1 2015 INSURANCE GUIDE ALUMNI PRIVATE TRAVEL INSURANCE This guide is provided to University of Adelaide Alumni who wish to apply for cover under the University's Travel Insurance policy. The guide outlines the insurance available to alumni and details the process to be applied when claiming against that insurance, should there be a need Legal & Risk Division of Services & Resources

4 Insurance Cover Summary This Cover Summary is not the policy schedule. It is issued for ease of reference only by Arthur J. Gallagher. Reference should be made to the original policy issued by the insurer for full policy terms and conditions including policy exclusions or subjectives. The Business: Consisting principally but without limiting the generality: Tertiary education and research institution and the various controlled and associated entities and businesses thereto Insured Persons: Category 2 Staff and others not otherwise categorised All persons authorised by the University to travel for and on behalf of the University and those persons not otherwise categorised All Categories and excludes spouses, partners and dependent children unless specifically declared at agreed terms Territorial Limits: Covering: A Journey: Worldwide Insured Persons for their Category Benefits insured whilst undertaking A Journey Shall include authorised business travel, study and research travel and tours and/or private travel as declared from time to time Page 2

5 Journey Definition: A Journey is as described in the Policy noting in addition that; 1. Private travel is limited to 50% of the business component or 28 days whichever is the lesser unless otherwise extended at agreed terms 2. A Journey will not exceed 180 days unless otherwise extended at terms agreed and where that Journey extends beyond the due date of this policy cover continues to the return date as declared, and 3. A Journey must be a distance greater than 100 kilometres from either the normal place of residence or the normal place of work of the Insured Person and retuning to one of those places and there be overnight accommodation but excludes daily commuting to and from the Insured Person s normal place of work; and 4. A Journey must commence during the Period of Insurance; and 5. A Journey must be authorised by the Insured; and 6. A Journey must begin in Australia unless otherwise specifically declared at agreed terms A journey commences at the time the Insured Person leaves the Insured Person s normal place of residence or normal place of work, whichever is the place of departure for the Journey, and ends at the time the Insured Person returns to the Insured Person s normal residence or normal place of work, whichever occurs first. Premium: Age Limit: The definition of Premium in the Policy document is extended to include and other premiums as declared from time to time and paid by an Insured Person No age limit but certain Section 1 benefits may be restricted in accordance with the Policy document Page 3

9 Ace Assistance Travel and Medical Assistance Emergency Assistance Card Prior to departure, cut out the image of this card to keep with you at all times. 03PP Ace Assistance can help you with medical assistance, including emergency medical evacuation, repatriation and delivery of essential medicine or drugs when such medicine or drugs (or local equivalent) are not available at your location Ace Assistance also provides travel support, such as embassy referral, advice in the event of a lost passport and emergency travel services assistance If you need to incur unexpected or additional expenses in the event of an emergency, please inform Ace Assistance prior to expenditure Ace Insurance will not be responsible for any third-party expenses incurred without their authority If you need assistance or think you will need assistance, please inform Ace - Customer Care. To not do so may prejudice your right to claim assistance or reimbursement. How to use your Ace Assistance Card In the event of an emergency, when Legal & Risk cannot be reached, call Ace Assistance reverse charges on A call to the helpline incurs a charge which attaches to the claim made, but you will not be asked to cover this charge Please note that the card is for emergencies only and should not be used for minor claims such as luggage loss or care hire etc. These claims must be lodged through the Legal & Risk office In an emergency, call Ace Assistance and advise them: Deductible In the event of a claim against the policy, one of the following deductibles may be applied: For baggage claims $150 For lost or damaged electronic equipment $250 For deprivation of baggage (wait period) 8 hours o o o o o Your name Policy name Policy number Your contact number What has happened

10 red24 Travel Security Advice and Assistance ACE Insurance has partnered with red24, a crisis management assistance company, to provide policyholders and covered travellers with a range of travel security services including; Immediate access to security experts for any security or safety concerns Ground support and/or evacuation assistance in the event of civil unrest, natural disaster or a terrorist incident Concerns about identity being compromised due to a data breach Note: these services can only be accessed if registered. Options for claiming against this policy 1. Contact Tom Pontt by phone ( ) or by to request a claim form 2. Provide a detailed description of the events that resulted in the claim 3. Attach all supporting documentation (photographs, receipts, letters, police reports, medical certificates etc.) to the claim form. You may be asked for proof of ownership 4.
