3 The Feedback Mechanisms prevailing at the University The development of any organization, especially an University, heavily depends upon a well functioning feedback system. It requires a thorough preparation to initiate, launch and implement the feedback system. This university has been practicing a feedback system accommodating all the stake holders including staff, students, alumni, employers and parents, for many years, to help the individuals and organization as a whole, to improve the performance and effectiveness. STAFF: The university has made it a practice to conduct all faculty meeting, once in a month, preferably on a third Saturday, where the ways and means of enhancing the curriculum, academic discipline, Teaching Learning process, Research and Extension activities are discussed. During such meetings, the individual faculty members express their honest opinion on the teaching learning process, research and extension activities and the same would be debated and discussed. The appropriate suggestions are put forward to the respective councils for implementations. Page 2 of 25

4 The faculty members get representations in the Board of Studies, Academic Advisory Committee and Academic Council, where the staff members are getting ample opportunities to give feedback, on both curriculum and teaching learning process. Based on the feedback obtained during the teaching learning process, a course teacher is empowered to revise the contents of the course after obtaining a formal approval from the Chairman, Board of Studies. STUDENTS: Whenever a course is offered by the department, the students would be required to give the feedback at the following intervals. First feedback after the first class committee meeting but before the first continuous assessment test. Second feedback during the middle of the semester The first feedback comprises of 10 questions including salient points on the Course Presentation by Teachers, Approach and Teaching-Learning Process. These questions will provide input for initial corrections in the teaching-learning process, to make the process more effective. The final feedback consists of 2 parts viz., Part A - on the Course Teacher and Part B - on the course. Page 3 of 25

5 The part A consists of four subsections viz., i. Presentation skills of the course teacher ii. Approach adopted by the course teacher iii. Effectiveness of teaching - Learning iv. Evaluation Part B consists of 5 questions on the usefulness and nature of the course and a provision for qualitative evaluation. The student s feedback on the staff will find a place in the performance appraisal scoring system (PASS) of the individual faculty member and the same is evaluated for the sanction of increments and additional increments. When the feedback of a staff is not encouraging, he/she will be counselled by the Head of the Department. When the faculty performance index Faculty Performance Index (FPI) is below a prescribed value, either the increment will not be sanctioned or the faculty will be required to give an explanation for the poor performance. The students feedback on Curriculum, Teaching, Learning and Evaluation will be discussed in the appropriate forums like Department all Faculty meeting, Board of Studies, Academic Advisory committee and Academic Council. ALUMNI: As the alumni is found to be the brand ambassador(s) of our institute, the feedback, of the alumni is given, due considerations. This university enjoys a strong and healthy association with the Alumni Club. A formal exit feedback is conducted by the Alumni association regularly at the end of completion of program study at this university. The consolidated feedback report would be submitted to the university officials Page 4 of 25

6 for taking cue of the positive performances and scope for improvement. The alumni has active representation in the school level Advisory Council. As an innovative measure, one of our Alumni Mr. K. Bhaskar was made as a member of Academic Council of B.S. Abdur Rahman University. EMPLOYER: The Board of Studies of various departments / schools are invariably represented by one employer, who is normally a senior industrial expert. Employer feedback on the programs offered are given due significance and accordingly, the contents of the program are modified / revised Some of the industrial experts representing the Board of Studies are belonging to M/s. Apollo Tyres, M/s. TENB, M/s. Ford India, M/s. Dynaspede, M/s.Mahindra Consulting Engineers, M/s. WABCO, M/s. Cognizant Technology Solutions, etc. Recently, an industrial meet was organized by this university in which 70 CEOs / Senior Executives have participated and have given their impressions / feedback about the institution performance. The employers also make representation in the various school level advisory committees, in which the attainment of program outcome, teaching-learning process etc., are discussed. PARENTS: As an important stake holder of this system, the parents feedback are also obtained and analyzed. Some of the parameters accommodated in the parents feedback, include quality of teaching, students discipline, sports facilities, lab facilities, examination system, student activities such as transport, library, internet facilities, wi-fi etc. Page 5 of 25

7 The parents of the students whose performance in the continuous assessment test is poor are counseled individually and their feedback are also give due consideration. In addition, parents meeting are also conducted by the individual department and their suggestions are received in the right spirit. By virtue of the composition of school advisory committee, parents are also members of the committee. Page 6 of 25
