1 E\ GRXJ DQGHUVRQ So you ve got GroupWise 5. It s robust, efficient, a dream to use. You know that and I know that, so what s the problem? Well, we re the only ones who seem to know it, and the boss says you re in charge of training everyone else. What s worse, your budget (if you re lucky enough to have a budget) couldn t keep your crew in Pez dispensers for a week, much less buy sophisticated training materials. Before you consider a change of careers, consider this: you ve got a friend in the training business, and we re here to help. We feel pretty strongly that the best way to get people going is to give them our URL ( and let them play, but if that s not practical, or if it s simply not possible, here are some easy avenues to get your people up to speed on GroupWise 5. Most of them are absolutely free. Let s start with those: New to Cool Solutions is the Downloadables department. We think of this place as Training Central. Odds and Ends We re not done with the Downloadables section; around here nothing s ever really finished. Every time a developer creates a nifty new C3P0 (Custom 3 rd Party Object) on his or her lunch break, we ll offer it out here. We expect this page to get pretty darn cool pretty fast, so check back often. *URXS:LVH 8SJUDGH 4XHVWLRQV We re working on putting a regular Frequently Asked Questions section together for everything in the GroupWise 5.x world, but for those of you interested in moving from 4.1 to 5.x, here s a sampling of Qs and As. Did anything replace the Shelf in GroupWise 5? The Shelf was a darned handy place to store things like programs, custom views, and documents. However, Windows 95 does a pretty good job of letting us put these things directly on the desktop. In fact, we thought that Windows did such a good job that we decided to let it handle some of the mundane tasks so that GroupWise could concentrate on

3 some of the more complicated tasks. Here s an example: to put a custom appointment view on the desktop, open the appointment view, right-click the icon in the upper-left corner of the view and drag the icon to the desktop, then click Copy Here. Now, when you click the new appointment shortcut, GroupWise is launched and opens the custom appointment view. What will GroupWise 5 offer me that 4.1a doesn't? How can I take advantage of the Internet and GroupWise 5? I'm tired of checking voice mail, , user groups, pagers, etc. I need one source for everything. Can you help? Where do we start? GroupWise 5 is your one-stop solution. We d be tired too if we had to check for all the sources of information that you mentioned. Because we have GroupWise 5, we can check the universal Mailbox for all that stuff and more. The universal Mailbox can contain messages, voice mail messages, documents, faxes, appointment requests, notes, tasks, forms, and more. Here s just a sampling of what you can look forward to with GroupWise 5: Document Management: GroupWise Library lets you manage documents from within your Mailbox and folders. Documents are stored in databases called libraries. Documents display in your Mailbox and folders along with mail messages, tasks, appointments, and more. You can select a document reference to create, delete, check out, check in, or copy the corresponding document. Shared Folders: You can make personal folders in your Cabinet public by sharing them. For example, if you want to have a place where everyone in your department can put and view GroupWise items like mail messages, documents, and so forth, you can share a folder. You choose who to share the folder with, and what rights to grant each user. Then, users can post messages to the shared folder, drag existing items into the folder, and create discussion threads. Conversation Place: Conversation Place lets you manage your telephone directly from your desktop. You can answer your phone, place callers on hold, use the speaker phone, conference other callers, and more. You can even look up phone numbers and dial numbers directly from Conversation Place. Improved Address Book: Use the Address Book like a phone book and information center for your addressing needs. The Address Book can store names and addresses, addresses, phone numbers, and more. Improved sorting lets you choose how you want your address book to display: by first name, last name, department, and so forth. You can also dial the phone from the Address Book. You can create multiple address books for your personal use. Address books can store addresses as well as Internet addresses. Internet Access: GroupWise and your Internet browser can integrate to help you complete your work. GroupWise and your browser combine to let you send Internet addresses to other users, and to go directly into your browser from GroupWise to open addresses sent to you. You can create address references from GroupWise, then access these references later through your browser from a GroupWise folder. And don t get us started on the new WebAccess client. We d be here all day. Look for an upcoming article on all the ways you can use GroupWise while you re away from the office. QuickViewer: Use QuickViewer to scan the contents of your items. QuickViewer saves time because you don't need to open each item; you simply click an item or press Down arrow to read your items. If you click a document reference, the document will display in QuickViewer.

4 Change To: You can use Change To to convert an item in your Mailbox to another type of item. For example you can change a mail message in your Mailbox to an appointment in your Calendar. The new appointment contains all the information from the mail message (such as To, CC, and BC lists, subject, and message text) that is applicable in the appointment. We currently run the CE version (Canadian English, eh) of GroupWise 4.1a. Is there anything special or out of the ordinary we should be looking for? I understand there is now only one English version of GroupWise 5. Will upgrading affect our spell checks? We also have a few sites that use WordPerfect Office suites. Will upgrading to GroupWise 5 have any affects on the shared code aspect of the WordPerfect Office suite. It is true that there is only one English version of the 32-bit GroupWise client. And, yes, sorry, but in most cases, that would throw your spell checking for a loop. However, in your second question, you ask about the WordPerfect suite. First, don t worry about the shared code. It s not a problem. Second, if you re using the Corel (WordPerfect s new guardian) suite, and you install the Corel writing tools after you install GroupWise, you can use Corel s writing tools from GroupWise, and since Corel is based in Ottawa, you can bet your toque that they support Canadian English. I would like to know if there is a GroupWise 5 DOS Client available. Um, well, there isn t any other way to say this: No. I was just wondering why the Spell Check, Thesaurus, and QuickCorrect options did not seem to be available in the GroupWise 5 32 bit client until I loaded Corel Office 7 Professional on my PC as well. Any ideas guys? GroupWise ships with Spell Check and QuickCorrect. However, Thesaurus, Grammatik, or anything else that may be available through linguistics or Corel is not available unless you install it separately. That means once you install Corel, GroupWise finds those writing tools, and puts them on your Tools menu. Why did the ability to EXIT Word via the "Close Box" icon or the "Control Menu" icon go away after the GroupWise integration was installed? It s all about ODMA (Open Document Management API (Application Programming Interface)) these days. Some applications have it, some don t, and some others only have it in small pieces. Word 95 has it in small pieces. So, to make sure Word 95 documents get properly checked back in to the GroupWise Library, GroupWise takes away your ability to close Word 95 documents the normal way. If you can t stand it, turn off Integration in GroupWise Document Options. By the way, Word 97 offers some improvements over Word 95, but doesn t fix everything. When will the GroupWise 5 UNIX and Mac clients be available? Look for both the Macintosh and UNIX clients sometime in July of I have a Pentium 166 with 32mb of RAM running Windows 95 with Client32 on a 4.1 Novell Network. I find that the initial load of GroupWise takes about a minute, is this normal? I also find that the first new message takes quite a long time to load, is this normal? If the answer is yes, what am I going tell 100 users when I start to deploy GroupWise in about three weeks? The users are very demanding and they are very used to a basic mail package (NoteWorks) giving them instant access when they hit a hot-key combination.

5 The sad truth is, Windows 95 asks a lot of an application. Using the Windows Registry slows things down, since every time you open a view or a window, GroupWise has to trudge off to the registry to find the right stuff. However, GroupWise 5.1 (now shipping, and free to 5.0 users) offers significant improvements, especially in terms of speed. Load time of the program and of views is faster than ever. A lot of our users will still be using WordPerfect 5.1 for DOS. Will we have problems with attached files created in WordPerfect 6.1 for Windows? GroupWise won t give you any trouble attaching files created in any format. And you can easily view both WP5.1 for DOS files and WP6.1 for Windows files in the GroupWise Viewer. However, as you probably know, you cannot open a WP6.1 for Windows file in WP5.1 for DOS. So the short answer is, GroupWise doesn t have a problem with either format, but once you get those files out of GroupWise, you re on your own. (GXFDWLRQ &RXUVH Novell Education has put together a course that would do us documentation folks proud. With a catchy title like Course 1351 (well, also subtitled Connecting with GroupWise 5: The User Productivity Workbook), this handy tome can turn your people into power-users in no time. The course actually can be used just as easily as a printed manual. Divided into six sections, this easy to follow book covers all the necessities of GroupWise, from a quick, guided tour to sections on creating find results folders and sharing documents. The six sections can be followed sequentially or read in whatever order you need. Course 1351 is readily available from your local Novell Authorized Education Center (NAEC). Find your NAEC using our handy training center locator at Just enter your zip code and a list of local NAECs will be provided for you. Just to get you going, we ll give you a quick overview of the course: Section One: Entitled Introduction to GroupWise 5, section one takes you on an exploratory voyage of the GroupWise world. You get a quick overview of GroupWise s time-saving features along with an explanation of the interface. And, perhaps most important, you get all the scoop on the excellent online Help system. Section Two: Called Connecting with , section two runs right through the basics of . You get to find out how to read and send , how to reply to , how to find addresses in the Address Book, and how to attach files to messages. You also get a primer on organizing your messages in folders for safe keeping. Section Three: Connecting with Scheduling teaches, of all things, how to use GroupWise as a calendar manager. You learn how to use the GroupWise Calendar, use Busy Search to make sure everyone can attend meetings, how to get alarms before appointments, and more. You ll be a better person when you finish this section.

6 Section Four: Connecting with Shared GroupWise Items gives you the skinny on shared folders, shared documents, and how to manage all the sharing. Barney would love this part. The sharing part of GroupWise is what GroupWare Collaboration is all about. Section Five: Called Connecting with the Internet, this section covers all the basics of Internet , sending URLs, and how to get more information about GroupWise through the Internet. It even shows you how to get out here to Cool Solutions. Section Six: Customizing and Organizing GroupWise shows you how to make your Mailbox truly your own. You can customize views, create special personal folders, and organize all your addresses in a secret place. Each section in the manual also has a Consider This heading, where you can explore on your own.
