3 Introduction The purpose of this user guide is to navigate Proteon users on how to effectively use ProDEP to support their chapter objectives. Our Mission To create world class membership portals for our non-profit and association based customers. Our Vision People have the solutions within themselves and need a tool (technology) and a way (process) to achieve those solutions in a practical, affordable, easy and professional way. Our History Our founder is a 23+ year veteran of the IT industry. He is also a family man who faced exceptional challenges when his two sons were diagnosed with autism. For a long time Mike Holstein kept his two worlds apart, working in the IT industry as a job to provide the necessary care for his family. This was simply not enough. Fed up with the conflicting disinformation regarding the causes and the treatments of autism, Mike finally used his extensive experience and knowledge to directly help both his and other families by developing websites for charitable causes like the Autism Society of Ohio, the Rich Center for Autism at Youngstown State University, the Arc of Ohio and the Arc of Hamilton County. With this, Mike saw a great thing. He saw a way that people could come together, using a common portal, to share information, share successes and disappointments, to come together as an online community for the betterment of the organization and those served by the organization. Mike realized he could not only achieve his goals of healing his sons, but he also could help others achieve their goals by offering similar solutions to meet the needs of professional organizations. To help keep the costs for the charitable sites low, Mike used these 'lessons learned' to provide the same online community model to other professional organizations to meet their member s needs. He understood that this wasn't going to be the typical site development /site hosting company. He believes that a true solutions provider should do more that provide a solution then walk away. A true solutions provider is a partner from beginning to end. Our work doesn't end when we develop and cut over a client site, it really is only the beginning of a long-term commitment. It is a true partnership. With this non-traditional model, Proteon Software has evolved into a vibrant growing organization, providing world-class custom portal solutions for online communities of any size and any mission. As a certified Project Manager and instructor Mike and Proteon Software partnered with multiple chapters of the Project Management institute to design and develop membership-driven online solutions. These early chapters have become some of our Flagship Partners featured on this site. The vision has succeeded. Proteon Software is the leading Open Source custom portal solutions provider for non-profits and member associations. With our growth we have not strayed from our core value of helping charities by providing reduced cost solutions. 3

4 Our success with non-profit professional clients allows Proteon to continue to fund charitable portals. If a client has a particular charitable organization, we can offer that organization a reduced-cost web portal. In some cases the charitable portal can be developed and delivered totally free. This vision does work. Mike's two son's are proof-positive that this vision works. First, through the online community that Mike helped build, he was able to develop a program which has given his family and his sons the necessary tools to deal with and overcome their autism. Then taking it a step further by building a community of like-minded people's experiences and a shared vision. 4

5 ProDEP ProDEP is a Proteon module that provides access to membership information from the nightly upload. DEP means Data Exchange Program. Access to ProDEP is granted to those with super user status. If you require access please request admittance with your IT portfolio. 5

6 Run Stats Run Stats confirms what was transferred daily from PMI.org to your site. 1. Navigate to COMPONENTS>ProDEP>RUN STATS 2. Here is the daily list of transfers: 6

7 a. Total Members. This represents the total members in your chapter. b. New Members Added. This number represents the total new members in your chapter. c. PMP Members. This number represents the total PMP members in your chapter. d. CAPM Members. This number represents the total CAPM members in your chapter. e. PgMP Members. This number represents the total PgMP members in your chapter. f. PMI-SP. This number represents the total PMI-SP members in your chapter. g. PMI-RMP. This number represents the total PMI-RMP members in your chapter. h. PMI-ACP. This number represents the total PMI-ACP members in your chapter. i. Expiring. This number represents the total of members expiring within 30 days in your chapter. j. New Members. This number represents the monthly total of all new members. k. New PMPs. This number represents the monthly total of all new PMPs. l. Date Ran UTC. This is the date and time the upload/sync occurred. 7

8 ProDEP Reports Reports are where you would navigate to get any of the reports listed: When you click on any of the above icons it will take you to this next screen for a CSV export: 8

9 Select what information you require by placing a check mark in the box to the left. Once you have selected everything you need select CREATE EXPORT to produce your CSV file. 9

10 Certificates When you navigate to the ProDEP certificates, it displays the list of events in the system whether past or present. Here you will enter the PMI Event Number and PDU worth to provide members, from the front end, the ability to download their attendance certificate for that event. 1. Navigate to COMPONENTS>ProDEP>CERTIFICATES 10

11 2. Enter the PMI Event Number and PDU worth. The PMI Event Number is the PMI.org Activity Number from the PMI Component System. 3. Then select SAVE & CLOSE to update the information. 4. Once you have updated the event records to reflect who was in attendance, the member will be given access to their event certificate from the front end of the website. Members would need to log into the website and navigate to their MY REGISTRATIONS list to see the PDF column with an attachment for download. 5. You will need to edit the event certificate template to make sure there is information in the certificate for the members to file. Navigate to EDIT TEMPLATE 11

12 6. This is where you will spend some time to make the certificate template for events. 7. Once you have completed your template select SAVE & CLOSE. 8. To return to the certificate area select CPANEL. 9. Here is an example of a template certificate: 12

13 Configuration Configuration holds all your site settings with ProDEP. Please do not change anything unless you ve been directed to do so by Proteon. If you have any questions please submit a Helpdesk ticket. s s allow you to set up a standard message to new and expiring members. 1. Navigate to COMPONENTS>ProDEP> 13

14 2. Select the timeline for s to be sent to expiring members. Then fill in the information required for your template. Here is an example: 3. Now set up the template for new members. Here is an example 4. Once you ve set up your templates select SAVE & CLOSE. Then please submit a Proteon Helpdesk ticket to request the ProDEP Configuration/User setting be set to YES. s will not get sent prior to this change in settings. 14

15 Synchronize Synchronize allows you to manually sync your member information if required. ProDEP already syncs the membership data daily through PMI.org. Prior to manually syncing your information speak with a Proteon representative to confirm this is necessary. 1. Navigate to COMPONENTS>ProDEP>SYNCHRONIZE 2. Here you will click on PROCESS DATA or upload a CSV file to manually sync your chapter information. 15

16 3. Once complete navigate to the RUN STATS to confirm the new line item for the recent sync. NOTE: If a member is not ENABLED they will not have their information updated. Members must be active to have their data updated. 16

17 Subscription List The subscription lists is a list of the jnews lists. When ProDEP is synchronized this area tells the upload where the members need to be placed in jnews. Please do not change anything unless you ve been directed to do so by Proteon. If you have any questions please submit a Helpdesk ticket. 17
