3 Mission Statement The Professional Academy of Health Care Reimbursement Specialists focuses on Preparatory Courses aimed at National Certification in Medical Coding, Billing, Reimbursement, Medical Record Audits. Our goal is to educate and credential students to ensure employability and provide ongoing support in the way of Continuing Education Units (CEU), networking, and the latest updates in Healthcare. General Description of Facility Our Administrative Office is located in Franklin. The majority of classes are now taught through our PAHRS On-Line Classes. We also teach classes in 4 locations in the Hampton Roads Area. Franklin Hampton 601 N. Program requirements at the time of readmission shall be applicable. Any student, who was academically terminated, may be readmitted within one year by completing a personal interview with the school s director and paying all fees at the time of readmission. Student shall be on probation for 30 days. Program requirements at the time of readmission shall be applicable. Any student who was terminated for conduct may not be readmitted. Attendance The school maintains an attendance record on each student. The school requires a hundred percent (100%) completion of class hours in order to receive your certificate of completion from the course. If in any thirty-day period your attendance is less than 80%, you will be placed on probation for a period of thirty days. If you meet the attendance requirement in the next thirty days you will be removed from probation. If you fail to correct your attendance problem you will be dismissed from the school. You may request reinstatement, but you will be required to provide proof that the problem that caused your chronic absenteeism has been resolved. Tardiness is defined as showing up more than ten minutes late for class. Tardiness without a legitimate reason on more than three different occasions will be considered as one unexcused absence. If a student misses 3 or more classes, the director will review eligibility to continue in the current program. Students are expected to be on time and attend all scheduled classes. 5 Leave of Absence Student may request a leave of absence at any point during their studies. In order to receive a leave of absence a student must submit a written notice to the school explaining the reason they are not able to attend school. If a student fails to notify the school admissions office of their leave of absence, the student will be held to the standards discussed in the Attendance section. This includes probation and possible dismissal for lack of attendance. Students wishing to return to classes after a leave of absence must contact the school admissions office. The school director and student will both determine when and if the student will return to classes. Graduation Requirements Students must maintain an average of 70% at the end of each course. As a national preparatory school for national certification in our various studies, students are enrolled to take the national board exams and must meet the specific association requirements to become nationally certified. Student Records All student evaluations and grades are maintained by the school for a period of five years. Student transcripts are kept on file permanently and are kept safe from fire, theft and other perils. Student Calendar The school operates on a non-traditional term. We do not utilize the conventional academic calendar of quarters and semesters. The weather will play a major role in actual class schedule. Classes cancelled due to weather are made up at the end of the program. The following holidays are observed and no class is held: New Year s Eve New Year s Day Spring Break (week following Easter) Memorial Day (last Monday in May) Independence Day (July 4) Labor Day (first Monday in September) Thanksgiving Day & Thanksgiving Friday Christmas Eve Christmas Day The school reserves the right to amend the holiday calendar. Enrollment Dates A student may enroll two weeks prior to the start of a new class, or as availability permits. The school has rolling admissions. 8 PAHRS Academy is a Preparatory School whose objective is to prepare students for the National Board Exams in Medical Coding, Billing, Reimbursement, and Medical Record Auditing. Student candidates are required to meet the course pre-requisites before beginning the Certification Courses. Students may opt to take the entry level pre-requisites with PAHRS Academy or may qualify by testing out if they have had prior classes within the last twelve months at a local community college or trade school. Transcripts are required. Pre-requisites: Medical Terminology & Anatomy-This basic course is designed to introduce the student to Medical Terms and the Components of Medical Terms; Prefix, Suffix, Root Word, Combining Form, and Combining Vowel. This introduces the student to the 14 organ systems and memorization of the various parts of the human body. This course includes puzzles and games to assist the student with memorization. Class room hours=20 hours Final exam must be 70% or greater to pass Course Curriculum-PAHRS Pre-requisite guide Basic CPT & ICD-9/ICD-10 Coding-This basic course is designed to introduce the student to basic CPT (procedure) Coding and ICD-9/ICD-10 (diagnoses) Coding. The objective is to familiarize the student with the books by tabbing, highlighting and marking key areas, so they can navigate around their materials. It will give them the basic skills to look up CPT and ICD-9 codes. ICD-9 coding will be discontinued upon implementation of ICD-10. Students will also learn Medical Record Auditing which will include Electronic Medical Records and the role of Auditors with the new emerging technology of EMR. This course covers every aspect of Health Care and gives the student a wide range of opportunity. 10 The Certified Medical Reimbursement Auditor This course is designed to prepare the student for National Certification. This certification is a preparatory course for Physician Medical Record Audits, which will include reviewing medical records and medical record audit abstraction with a comparison of actual services coded and will include prospective and retrospective audits. Curriculum will focus on Compliance, Coding and Documentation Guidelines, Category Risk Analysis Reporting and Communication. Students will audit actual operative notes and medical records, as well as complete audit reports. Students will also learn Medical Record Auditing which will include Electronic Medical Records and the role of Auditors with the new emerging technology of EMR. PAHRS Academy Cancellation Refund Policy: Rejection: An applicant rejected by the school is entitled to a refund of all monies paid. Three Day Cancellation: An applicant who provides written notice of cancellation within (3) business days, excluding holidays and weekends, of executing the enrollment agreement is entitled to a refund of all monies paid, excluding the $ non-refundable registration fee. 14 Withdrawal Procedures: A. A student choosing to withdraw from the school after the commencement of classes is to provide a written notice to the Admissions Coordinator of the school. This notice must include the expected last date of attendance and be signed and dated by the student. B. If special circumstances arise, a student may request, in writing, a leave of absence, which should include the date the student anticipates the leave beginning and ending. The withdrawal date will be the date the student is scheduled to return from the leave of absence, but fails to do so. C. A student will be determined to be withdrawn from the institution if the student misses seven consecutive instructional days and all of the days are unexcused. D. All refunds must be submitted within 45 days of the determination of the withdrawal date. Student Grievance Procedure: Any student who has a grievance with the school or an instructor should first discuss the problem with the instructor or school administration. If a resolution is not reached, the student should make a written complaint and submit it to the school administration asking for a written response. 16 Faculty and Administrators National Advisory Board: Barbara Williams, CPC, CRS Barbara graduated from Lees-McRae College in 1971 with a degree in Science and completed a nine month internship at Roanoke Memorial, now known as Carilion. Barbara has worked in the medical field as an Administrative Supervisor and Practice Manager for forty years. She is currently the Practice Manager for Cave Spring Family Practice in Roanoke, Virginia. She also teaches medical coding and introduction to Practice Management at Virginia Western Community College. Barbara became a Certified Professional Coder in 2000 and Certified Reimbursement Specialist in She is currently the President of the local chapter of the AAPC and secretary for the Roanoke Regional Medical Group Managers Association. In her spare time Barbara loves to read, exercise and visit with her granddaughter. Marianne Perry, CRS Marianne grew up in Virginia Beach, Va. and received a B.S. in Social Welfare from Virginia Commonwealth University in She began work at Allergy & Asthma Specialists, Ltd. in 1975 in the bookkeeping/insurance department and worked weekends at the front desk. Marianne took management classes at TCC and attended seminars on all phases of medical office management, HR, payroll, coding etc. She became Office Manager of the Virginia Beach location of Allergy & Asthma Specialists, Ltd. in 1985 and then became Administrator for the practice in Marianne received her CRS certification through PAHRS in 2005 and became a member of the Advisory Board in She enjoys the beach, boating, traveling, working out and spending time with her son Ed and other family members and friends. Valerie McCormick, CRS, CMBS With over 39 years of healthcare billing experience, Valerie offers healthcare providers a wide range of specialized expertise in reimbursement and billing issues such as: accounts receivables, insurance billing for Medicare, Medicaid, and commercial insurance plans, and limited system and software support. She plans and conducts educational workshops to service providers, professional organizations, state agencies and professional associations who are involved in health care. Prior to joining WW Health Care Consultants, LLC f/k/a/ Dominion Management Group, LLC she was a Healthcare Reimbursement Specialist at Goodman & Company, Valerie was owner of MTC- McCormick Training & Consulting, providing consulting services to healthcare providers in the billing and reimbursement area. Prior to managing her own company, she was Senior Training and Development Coordinator, with the Department of Medical Assistance Services where she managed statewide provider training seminars. Before working for the Commonwealth of Virginia, Valerie was a Fields Claims Examiner for CIGNA. 17 School Administrators and Faculty Renee Antieau, President/CEO Administrator/Instructor Ms. Antieau first became Certified in 1994 as a Certified Professional Coder. She began teaching the first formal class for Certification in Ms. Antieau has over 25 years of experience in Health Care. Her passion is to teach and assist her students to become Certified in the Health Care area that best fits their needs and goals. Her students' historic success rate has been incredible, with an average of 90% pass rate on the National Board Exam, on the first try. Ms. Antieau is the founder and owner of PAHRS which is an Association for Reimbursement Education and Certification as well as PAHRS Academy which is an education facility specializing in Coding, Billing, Reimbursement & Audit Education. Our philosophy is "Reimbursement, now that's the bottom line!" Ms. Antieau's goals are to provide the best classroom environment for learning, as well as tools, resources, and support. "When my students have met their goals, I have met mine!" Angela B. Wright, CRS Admissions Coordinator Angela B. Wright is a Certified Reimbursement Specialist and is the Admissions Coordinator for PAHRS. Angela has an extensive background in customer service and currently works with students to interview, pre-qualify and register them for classes.
