3 1. Introduction A project initiation document [PID] is a document that brings together in one place the key information needed to start, manage and evaluate a pilot. All stakeholders should be informed of the development of a PID, and the final PID should be agreed and signed off by the management in municipal partners. The PID should contain information setting out the "who, what, why, when and how" for the local pilot. It should define all major aspects of the pilot, and can be used as a key part in the management of the delivery of the pilot and sets the baselines that will be used in any assessment of the pilot's success. All Smart Cities partners are expected to produce a PID for each local pilot. These will be used by the project and by local partners to measure progress against the aims and objectives set out in each pilot's PID. Many partners will already be expected to develop PIDs for their pilots: in this case relevant information should be copied into this form. 2. Within the boundaries of introducing a contact centre for the town of Kortrijk (1 central and unique telephone number for FAQ on services) we are currently introducing a new version (upgrade) of the process flow software Mavim. Aim is to connect the product catalogue on our website (front) and our Intranet with the internal processes of our organisation (back office) via the latter. In doing so we are constantly trying to improve our services for citizens. In order to realize this project, we visited the contact center of Oldenburg which uses its website as primary source of information to deliver service to its clients. Processes are there being introduced via a specialized tool into the website. 13 11. Co-design With other organizations and institutional partners How are you working with other local organisations / institutional partners to co-design your pilot? At the moment, other local organisations inquire to find out how we are using the mavim software to improve our services. They are very eager to learn from us Co-design with citizens and individuals How are you working with citizens and individuals to co-design your pilot? The mavim software is motor of the new process of improving services for all citizens of our town. It will be used by the internal call center (service center 1777) to enhance services and to provide all information concerning local services most rapidly via the telephone The impact of co-design How has this work changed your pilot are you doing anything differently?
