Introduction 1.1 MailMeter Efficient Management Regulations and Compliance MailMeter is a full archive/compliance solution that ensures all message data, content and attachments are captured for business analysis, records retention, regulatory compliance, and investigative needs. Searching and Investigations MailMeter allows managers to perform in-depth, evidentiary discovery on corporate data using powerful search technology including wildcard, Boolean and proximity searches, regardless if users deleted the from their inbox. This can give your organization the upper hand in any litigation, settlement or employee investigation with fast, confidential access to all of the critical data that has traveled through your system. 8 1.2 MailMeter a Modular Solution MailMeter is architected as a modular software solution. It is licensed by component and number of mailboxes. All components integrate together and are activated with a license key. MailMeter Archive captures every sent and received (both internal and external) and then indexes the body text and attachments to its Archive database. It stores compressed and encrypted copies of the rich text and attachments as flat files in its Archive Volumes. It can also capture from your existing system and any external PST files. All is kept secure until you use the data destruction option to purge it from the archive. MailMeter maintains all even after people are removed from your address book. Its intelligent indexing offers a Archive fast search capability to find any information you need. You can authorize a manager to search specific departments. Retention MailMeter begins its data capture on all new messages after it Management has been installed. The optional MailMeter History Capture can process your entire existing active mail store. The optional MailMeter PST Import can process any external mail repositories your users may have. MailMeter offers wider business benefits to your organization through optional components: MailMeter Storage Manager reduces the size of your store by stubbing attachments replacing attachments with a link to the attachment in the MailMeter Archive based on the age of each , size of attachment, type of attachment, or folder location. MailMeter Storage Manager is also available as a standalone solution which does not require the archiving data collection processing. MailMeter ISR is the Individual Search and Retrieval secured interface for your end users to search only their own in the Archive. You can reduce the size of your store since users can find any they ever sent or received through the ISR browser application or Outlook Add-In. MailMeter Investigate provides legal staff with a more powerful search capability, organizes searches into case books, and allows exporting of data to external medium. MailMeter Insight offers over 40 reports that analyze and attachments with a unique drill down reporting capability into the information in the Archive that generates business value. You can have automatic reports delivered to managers on their staffs uses of - see top conversation pairs, highest volumes for internal and external senders and receivers, attachment types, domain names, and graphs of usage. If you licensed MailMeter Insight only and did not license MailMeter Archive, please ignore all references to Archive Volumes in the documentation. MailMeter Compliance Review is a powerful reporting tool that automatically will run plans you create (random sampling, acceptable usage, word scanning, etc.) at regularly scheduled intervals to analyze your and present it for review by compliance personnel. 9 2. Overview How MailMeter Works MailMeter is based on a data collection process that processes s and stores the metadata in a database for fast searching. Rich text and attachments are stored in a separate location. 2.1 MailMeter Data Collection Process captures s in three ways: 1. Journal mailbox for full compliance, reporting or legal investigations. MailMeter uses the Archive (Journal) facility in Exchange that automatically copies all sent or received into a designated mailbox. MailMeter pulls the copy of the from the mailbox, processes it and then deletes it from the mailbox. 2. MailMeter History Capture can harvest all the s in your Exchange mail stores. One time History Capture process for importing all messages. The History Capture process can be run at any time to import messages as needed. 3. PST file Import separate from the server. MailMeter can import multiple PSTs directly into the Archive. It can process files individually or process an entire folder and subfolders on the network. It offers a flexibility to identify multiple domain names on input to mark s as internal when the address is not found in the current address book (i.e. importing old PSTs after a company name change that affects addresses). 2.2 MailMeter Storage Manager Standalone If you have licensed only the MailMeter Storage Manager, the MailMeter Data Collection Process does not capture message content. The Storage Manager will identify candidate messages that meet the rules criteria for attachment stubbing and check to make sure that the attachment is already in the archive. If the attachment is NOT in the archive, then the message will be passed to a capture process that will put only the attachment into the archive. On the next run of the Storage Manager process, it will find the attachment in the archive and complete the attachment stubbing. 3

10 2.3 MailMeter Storage MailMeter uses single instance storage for messages and attachments. MailMeter SQL database The MailMeter SQL database contains the index of senders, receivers, attachment types, conversation subjects, and a complete keyword index of the body text of messages and their attachments. It may reside on the MailMeter server or on another server. Make sure there are no other applications that will interfere with MailMeter database processing. All information in an header To, From, cc, bcc, Subject, Date and any attachment names and extensions are automatically indexed into the MailMeter database. Also, all message text and attachment text are full text indexed into the database. MailMeter Archive Volumes Archive Volumes are standard Windows folders that contain a collection of the plain and Rich Text Format of messages and attachments. All the data is compressed and encrypted for secrecy. All rich text files and attachments are compressed, encrypted, digitally stamped, and stored in flat files. An Archive Volume s default size is 4G. When one fills up, another is created automatically. Instead of size, you can specify a number of days for automatic roll over. They may be located on the MailMeter server, on another network server, or on a NAS or SAN. Choose a location that has enough disk space to contain the amount of content you wish to save online. Note! If you licensed MailMeter Insight for Subject line collection and reporting only, please ignore all references to Archive Volumes in the MailMeter documentation. 2.4 MailMeter Address Book Refresh Each evening, MailMeter will refresh its internal copy of the server s address book. It will find new users, new aliases, updated distribution lists, and note which users are no longer in the address book. MailMeter uses this information to reconcile all addresses for a single person. For example, the internal name of a person in an server is not the same as the display name or any of the SMTP aliases. For example in a Microsoft Exchange server the internal address for Bob Ralston is: /o=waterford Technologies/ou=Exchange Support Group (FYDIBOHF23SPDLT)/cn=Recipients/cn=bralston. Additionally, this person could have aliases of: etc. Bob could also be a member of the distribution list. When you do a search for any of the addresses, MailMeter will bring all messages back for that person from all addresses and aliases. Distribution Lists An to a distribution list is expanded to include the addresses for all members. This allows an individual to find all s that they received even if the was sent to 4

11 2.5 Attachment Indexing 2.6 Administration MailMeter indexes attachments to be included in full text searching. Attachment types can be excluded to improve performance. For example:.gif,.jpg,.mp3, etc. The list can be expanded to include any other file type (for example.xls Excel spreadsheets may not have a relevant data to index and should be excluded). Ask your MailMeter technical support representative for more information on Attachment Indexing Exclude/Include during your installation and configuration WebEx session. MailMeter Archive, Insight, and Storage Manager The MailMeter Configuration Control Panels contain all the settings for MailMeter and Exchange,. Adding new users for searching in MailMeter Archive or viewing reports in MailMeter Insight is completed from the Admin menu on any the MailMeter Insight Admin menu. MailMeter ISR, Investigate, Compliance Review, and Outlook Add-In These newer components of MailMeter are managed through a separate Admin browser interface for settings, groups, permissions, etc. In an upcoming release, the Admin function for all MailMeter components and modules will be integrated into a single interface. 5

Installation Requirements Support discontinued for: Exchange 5.5, Windows 2000, SQL Server Supported Systems Microsoft Exchange 2010 Microsoft Exchange 2007 Microsoft Exchange 2003 with SP1 - MailMeter supports Bcc: see Microsoft Knowledgebase article to set the Registry entry for Journaling Bcc messages. - MailMeter does not require envelope journaling. However, it will process envelope journaled messages. 3.2 MailMeter Server MailMeter is a database application built on.net technology. It requires IIS and connections to the journal mailbox, servers, SQL database, and Archive Volumes. For best performance, place MailMeter on a separate 32bit server with 4G of memory. Microsoft Windows 2008 R2 or Windows 2003 Server with SP1+ - MailMeter runs in 32 bit mode on 64 bit Windows OS 300 MB of available disk space for the MailMeter program files Network connectivity to the server Other Software that must be installed on the MailMeter server 3.3 SQL Server.NET 3.5 Service pack 1 Microsoft IIS MailMeter will use the Default Web Site client - Outlook 2010 / 2007 / 2003 Microsoft Data Access Component (MDAC) 2.8 or greater SQL Server CLR Types SQL Server 2008 Management Objects SQL database SQL 2008 or Microsoft Windows 2008 Server or 2003 Server with SP1+ - SQL Server runs best in 64 bit Windows OS 2 processors if 1,000 mailboxes or greater 4-16G memory SQL Server is the main user of memory. MailMeter search performance is improved by adding more memory for SQL Server. Disk I/O is a critical factor for performance. Use local disk drives high speed RAID is best. Do not use a SAN device that competes with other applications. For sites with 2,500 total mailboxes or greater, we recommend that you place the critical MailMeter database files on three different physical disk drive spindles: 1. MailMeter database 2. Full text Index 3. MailMeter log files 3.4 Disk Storage Usage Planning The amount of space for the MailMeter SQL database and Archive Volumes is dependent on the amount of traffic, number and type of attachments, and total number of mailboxes. This usually amounts to multiple Gigabytes of disk space required to store your information. 6

13 There are pitfalls if you configure your storage device incorrectly. For example, hardware vendors make it easy to create logical disk drive units (LUNs) that map to physical disk drives in the storage device. However, if you are not careful, you can map multiple LUNs to a single physical device. SQL database If two or more applications are competing for the same physical disk, then both applications suffer performance degradation. If one of the applications is a high activity database, then your overall performance can be unacceptable The most critical part of your archiving performance is your database server. It will consume the most resources for indexing and searching. SQL Server 2008 or 2005 have proven to be fast and scalable. You should estimate that the size of your MailMeter SQL database at 20-50% of your existing mail store size with a percentage growth per year based on the amount of new messages. Archive Volumes Plan for additional space for messages brought in from PST Import. Make sure no other applications will interfere with MailMeter database processing. Archive Volumes these are folders that contain the compressed and encrypted messages and attachments. Note: Archive Volumes are not required if you have only licensed MailMeter Insight with Subject line only capture. They can be located on any network drive or SAN. The best practice for achieving optimum MailMeter performance is to have the logical units mapped to specific physical drives. You can specify the size or frequency for the creation of each Archive Volume. The amount of space required is based on size of messages, amount of rich text formatted messages, and size and type of attachments. Messages are retrieved for display in Insight, ISR, Outlook Add-In, Investigate, and Compliance Review. Attachments are validated in an Archive Volume before an attachment is removed from the e- mail server ( stubbed ) and replaced with a link to the attachment in the Archive Volume Temporary Work Area Temporary Work Area As MailMeter processes messages in a History Capture, PST import, MBA analysis, or from the journal mailbox, it places the messages in an internal work area as it validates information and analyzes the messages and attachments to put the data into the MailMeter internal format. This Temporary Work Area should be on high speed disk local to the MailMeter server since it is used frequently. It must be as large as the largest mailbox you will capture. It can be located anywhere for the best performance put it on the MailMeter server. Disk Space Usage Example If your averages 1G per person per year and you have 100 people, then you will process 100G of per year. If we assume that the amount of indexed text data is 20% of the total and MailMeter gets an average compression/de-duplication of 50%, then the MailMeter SQL database is estimated to grow by 20G per year and the Archive Volumes by 50G per year. 7

14 3.5 MailMeter Deployment Flexibility Single Server - MailMeter with SQL Server and Archive Volumes Most small installations (<250 mailboxes) can easily accommodate everything on a single server. Single Server - MailMeter with SQL Server Archive Volumes on separate server/nas/san The MailMeter Archive Volumes can be located on any device in your network. Archive Volumes can be split across different devices or moved to other locations ask your MailMeter technical support specialist for details. MailMeter and SQL Server on separate servers Archive Volumes on separate server/nas/san For sites over 1,000 mailboxes, it is better if SQL Server is on a different server than MailMeter. The SQL instance can be shared with other applications. However, this may have performance impact on MailMeter depending on the activity of the other applications or on the applications because of the high amount of activity from MailMeter (storing messages and doing searches). 3.6 MailMeter with Multiple Servers Multiple servers journaling into a single mailbox MailMeter will pull its data from the single mailbox. The other servers can set up their journaling to collect the s in a local journal mailbox and forward them over during off hours. Ask your technical support person for assistance. Multiple servers with multiple MailMeter servers journaling into multiple mailboxes If you have multiple sites and want to run a copy of MailMeter locally as well as in a central location, set up your Archive (Journal) mailbox as a distribution list with multiple entries, one going to a local MailMeter mailbox and one going to a central MailMeter mailbox. Collecting Subject Line Only from multiple servers MailMeter can be installed with a light foot print for remote sites, collect data on To/From and Subject, hold it locally and send it in batch at a later time. 8

15 3.7 For organizations with more than 2,500 mailboxes Collecting messages High Performance 1. History Capture Since the total amount of messages can be in the millions, you should plan on a phased approach to collecting messages. Do a group per day, per weekend, etc. MailMeter should not interfere with your server performance during a History Capture process. 2. Journal Mailbox We recommend that you set up a small server with only one mailbox on it the Journal Mailbox and have all your other servers journal their messages to that mailbox. 3. PST Import if you have users that have personal mailbox files not on your server or old mailboxes from previous employees, you can easily import them into MailMeter. You should plan on a phased approach to importing PSTs. Do a group per day, per weekend, etc. You can point MailMeter to a shared folder that contains the files. When MailMeter is deployed in larger organizations we recommend that you configure your archiving environment to achieve high performance. MailMeter Server The database activity of storing, indexing, searching, and retrieving messages is the most resource intensive. Server memory, multiple processors and disk speed as well as database layout are important to generating high performance. The mapping of physical and logical drives for Archive Volumes can affect your overall performance. The best practice for achieving optimum MailMeter performance is to have the logical units mapped to specific physical drives. For best performance, place MailMeter on a separate 32bit server with 8G+ of memory. There is a customer with 50,000 mailboxes and nearly 100 million messages in a single MailMeter archive using only a single MailMeter server. 9

16 Temporary Work Area SQL Server Disk Storage This Temporary Work Area should be on high speed disk local to the MailMeter server. SQL Server 2008 is recommended. Use a 64bit server, multiple processors, 8-32G of memory and make sure it is located on a gigabit connection to the MailMeter server (on the same switch is best). Disk I/O can be a limiting factor for performance. Use local disk drives high speed RAID is best. Do not use a SAN device that competes with other applications. Obviously, the highest disk performance is achieved when the disk drives are local to the MailMeter server and not on the same physical drive as the Windows operating system, MailMeter Temporary Work Area, or the MailMeter database. It is common practice to place the MailMeter Archive Volumes on a SAN or NAS device. There are pitfalls if you configure your storage device incorrectly. For example, hardware vendors make it easy to create logical disk drive units (LUNs) that map to physical disk drives in the storage device. However, if you are not careful, you can map multiple LUNs to a single physical device. If two or more applications are competing for the same physical disk, then both applications suffer performance degradation. If one of the applications is a high activity database, then your overall performance can be unacceptable. A problem can develop with your MailMeter performance if you allocate small amounts of a storage device as you do your initial History Capture or PST import. For example, if you request 500G each week for 8 weeks, you end up with 4T of space. Unfortunately, it may be disjointed and fragmented all across your storage device. We recommend that you do an initial allocation of your expected storage needs before you begin your History Capture or PST imports. In the example, request a 5T space allocation to begin. Good storage management planning can avoid the pitfalls. Sizing the MailMeter Database There are two options for reducing the size of the MailMeter database: During installation time you can decide to not collect indexed data in Unicode format. Unicode format is the character representation that accommodates Asian characters. MailMeter will still collect the full rich text of messages and attachments for display. This reduces the overall size of the MailMeter database by approximately 40%. There is an optional MailMeter process that you can activate that reduces the size of your MailMeter database by 50-70% by eliminating duplicate words in the index. It silently crawls the MailMeter index and removes duplicate words. The impact of this reduction is to disable the Boolean near search words are indexed in phrase format. 10

17 3.8 Collecting for Specific Users Only If you only need to collect data on specific individuals or departments, you can put them in a separate mail store and activate the Archive (Journal) just on that mail store. With Exchange 2007 / 2010, you have the flexibility of journaling only specific mailboxes and filtering messages. 3.9 Eliminating Junk , System Messages, or other unwanted messages If you do not have an external anti-spam or anti-virus process, then junk messages can come in to the MailMeter mailbox from the journaling process. To eliminate junk messages from being collected by MailMeter, you need to put a local copy of an anti-spam product on the MailMeter server. Deleting System messages and other unwanted messages from the Journal mailbox Custom Filter Put a rule in the copy of Outlook on the MailMeter server that accesses the Journal mailbox to automatically delete those messages before MailMeter gathers them. Slow down the frequency at which MailMeter accesses the Journal mailbox to allow time for your rule to process s (see the MailMeter Control Panel). MailMeter has a customizable Filter process that can be licensed. Ask your MailMeter Technical Specialist for assistance. It is a programmatic way for MailMeter to eliminate messages from collection into the archive. 11

18 4. MailMeter Pre-installation Preparation 4.1 Set up the MailMeter Server Windows Server 2003 (32 bit or 64 bit) at least 1 processor and 4G of memory. MailMeter can be installed in a virtual environment (VMWare or Hyper-V) If you have over 1,000 active mailboxes, use a server with two processors. 22 4.2 Set up SQL Server SQL Server 2005 and 2008 are supported You must use a version that includes the Full Text Indexing Option. You can use an existing SQL Server instance for the MailMeter database. Make sure there will be no conflict with MailMeter operation. For a new SQL Server, use Windows Server 2003 or 2008 (32 bit or 64 bit) are supported. - For under 500 mailboxes, 1 processor and 4G of memory. - Under 2,500 mailboxes, 2 processors and 8G of memory. - Above 2,500 mailboxes, 2 processors and 16G of memory. 1. Install SQL Server include Full Text Indexing and Client Components Management Tools If you need assistance in installing SQL Server, our technical support team offers Professional Services at additional cost. Warning! If you do not include Full Text Indexing, you will have to uninstall SQL Server and re-install it. Microsoft SQL Server 2005 (must have SP2): If you receive a warning message on the System Configuration Check page of the SQL Server 2005 Setup program on Windows Server 2008, not all the IIS 7.0 components that SQL Server depends on are not installed. Microsoft SQL Server 2008: SQL Server any instance Note! You must include Full Text Indexing and Client Components Management Tools SQL Studio and Profiler These are useful in resolving database issues and helpful to our technical support team. MailMeter does not require Analysis or Reporting Services. 2. Sizing the MailMeter SQL database The MailMeter database contains all the metadata and the contents of message and attachments that can be keyword indexed (noise words such as a, the, as, for, an, be, etc. and numbers less than 3 digits are not indexed). The database should be located on fast disk drives for best performance. The full text index may need to be rebuilt occasionally in case of SQL Server errors. The database size is dependent on the amount of messages and attachments processed. 20% of the total data collected is average. In some cases this size may be higher depending on the mix of message content, graphics, and pictures. MailMeter contains an option to NOT index the content of specific file types. You can skip.xls,.gif,.jpg, etc. Please contact our technical support team for assistance. MailMeter delivers full Unicode support by default. If you do not need this capability (double byte characters used in Asian languages), please contact our technical support team for assistance. MailMeter delivers full phrase searching capability by default. If you want to reduce storage space, MailMeter can be set to de-duplicate words and perform only word searching, please contact our technical support team for assistance. 16

24 4.3 Determine a location for the MailMeter Archive Volumes MailMeter stores the body text, headers, rich text, and attachments with their digital verification stamps in a secure, compressed and encrypted proprietary format into an Archive Volume. An Archive Volume is a flat file that you specify how often (by size i.e. 4G is the default, or time period every 30 days) they are rolled over Archive Volumes (4G) and a new one is created. Any disk, SAN, NAS They can be located on any storage device. We recommend that you do not put them on very slow SAN backup devices. Low cost storage Infinitely scalable The amount of space used by the Archive Volumes is determined by the amount and size of messages and attachments. On the average, Archive Volume size is approximately 50% of the total of captured messages and attachments. - Estimate is 100G for every 500 mailboxes for real time capture. - For PST Imports or History Capture of your existing Exchange server, the additional Archive Volume size can be estimated at 50% of the mail store and PST size. MailMeter will automatically single-instance messages and attachments. The MailMeter database points to the Archive Volume so it can retrieve any rich text or attachment. You can copy Archive Volumes to another storage medium like any other flat file for backup or Compliance purposes. DO NOT put the Archive Volumes in a directory path like C:/Program Files/MailMeter/Archive Volumes this will interfere with your ability to upgrade and will use up space on your system drive. Put them in a safe location, i.e. D:/MailMeter-Archive/Archive Volumes. The Archive Volumes can be moved at a later time - please contact our technical support team for assistance. It requires an update to a directory. Do not change the location of the Archive Volumes in the MailMeter Configuration Control Panel. This results in resetting the Archive Volume location and numbering. Contact MailMeter technical support for assistance. 4.4 Location of the MailMeter Temporary Work Area (Repository) MailMeter stores the body text, headers, rich text, and attachments in temporary files as it brings in an from its mailbox before it writes it out to the MailMeter database and the Archive Volume. Normally, the work area is empty. The work area will build up in size if the MailMeter database is inaccessible. DO NOT put the Temporary Work Area in a directory path like C:/Program Files/MailMeter/MM_TempWorkArea this will use up space on your system drive. (default is in the Install folder) Put them in a safe location, i.e. D:/MailMeter-Archive/TempWorkArea. When MailMeter sees a specific number of temporary files built up in the Work Area, it will stop reading the MailMeter mailbox until the backlog of temporary files is reduced. History Capture - warning MailMeter also uses this Work Area for its History Capture process. It must be large enough to hold all the messages from a single mailbox. 18

25 5. Download the MailMeter Software to the MailMeter Server You will receive an with the MailMeter software download location and license keys. Click on the URL to get a zip file that contains the latest version of the MailMeter software and documentation. Unzip the download into a directory. You will see the MailMeter installation executable and copies of all documentation. Print the documentation as needed. We recommend that you copy the documentation to a location on the MailMeter server so it will be available for you at any time. DO NOT INSTALL MailMeter at this time. 19

Pre-Installation Setup for Microsoft Exchange MailMeter gets a copy of every that passes through your server(s) through the standard Microsoft Exchange Archive (Journal) facility that automatically copies into a mailbox that you set up for MailMeter. MailMeter pulls the copy of the from the mailbox, deletes it, and stores the information into the MailMeter SQL database and Archive Volumes. For Microsoft Exchange you will need to: Create a new mailbox on your server for MailMeter with proper security permissions. Establish communication with MailMeter MAPI connection from Outlook on the MailMeter server. If you are going to capture all messages in real time, you must: - Configure Exchange to enable journal capture of the BCC recipients (Exchange 2003). Exchange 2007 / 2010 already support this feature through envelope journaling. - Activate the Archive (Journal) capability if you are going to capture all messages. Exchange 2010 allows you to specify which mailboxes to journal. Security Permissions needed by the MailMeter Service Account MailMeter runs as a service under Windows. The User Account is called the MailMeter Service Account. 1. Create the Active Directory, MailMeter Service/Journal Account and Mailbox. o o Use one account for both Services and Journaling with mail-enabled. We recommend using the name MailMeter_Journal for this account. In a multi-exchange Server environment we recommend creating one special account for each server. You will also need to create an Outlook profile for each server. Using a special account for each server eliminates problems in the chance that an existing account gets deleted. We recommend using the name MailMeter_Servername for each account replacing Servername with the NETBIOS name of the server. Warning! DO NOT HIDE the MailMeter mailbox from the Global Address List. MailMeter cannot process mail Archived (Journaled) from a hidden mailbox. If you use Windows Active Directory Users and Computers: Create a new user account and mailbox for MailMeter to receive copies of from the Archive (Journal) facility. We suggest the mailbox name be MailMeter_Journal or MailMeter_ServerName. The alias name should be the same name. Click Next. 20

27 Enter a Password for the MailMeter account. Uncheck the box User must change password at next logon. Check the box Password never expires. Warning! If you change the password on this account, you must rerun the MailMeter Configuration Wizard (used during MailMeter installation) or else MailMeter will not be able to connect to its mailbox. Click Next. Verify the information is correct. Click Next. Click Finish to complete adding the MailMeter account and creating the MailMeter mailbox. 21

28 2. Grant the MailMeter Service Account Full Exchange Permissions. Administrative privileges to the server to read the Address Book and Full Control to all mailboxes for History Capture, Mailbox Analysis and attachment stubbing. o o Exchange grant Service Account Full Control at each Server Level. We recommend this rather than at the Mail Store level because it enables you to add new Mail Stores without having to worry about setting up permissions again. Exchange 2007 / run Shell Commands to grant Service Account full rights for each server. 2.1 Giving permission to the MailMeter Service Account In Windows Active Directory Users and Computers: right click on the MailMeter account name Select Properties. On the Properties dialog panel, click the Member Of tab. Make the MailMeter Service Account a member of Domain Users Warning! If your organization has policies that prohibit domain users from specific functions (accessing Exchange or SQL Server), you should add the MailMeter Service Account to a group that has full access to these resources. Note: On the MailMeter server you must also make the MailMeter Service Account a member of the Local Administrators group. Click OK. 22

29 2.1.1 Setting permissions in the Exchange 2003 System Manager. MailMeter History Capture, Mailbox Analysis, and Storage Manager need Exchange Admin privileges. Open the Exchange System Manager. Open the Mailbox Store where the MailMeter mailbox resides. Right click the Server Level and choose Properties. On the Security tab, Click Add. Click the Advanced button and select the MailMeter account name from the list. Validate the name click Check Names. Click OK. You MUST allow the MailMeter account Full Control. All permissions must be checked. Click OK to finish. Note: Repeat this process on all your Exchange servers. 23

Setting Special Permissions - Using Exchange 2007 / 2010 Management Shell Commands <service account> must be replaced with the MailMeter Service Account name. i.e. <MailMeter_Journal> <servername> must be replaced for each Exchange Server. i.e. <WTdemo-server> Grant the MailMeter service account access rights: Get-mailbox add-mailboxpermission -user <service account> - accessrights fullaccess Grant the MailMeter service account full access to all mailboxes: (<servername> must be entered for each Exchange server) Get-mailboxserver <servername> add-adpermission user <service account> -extendedrights Receive-As Give the MailMeter service account the ability to do anything with mailboxes (required for Storage Manager): Get-mailboxserver <servername> add-adpermission user <service account> -accessrights GenericRead, GenericWrite - extendedrights Send-As, Receive-As, ms-exch-store-admin 4. Turn on Exchange Journaling (Archive) This is only required if you are capturing all messages into the MailMeter archive. If you are only licensed for MailMeter Standalone Storage Manager, you do not need to do this step. MailMeter gets a copy of every that passes through your server(s) through the standard Microsoft Exchange Archive (Journal) facility that automatically copies into a mailbox that you set up for MailMeter. MailMeter reads the from the MailMeter journal mailbox, stores the information into the MailMeter SQL database and Archive Volumes, and then deletes it from the journal mailbox. Turn on Journaling for each Mail Store (Exchange 2003 / 2007) or mailbox database (Exchange 2010) If you have multiple servers or multiple mail stores on a server, you will have to enable the Archive (Journal) facility in each one and point them to the same MailMeter mailbox that you set up. Collecting messages only for specific mailboxes Exchange 2003 / Put the user mailboxes in a separate server or mail store and activate the Archive (Journal) just on that server or mail store. Exchange 2010 Configure the Journaling agent (Exchange Enterprise) to collect messages from specific individuals or distribution groups. Removing junk or internal system messages To eliminate junk messages or internal system messages, you can put a rule in Outlook on the MailMeter Journal mailbox to automatically delete those messages before MailMeter gathers them. The Journaling agent is a compliance-focused transport agent that processes messages on Hub Transport servers. It fires on theonsubmittedmessage and OnRoutedMessage transport events. Standard journaling is configured on a mailbox database. It enables the Journaling agent to journal all messages sent to and from mailboxes located on a specific mailbox database. To journal all messages to and from all recipients and senders, you must configure journaling on all mailbox databases on all Mailbox servers in the organization. Premium journaling enables the Journaling agent to perform more granular journaling by using journal rules. Instead of journaling all mailboxes residing on a mailbox database, you can configure journal rules to match your organization's needs by journaling individual recipients or members of distribution groups. You must have an Exchange Enterprise client access license (CAL) to use premium journaling. 29

36 4.3 Enabling BCC journaling in Exchange 2003 (not required in Exchange 2007) You must make changes to the Windows registry to activate the Exchange BCC feature. The BCC recipients are captured by MailMeter and are displayed in ISR, Investigate, Insight, and Compliance Review. New Registry Key Parameters - Add the following registry key on the server: HKEY_LOCAL_MACHINE\System\CurrentControlSet\Services\MSExchangeTransport\Parameters New Values in Parameters. After you have added the Parameters registry key, add the following registry key values: HKEY_LOCAL_MACHINE\System\CurrentControlSet\Services\MSExchangeTransport\Parameters\JournalBCC Key name: JournalBCC Data type: Dword Data value: 1 The Exchange SMTP Service and the Information Store service must be restarted before this registry key is considered valid. Exchange Server Best Practices Analyzer - Articles > Transport The Microsoft Exchange Server Best Practices Analyzer Tool reads the following registry entry to determine whether blind carbon copy (Bcc) journaling is enabled: HKLM\SYSTEM\CurrentControlSet\Services\MSExchangeTransport\Parameters\JournalBCC If the Exchange Server Best Practices Analyzer finds that the value for JournalBCC is set to 1, the Exchange Server Best Practices Analyzer displays a non-default configuration message. Bcc journaling is message-only journaling with the added ability to capture the Bcc recipients. When Bcc journaling is enabled, Exchange Server captures all recipients, including Bcc recipients, that are known at the originating server. If this recipient list includes hidden distribution lists, query-based distribution lists, or distribution lists that are expanded on another server, the recipients for these lists are not included in the journalized mail. The Bcc journaling functionality is enabled by setting a registry key. For more information about setting this registry key, see Microsoft Knowledge Base article , "XADM: Bcc Information Is Lost for Journaled Messages in Exchange 2000" (http://go.microsoft.com/fwlink/?linkid=3052&kbid=810999). To enable Bcc journaling on a specific server, you must first configure message-only journaling. 37 4.4 Enabling Journaling / Archive Exchange 2010 Journal setup There are multiple steps to setting up journaling on Exchange Create a mailbox for the MailMeter Service account. (You should have completed this when you set up the MailMeter Service Account.) 2. Turn off Storage Quotas for this mailbox. 3. Enable journaling for all mailboxes. Turn off Storage Quotas for the Journaling mailbox. 1. Open the Exchange Management Console Expand the Recipient Configuration tree. 2. Click Mailbox. 3. Select the MailMeter Service Account mailbox you created. 31

38 4. Right Click and select Properties. 5. On the Mailbox Settings tab, select Storage Quotas Then click Properties. 6. Uncheck the Use mailbox database defaults. Click OK. The click Apply on the Storage Quotas then click OK. 7. Select Journal Recipient Click Browse... to locate and select the Journal Mailbox you will use for MailMeter. Click OK to finish. 32

39 Setting up Exchange 2010 Journaling. 1. Open the Exchange Management Console. Expand Organization Configuration. Select Mailbox. 2. In the results pane, select a Mailbox database to enable journaling. 3. Select Properties in the Actions pane or right click on the database name and select Properties. 4. Click on the Maintenance tab. Check the box Journal Recipient. Click Browse to locate and select the MailMeter Journal mailbox you set up. 5. Select the mailbox. Click OK. 6. On the mailbox database properties panel click OK. Mailbox journaling is enabled. 33

42 Exchange 2003 Journal setup 1. Open the Exchange System Manager. Open the Mailbox Store where the MailMeter mailbox resides. Right click the Mailbox Store and choose Properties. 2. On the General tab select the checkbox Archive all messages sent or received by mailboxes on this store. Click Browse and choose the MailMeter mailbox. Click OK. NOTE! If you already use the Journal facility for another purpose. If you are already using the Archive (Journal) facility for another purpose, you must modify the Exchange Delivery options on the current Archive (Journal) mailbox to point to the MailMeter mailbox first with a forward to the other account. 1. Open Active Directory Users and Computers. 2. Double click on the current Archive account. 3. Select the Exchange General tab. 4. Click Delivery Options button. 5. Click the Forward to: option button. 6. Select Modify and enter the MailMeter account. 7. Make sure you check the box to: Deliver messages to both forwarding address and mailbox. Click OK to finish. 36

43 5. Access to the MailMeter server Grant the MailMeter Service Account Local Administrator rights on the MailMeter server by adding its account to the Local Administrators Group. 6. Access to the MailMeter Archive Volumes Grant the MailMeter Service Account Read/Write access to the location of the MailMeter Archive Volumes on the MailMeter server, on a different server, or NAS / SAN. 7. Access to the MailMeter Temporary Work Areas Grant the MailMeter Service Account Read/Write access to the location of the MailMeter temporary work areas on the MailMeter server, on a different server, or NAS / SAN. 8. Create the MailMeter SQL database SQL Server 2005 or 2008 MailMeter requires that its text data for searching be stored in a Microsoft SQL database. The MailMeter Installation/Configuration Wizard will prompt you for the database information. You can use an existing SQL instance on a different server. Make sure other applications on that server do not interfere with MailMeter processing. Recommend that the database name is MailMeter. Make sure you check the box to enable Full Text Indexing for this database. Important! You MUST back up the MailMeter database as frequently as you back up other important databases. Warning: If the MailMeter database is damaged or corrupted for any reason, the s in the archive cannot be accessed. Do not configure the MailMeter database on a compressed volume Configuring SQL Server Start Microsoft SQL Server Management Studio. Navigate to the Databases folder: Microsoft SQL Servers - SQL Server Group - <Server> - Databases: Right click the Databases option and select the New Database... option. Enter the name of the database that you want MailMeter to use (we recommend using MailMeter as the database name) Access to the MailMeter database Grant the MailMeter Service Account DBO and SYSADMIN rights to the MailMeter database. Note: SYSADMIN permission is only required during initial installation and any upgrades. Enter the name of the MailMeter Service Account as the Owner. Click Add. Exit the SQL Server Management Studio. 37

44 9. Install Outlook on the MailMeter Server MailMeter establishes its connection to Exchange using MAPI as if it were a standard end user. Log into MailMeter server with the MailMeter Service Account and create an Outlook profile for the Service/Journal Account. Create the profile for MailMeter Service Account. Call this profile MM_PROFILE_mmservername replacing mmservername with the NETBIOS name of the MailMeter server. In a multi-exchange server environment, you need to create an Outlook profile for each server. - We recommend that you create one special account for each server. This eliminates problems if an existing account gets deleted. We recommend that you use the name MM_PROFILE_ServerName for each account (replacing ServerName with the NetBIOS name of the server). Open Outlook on the MailMeter server and make sure that the Journal Mailbox is the default. Install Outlook (2003 / 2007 /2010) on the MailMeter server. To create an Account on the MailMeter server, use the Mail Control Panel applet to set up a new account. Click Next. Select Microsoft Exchange Server. Click Next. Enter: the name of your Exchange Server the MailMeter service account name If available, click Check Name to validate the User Name. Complete the setup of your account. Click Next. 38
