3 1.0 BACKGROUND The University of Malawi through its Management Studies Department under the Faculty of Commerce has since 2003 been running the Executive MBA programme at the Malawi Polytechnic. However, over the years many developments have taken place both within the Malawi Polytechnic and the University of Malawi as a whole, presenting great challenges and opportunities to the Faculty. For instance, the University of Malawi adopted a Postgraduate Handbook in September, 2007 and Malawi Polytechnic adopted a general postgraduate regulations handbook in March Furthermore, until 2011, the university system did not provide for multiple-entry and multiple-exit arrangements. As a response to these developments, the Faculty of Commerce has revised the rules and regulations for the MBA programme in order to realign this programme with the current trends in the University of Malawi by for instance allowing for multiple exit points. These regulations shall be read in conjunction with the General Regulations for the postgraduate degrees of the University of Malawi. In this context these regulations relate to the two year postgraduate Master of Business Administration (MBA) degree programme run by the Polytechnic, Faculty of Commerce. 3

4 2.0 APPLICATION PROCEDURE (a) The candidate shall submit duly completed application forms (in triplicate) to the College Registrar together with certified copies of certificates, transcripts, awards and other supporting documents and the stipulated application fee. (b) The Registrar shall retain one set of application documents and send the remaining two copies of application forms to the Dean of Faculty of Commerce. (c) The Dean of Faculty of Commerce shall retain one copy of the application forms and send the remaining copy of application forms to the Management Studies Department. (d) The Management Studies Department shall request at least two references on the applicant from the referees named in the application form. (e) Applicants must further be able to demonstrate in advance how they intend to support themselves financially, and how they intend to pay fees. Where an applicant has obtained sponsorship, a copy of the letter stating the sponsorship and a copy of agreement must be submitted with the application. Where an applicant intends to sponsor themselves, copies of appropriate financial records or evidence must be submitted that include bank statements or reference. (f) As soon as all required documentation is available (completed application form, certified certificates, transcripts and at least two references), the Management Studies Department shall consider the 4

5 applicant s eligibility for the Executive MBA programme using an agreed set of guidelines to rank each application. (g) The Management Studies Department shall send its selection recommendations to the Dean of Faculty of Commerce for endorsement, and shall submit to the Postgraduate Committee together with the following: i. The candidate s application forms; ii. Two academic references; iii. The necessary transcripts and/or copies of certificate/awards; iv. Any other relevant documents. (h) The Head of Management Studies Department or his/her representative shall present the Departmental selection recommendations to the Postgraduate Committee. (i) The Postgraduate Committee shall accept or reject the selection recommendations in the light of all available information. (j) The names of accepted candidates shall be forwarded to the Vice Chancellor for approval on behalf of the Senate. (k) The College Registrar shall send letters of admission only to successful candidates in accordance with University regulations and shall retain copies of application forms and offer letter for record keeping. 5

6 3.0 ENTRY REQUIREMENTS FOR MBA PROGRAMME (a) Students who hold a first degree in a relevant field e.g. Business Management, finance, accounting etc from any recognized University will be eligible for the MBA Programme. (b) Applicants who hold first degrees should have at least a degree with a strong pass from the University of Malawi, or its equivalents, and at least three years work experience at a middle management position after obtaining the degree qualification. (c) In special circumstances applicants who do not hold first degree but possess relevant professional qualifications such as ACCA, CIMA etc may be considered for the MBA programme. A panel of assessors comprising Head of Management Studies Department, Coordinator of the MBA programme, one subject specialist and Dean of Postgraduate Studies shall decide upon eligibility in these cases. 4.0 PROGRAMME FEES AND PAYMENT STRUCTURE (a) Fees for the MBA programme are: - 7, US Dollars for foreign students and an equivalent of 6, US Dollars paid in Malawi Kwacha for local students. The fees cover tuition and thesis supervision. The amount of fees is subject to change from time to time depending on circumstances prevailing in the economy and the University of Malawi. (b) Applicants will be required to pay all of their fees either within two weeks of commencement of the MBA programme or pay off their fees through three equal installments as follows: 6

7 i. Students pay one third of the total fees within two weeks of commencing each semester; ii. Students pay 50% of the installment for the semester within two weeks of commencing the semester and the balance of 50% for the semester fees to be cleared before commencement of end of semester examinations. Students will not be allowed to sit for the end of semester examinations if they fail to clear any outstanding installment fees for that semester. 5.0 PARTICIPATION IN THE MBA PROGRAMME (a) Students will have to undertake all compulsory modules of the programme unless they are given an exemption. (b) Exemption for particular compulsory modules will be given where applicants show evidence of having completed the content and depth of the module which another university has formally assessed at the same or higher level. A panel of assessors made up of Head of Management Studies Department, Coordinator of the MBA programme, one subject specialist and Dean of Postgraduate Studies shall decide upon eligibility for exemption. (c) Students will have a maximum of two years (24 months) to complete the MBA programme. In special circumstances, this may be extended by one year and the postgraduate committee shall decide upon eligibility for such extensions. 7

8 6.0 MBA EXAMINATIONS AND ASSESSMENT PROCEDURES The MBA programme will examine students as follows: 6.1 MODULE ASSESSMENT (a) Assessment of a module is based on a 101 point scale. (b) Overall assessment of students performance in a semester shall be based on all the modules taken in that semester. (c) Module marks as well as average marks used in all assessments will be rounded to the nearest whole number (integer). (d) The pass mark shall be 50% Core and Elective Modules (a) Students are required to take all the core modules offered during a semester unless they are exempted (see exemption rules) and at least one elective module in each semester. (b) Students will be required to clearly indicate at the beginning of the programme which elective modules they have chosen Audited Modules (a) A student may register to audit some of the elective modules upon the Department s approval. (b) The student s transcript will carry a grade with an indication that it is an audited module. 8

9 (c) Audited modules shall not contribute towards a final grade Course Work and Examinations (a) A module is assessed by both coursework and end of semester examinations as described in the module specification. (b) As an Executive MBA programme, the emphasis is more on practice and therefore course work shall constitute 50% of the final grade. Final examinations in the module will also contribute 50% for a particular module s final grade. (c) All modules will be assessed through closed written examinations at the end of the semester. (d) Elective modules will be assessed in the same way as core modules Referrals (a) A student who obtains a failing grade in one or two modules in a semester will be required to take supplementary examination(s) for the failed module(s) at the end of the relevant semester. (b) A student will be deemed to have failed a module if his/her aggregate grade in a given module falls below 50%. (c) At this level, assessment of each module is independent. A pass in one module will not compensate a failure in another module. (d) Students who pass a referred module will be awarded a mark of 50% for that module regardless of the actual level of achievement. 9

10 6.1.5 Repeating a Module (a) A student who fails supplementary examinations of core module(s) shall repeat the module(s) when next offered. The student shall not be allowed to proceed to the next level until all modules are cleared. (b) A student who fails supplementary examinations of elective modules only shall be allowed to proceed to the next level; however, the student shall not be allowed to graduate until they have passed the failed modules. Further, the student shall not be allowed to accumulate more than two modules. (c) A student who fails three to four modules in a semester shall not be allowed to proceed to the next semester, but will be allowed to repeat the modules he/she failed when next offered. (d) A student repeating a module or modules shall be required to pay appropriate module fees. (e) The actual grade obtained for the repeated module will be awarded. (f) A student will be allowed to repeat the failed module(s) once only during their postgraduate studies programme Deferred Assessment (a) A student who misses examinations due to illness (upon production of valid medical report) or bereavement of an immediate family member will be eligible for deferred examination(s). (b) Students who fail a deferred examination may be offered the opportunity for supplementary examination when the module is next examined. 10

11 6.1.7 Withdraw from the Programme (a) A student who fails more than four modules in a semester will be withdrawn from the programme on academic grounds. (b) A student who fails to complete the requirements of the award within the specified time will be withdrawn from the programme on academic grounds. 6.2 ASSIGNMENTS (a) Students will have to submit typed copies of the written assignments and project work (not examinations) by the date set by the module lecturer. (b) Students will be permitted to ask for an extension in advance of the deadline and these extensions will be given at the discretion of the module lecturer. (c) Students who fail to submit assignment(s) and project work by the given deadline, without seeking permission for an extension from the relevant lecturer will have 10% of the marks deducted. (d) If students do not submit the assignment(s) within the extended period, the relevant lecturer has the right to refuse to accept it and the student will be awarded a zero for that assignment. 6.3 THESIS (a) An MBA thesis will constitute 50% of the final overall grade for the entire programme. 11

12 (b) After successful completion of all taught module assessments, a student will be given a maximum period of 6 months for the thesis component. (c) A student will be required to register formally for the thesis component. (d) Students will be allowed to apply for up to 2 extensions to complete their thesis as follows: i. The maximum allowable period for extension is 3 months after the due date. No fee will be payable for this extension. Students must apply for extension through their supervisors. ii. Students who will not complete their thesis within the maximum allowable period of 3 months extension should re register. Students who re-register will be required to pay the thesis fees tenable at that time. Such students will have up to 6 months to complete their thesis. (e) The responsibility for preparing the thesis remains wholly with the student. However, the thesis must be presented according to the existing programme, Faculty, College and University research guidelines. (f) The final thesis shall be the result of the student s own work and content of it shall clearly acknowledge where it is not the student s own work. (g) The thesis will be examined by one external examiner and one internal examiner. They shall prepare independent reports on the thesis. Final marks will be an average of the external and internal examiners grades. 12

13 (h) Internal assessor shall focus on structure of the thesis and shall confirm that the student has addressed the issues raised during the examination of the thesis by internal and external examiners. (i) The University of Malawi Postgraduate Committee will make a final decision on whether a student has passed or not after review of the internal and external examiners reports as well as internal assessor s report. Senate will approve or disapprove the results. (j) A thesis shall be resubmitted only once. A failed thesis should be redone and re-submitted within 6 months. (k) The thesis must be passed at 50% for the award of the MBA. 6.4 EXIT AWARDS (a) A student who successfully completes an MBA thesis and assessments for all required taught modules shall be eligible for the award of a Masters Degree in Business Administration (MBA). (b) A student who successfully completes assessments for all required taught modules, but for any reason does not submit an MBA thesis shall be eligible for the award of a Postgraduate Diploma in Business Administration. 6.5 MARKING SCHEME All assessments (examinations, in-course assessments, projects, cases) will be based on the following general criteria for assessing work within the following overall scheme: 13

14 Grading system The MBA programme shall use a letter grading system with the following range of marks: SCHEMATIC CRITERIA FOR ASSESSMENT Grade Range of Marks (%) Z (Unsubmitted grades) 0 F (Undoubted failure) 0-39 E (Marginal failure) D (Pass) C (Strong pass) B (Credit) B+ (Strong credit) A (Distinction) A+ (Undoubted distinction)

15 GRADE FEEDBACK PERCENTAGE CRITERIA A+ Undoubted Outstanding achievement distinction of distinction level. A A Distinction comprehensive discussion of the topic giving all the relevant information showing in-depth critical understanding of the topic, going beyond conventional answers and bringing in addition ideas or material. B+ Strong credit Very good pass. A full discussion of the topic that includes all relevant information and critical evaluation. B Credit Good pass. The major points are discussed, but C Strong pass relevant though less important considerations are omitted. D Pass Satisfactory. Sufficient relevant information to pass is included but not all the major points are discussed and there may be some errors of interpretation. E Marginal failure Unsatisfactory. Borderline fail. A few points are included but real lack of understanding shown and often use of irrelevant points. F Z Undoubted failure Unsubmitted grades 0-39 Outright fail. None of the major points are present; many irrelevant points are included; serious lack of understanding; or submitted after deadline without extension granted. 15

16 The MBA certificate will not indicate the level of achievement for example distinction, credit or whatsoever, it will just indicate that the candidate satisfied the requirements of the examiners that is, passed, for the award of the MBA degree. The categorization of the achievement will be shown on the academic transcript. 7.0 EFFECTIVE DATE (a) These MBA rules and regulations shall become effective to the student at the moment he/she accepts an offer of a place to pursue the Executive MBA programme. (b) These MBA rules and regulations are subject to change from time to time in order to take into account new developments. 16
