked vehicles! Passenger Vehicle Load Out on Wednesday Passenger vehicles (including mini-vans but not cargo vans) will be permitted to load out at the North Drop Off area of the Greater Columbus Convention Center instead of the loading dock. This area will only be available from 2:00pm to 5:30pm on Wednesday January 13. The North Drop Off will be locked and chained at 5:30pm on Wednesday, January 11
