1 Mimecast Personal Portal (MPP) End User Quick Start Guide Mimecast Personal Portal (MPP) provides continuity and archive search services to users. This means that it is always possible to send and receive s, or access your full Mimecast archive, even if the IT infrastructure of the organization has suffered a disaster. The available features are: The ability to compose and send s from any web browser Real-time views of inbound and outbound s, even if the company server is unavailable Direct access to your archive Managing your personal blocked/permitted senders lists Reviewing your On Hold (quarantine) queue Accessing your Calendars and Outlook folders Accessing your File Archive Note: Permissions to use MPP and available features are determined by your Administrator. Logging On Utilize one of the following links to access Mimecast Personal Portal (MPP) directly, based on the location of the data center: https://webmail-uk.mimecast.com (for European Union customers) https://webmail-us.mimecast.com (for North American customers) https://webmail-za.mimecast.com (for South African customers) https://webmail.mimecast-offshore.com (for Offshore customers) Alternatively, visit and Click the Log In button near the top of the page. This displays a window with links to Mimecast services, including MPP. Once you select the region where your data is held, click the Continue button to display the Login screen: Add your address and password, then click the Log In button. 1

2 Navigation Use the Navigation Menu on the left and the Contents Panel on the right to access the available functionality, as shown below. Navigate between MPP features and folders Search and filter the items in the list Access extended functionality Read, reply or forward the selected in the list above Compose New Messages Click the Compose link to create a new blank message in a new tab. A copy of s that you send from MPP is also sent to your server, so you have a complete history of activity. This feature is controlled by your administrator. Attach files; look up addresses, and other features An auto-complete feature helps you add addresses 2

3 Archive Search If s have been lost or deleted from your application, they can be retrieved using the MPP Archive Search. It is not possible to delete s from your Mimecast Archive. Click the Search link to open the Archive Search, which allows you to specify search text, set the date ranges, and select parts of the to be searched, among other options. Add the text that you want to search for Select the parts of the to search through Specify to search through All Items, or only Sent Items or Received items Add a name for the search, and click the Save Search button to save the search criteria Click the Search button to initiate the search. The results are displayed in a new tab titled Search Results. A Refresh button is available to update search results, and the Edit Search option will modify the current search parameters. Archive Searches can also be saved for future reference. Online Inbox and Sent Items All the s that you have in the Archive are organized for everyday use in two main folders: Online Inbox and Online Sent Items. Online Inbox displays messages that you have received, while Online Sent Items displays messages that you have sent. By default, messages are listed in date order with the latest displaying first. Calendars If enabled by your Administrator, Outlook Calendars can be replicated in a read-only format to MPP. This means that you can access Calendar information even when the organization s infrastructure is unavailable. Click on Calendars in the navigation pane to display your default Calendar. 3

4 Exchange Folders MPP can be configured to display folder structures from Outlook, so that you can access the same folders in MPP that are present in Outlook. These folders can be set to display in two ways: Live View and Full View, which is configured in MPP Settings. Live View will display the folder structure and s that were last replicated. Full View will display all folders and s that were present at any point within the mailbox history. Note: It is not possible to add or modify existing Exchange Folders, as this information is synced to Mimecast from the Exchange server. Smart Tags Smart Tags allow you to view the contents of messages that other users have sent or received. For example, if the organization uses a generic address, such as or it is possible to assign permissions to users in the business to access the s sent to or from these generic addresses. Note: Permissions to access Smart Tags can only be assigned by Administrators. File Archive If enabled by your Administrator, files from your documents, network and SharePoint locations will also be available in MPP. The folder locations are displayed within the Navigation pane on the left, which once selected, will display the files in the reading pane on the right.. Managed Senders Policies are used to control flow for your mailbox. A Block policy can prevent unwanted s from being received, and a Permit policy is used to bypass Spam checks performed on received s. You can manage your Block and Permit Policies with the Managed Senders option within MPP. 4

5 Personal and Moderated On Hold Administrators can delay the delivery of s for users by diverting s to the Hold Queue. Depending on the requirements of the organization, these Policies can be applied to Inbound or Outbound s based on Spam, Attachment, or Content Policies. s will remain in the Hold Queue for a maximum of 30 days by default. Thereafter, the s will be available within the Archive. The Hold Queue can be likened to a safety net, which protects your mailbox from unwanted content, as well as preventing accidental or malicious data leaks. Note: If legitimate s are incorrectly identified as spam, you can prevent spam checks from placing these s on Hold by using a Permit Policy. Use the Personal On Hold viewer to reject or release s for your own mailbox, and the Moderated On Hold viewer to manage other user s held s. This requires additional permissions from your Administrator. Bounce Viewer Bounced s are s that Mimecast but cannot deliver to the next mail server. When an fails in delivery, it is classified as a Bounced , and a notification is sent to you. Click one of the bounced s to view more information about why the was bounced. Rejection Viewer The Rejection Viewer displays any messages that Mimecast has blocked and why the message was blocked. The Rejection information is retained for a maximum of 7 days, and by default displays the current day's rejections. 5

6 Settings You can control MPP settings to customize the environment in several ways. To access these features, click on the Settings link in the MPP navigation panel: Once the Settings have been adjusted, click the Apply button to save the changes. Switch your Exchange Folder view from Full View to Live View Set preferences for preview windows and the MPP home page Set MPP time and date settings If available, allows you to reset your Mimecast Cloud password If File Archive services have been enabled for your account, additional options are also available: Configure your Dropbox or Box accounts to synchronize files to your Mimecast archive 6
