8 Materials needed Scanner Some scanners have Scantron label. Some scanners have Pearson NCS label. However, all scanners are NCS scanner.
9 Materials Scanner parts Make sure these parts are attached. Paper guide Paper catch cartridge
10 Materials This adapter piece comes attached to the ethernet cord when packaged in box. Detach it, because it is not needed. This end plugs to the back of the computer. This end plugs to the back of the scanner. RS-232 Cable
11 Materials Windows XP Scanner must be used with Windows XP computer. Phase II and III schools received Windows XP machines, which must remain connected to the scanner.
12 Materials Header sheet This sheet must preceded the student answer sheets. The header sheet identifies the teacher s class, test, number of answer sheets pages, and grade level for the answer sheets that follow.

18 Connect scanner to computer RS-232 Cable This end plugs to the back of the computer. This end plugs to the back of the scanner.
19 Connect scanner to computer Connect this end of the RS-232 cable to the serial port on the computer. RS 232 serial port COMPUTER Connect the other end of the cable to port labeled MAIN on the scanner. SCANNER
20 Connect scanner to computer Set scanner at an angle using the positioning stand Note: Ensure that the cartridge is seated securely in place.
22 Calibrate Scanner If you do not remember how to calibrate, follow steps in Operator s Manual for OpScan insight4 Scanner manual, page A-3 to A-8. Note: Calibration needs to be done the first time the scanner is set up or if the scanner has been moved.
23 Calibrate Scanner Place sheets in the Input tray with long side at the bottom. Make sure to press down the level to secure paper under the roller heads. Need 10 calibration sheets. Adjust paper guide so that papers are held securely in place. long side
24 Calibrate scanner Hold down left and right push-button keys at the same time for a few seconds until Background Menu appears on the display.
25 Calibrate Scanner Press continue until you reach Utilities menu, then choose yes. Top Head Calibrate? 28 Install Vanscan Log into the computer as a local user. Avenues scanner usually does not work when logged into the TUSD domain. Therefore, you must log in as a local machine. avenues scanner this computer. this computer. (local l machine Local user login may vary from site to site. However, for Phase III schools, the user name was set up as Avenues and the password is scanner.
29 Install Vanscan Log into eassessment. Username is your TUSD address. Password is password

31 Install Vanscan Scroll down the page to find Download Vanscan software Vanscan user guide is also available for download
32 Install Vanscan Click on the download link to download Vanscan Save the file to a location on the computer. Double-click on the file and choose all of the defaults to install the software. For more specific directions, go to page 4 of Vanscan manual.
34 Begin Scanning Make sure to log into the computer as a local user. Local user login may vary from site to site. However, Avenues/scanner was set up for Phase III schools. avenues scanner this computer.
35 Begin Scanning Once logged in on the computer, go to Programs and Vanscan (or double-click li on the Vanscan shortcut, if available)
36 Begin scanning Follow steps on the Vanscan wizard. VanScan User s Guide is very helpful with information and troubleshooting.
37 Begin scanning Add ID numbers into boxes These numbers only have to be entered once; the software remembers them.
38 Begin scanning Place the bubble sheets (header sheet on top of answer sheets) in the tray. Press the lever to secure the header and answers sheets under the feeder. Make sure the scanning bars are at the bottom.

41 Tips for successful scanning Instruct and test at the student s s appropriate grade level and proficiency level as determined by the Avenues eassessment pretest Bubble in the correct name, grade and proficiency level for each student. (Proficiency level can only be bubbled bbl after pretest t is given.) Common errors: Student is at beginning level according to eassessment pretest, but is given the intermediate test form for subsequent unit tests. Student is at beginning level and on their answer sheet, the intermediate level is bubbled.
42 Tips for successful scanning Do not fill in a proficiency level on the pretest. Use the teacher ID number provided by Vanscan when bubbling in header sheets. This ID number is provided by Vanscan. (A teacher may find their ID number by logging on to the e-assessment website and clicking on the search button at the top of the page.) Use the student s t TUSD matric ti number as their Student ID when completing the answer sheets.
43 Tips for successful scanning Keep student names consistent on answer sheets. Therefore, have an accurate student roster available for reference to student names and matric numbers. Common errors: Students have 2 first names or 2 last names and only one shows up on answer sheet Leave eassessment window open to check if data shows up on the eassessment website. Make sure to fill in a bubble under each letter.
44 Tips for successful scanning Have students bubble in circles dark enough Make sure student s eraser do not leave a mark Make sure student do NOT bubble in 2 answers for one question Give new students the pretest so they are entered in the e-assessment database. Otherwise, determine their level and choose Add new student after scanning answer sheets in Vanscan.
45 Tips for successful scanning If scanning results in Vanscan is not recognizing student names, teacher names, ID, or answers, and the correct information is available, double- click in the area in Vanscan and type the changes. Remember most errors will occur because bubbled information was incorrect. If your student s scores are scanned under the wrong ggrade level or proficiency Level, Language Acquisition needs to be notified so that it can be changed. This takes time to correct so ensure that all is initially accurate.
47 Scanner Maintenance Limit movement of the scanner. Calibrate the scanner whenever it is moved to a new location or has had any sudden movements. Protect scanner from dust by covering it with cloth. Keep XP computer connected with the Avenues scanner at all times.
