5 Accounting Customers Searching for a Customer AmeriCommerce allows for partial and phonetic matching in all search boxes. From the Customer List Insert information into the Search box about the customer and press Submit. Acceptable information is: Name Phone Number Customer Number Address Viewing a Customer 1

6 Printed Documentation From the Customer List Click the icon next to the Customer Number to view the Customer details. From the Order List Click the [view] link next to the Customer to send an to the customer. From the Order page 2

7 Accounting Click the Customer Name. Orders Changing the Order Status From the Order List Accounting > Orders Check the box next to each order you wish to change. Select the new Order Status from the drop down at the top right Click button From the View Order Page Change the Order Status in the drop down on the left and click the icon. Checking For New Orders From the Accounting main menu item Select Orders > Open Orders. This shows you all orders which are still open (not yet marked shipped or canceled). Deleting an Order 3

Generating a Printable Invoice From the Order Page, select the icon beside the customer you want to print an invoice. Click the link Generate Invoice beside the icon (see below). Order Status Worksheet Accounting>Order Statuses 4

9 Accounting Order Statues helps you track orders by color coding each status. The store defaults are Pending, Approved, Shipped, Credit Declined, Cancel Order, and Awaiting Payment. The form allows you to select your own colors or use the AmeriCommerce defaults. Re-Processing a Credit Card Transaction Note, this only works if you have a Payment Gateway, such as Authorize.Net, activated. From the Order page Click the ReProcess Card button (see under the Order Status section. 5

10 Printed Documentation Accounting Accounting > Overview The heart of AmeriCommerce's customer and order data is accessible through the Accounting Main Menu Item. Orders Open Orders - Track all open orders by date, , and status. Each order is coded by 6 criteria: 6

Customize order status to allow an easy to read order status report. The 6 criteria can be color codes for information at a glance. A customer type is a group which you might want to offer special pricing. You could have Resellers, Partners, etc 7

13 Catalog Edit Catalog Product Editor General Tab General Product Settings 1. General Tab - Select this tab to see these settings. 2. Product Name - Product Name as displayed on the web site 3. Manufacturer - select Manufacturer or Brand name of Product. These can be created under Catalog > Manufacturers. 4. Item Number or SKU: Insert your inventory part number for this Product. This will be used for inventory control, and as the base number that Variants build their item number from. 5. Mfg Part Number - If the Manufacturer has a number for this Product which you need to track, add it here. 6. Primary Category - The primary Category for this Product 7. Stock Status - The status of this product in your inventory, for example, Back Order, Discontinued, In Stock, or Out of Stock. These can be created under Catalog > Product Status 8. Shipping Warehouse - If this product ships from another warehouse or supplier, select it here. These can be created under Global Settings > Warehouses. 9. Sort Order - By placing a number in this box, your Product will appear in the Catalog in the order you select, ascending from 0. If you do not place a number, the Products are sorted alphabetically. 10. Hide - By checking this box, your Product will not be shown in your store but it will not be deleted. If you plan to sell this Product at a later date, simply un-check the Hide button. This can also be used for special items that you may add to a cart as a free giveaway. 11. Qty in Stock - The number of items you have in inventory. Note, this does not account for Variants. 12. Retail - The Manufacturers Suggested Retail price for this Product 13. Your Cost - Your Cost of Goods sold 9

14 Printed Documentation 14. Base Price - Your base selling price for this product. All price adjustments are built upon or modify this amount. Note: if you don t specify a base price on the General Tab of the product editor, it will show FREE for the price. 15. Call for Price - Check this box if you want the customer to call your sales department to obtain a custom or not listed price. 16. Minimum Quantity - The minimum quantity of this Product you will sell per order 17. Maximum Quantity - The maximum quantity of this Product you will sell per order 18. No Tax - This Product is not taxable 19. Short Description - This description will appear on the Category page next to the Item Name and Thumbnail. 20. Page Title: This will appear on the top bar of the Browser and in search engine results. By default, the Product Name and Manufacturer are used for the Page Title. [SEO Alert] 21. Meta Keywords (comma-separated) - The information that you provide in a meta tag is used by search engines to index a page so that someone searching for the kind of information the page contains will be able to find it. Include frequently used keywords relating to this product. [SEO Alert] 22. Meta Description: Pricing Tab After assigning a base price on the General tab, you can apply simple price modifiers on this tab. 1. Sale Pricing To create a sale for this product, insert the sale price, starting and ending date for the sale, and which store to want to list the sale on. Click the icon to add the sale. 2. Quantity Pricing 10

15 Catalog Create an item price discount based on a quantity range of this particular product in their cart. Click the icon to add the pricing. 3. Customer Type Pricing Levels Create a price for a Customer Type, for example, Wholesale. See Accounting > Customer Types to define types, and assign a customer to a Customer Type by viewing the customer record under Accounting > Customers. 4. Store Pricing Set store-level pricing. If no store price is specified, the default Price from the General tab is used. Click the to add. NOTE: This field only applies to multiple store sites. Descriptions Tab Product Detail Pages - The description appears as tabs below the product photo. Product descriptions can be show as tabs on the product detail page. You can specify up to 5 tabs for each product. The Theme you are using for your store dictates the default titles that will be displayed on each tab. You can override these titles on a product level by changing them on this page. To override the default tab titles: 1. Select the theme which you wish to display the tab names from. Note, this is only for reference when modifying the product. 2. Check this box if to override the titles displayed on the tabs. 3. Fill in the new tab names. Description Tabs 11

16 Printed Documentation Click on the tab names to enter a bulleted summary and up to 5 detailed descriptions for your product. Depending on your Theme, The Bullets Tab description will be displayed typically next to your product photo at the top of the page. [SEO Alert] The other tabs will be displayed below, either in a tabbed format if enabled, or one after the other. [SEO Alert] Photos Tab Add Photos & Thumbnails to Product page 1. Click the browse link next to the Thumbnail to open the File Browser to the Image files. 12

17 Catalog 1. Insert the New Folder name for the image files. Click New Folder. NOTE: Images can be placed in Folders by Manufacturers, Items, Products, etc. 1. Click the Products link to open the Image Folder. 1. Browse your hard drive to find the product photo for the item. Double click the file name of the photo. jpg or gif file size 72 dpi not more than 250 pixels wide A good resource to help you size your product photos and thumbnail automatically is Media Resizer.com. 2. Click the Upload button to place the product photo into the File Browser. The File Browser will create a Thumbnail of the product at the same time. The Image is added and the Thumbnail created. Click the icon next to the thumb link to load the Image. Click the browse link next to the Full Size to open the File Browser to the Image files. Click the icon next to the Full Size Image link to load the Image. Click the SAVE button and repeat for each product where an Image is needed. Shipping Tab 13

18 Printed Documentation 1. Package Weight - This must be set for shipping provider quotes such as UPS. 2. Package size - This currently is not active. 3. Ships Individually - If the product ships individually, check this box to calculate it as a separate package. 4. Call for Shipping - If you do not wish to display the shipping amount on the site, check this box. 5. Rate Adjustment Type - If you wish to add or alter the shipping amount for this product, you can select Additional to ADD the amount you place in each box to the shipping costs, or Flat Rate to override the amount obtained by the shipping calculation. To hide the rate for this product, click Not Available. Related Tab The Related Tab allows you to show customers products they might be interested in purchasing, i.e. batteries or a carrying case. To add Related Products, click the icon. 14

19 Catalog 1. In the Search box, insert the products you want to Relate to the Product. Click icon to find the Items. 1. Select the Related Product by checking the box. 2. After making all the selections, click the Add Related button. Variations Tab Catalog > Edit Catalog > Product Editor > Variations 1. Variations Tab adds multiple options for each item. 2. Enter the Variant Group - NOTE: Groups much be set in Variation Groups. 3. After you have added a Variation Groups, each group will show in the drop down menu. 4. Sorts the variant in the order you choose. 5. Add a short description. 6. Surcharge Type: Allows you to set a price for each variant. The price can be total, + percent, + dollar, - dollar, or - percent. 7. Weight, if Variant adds additional weight or equal weight 8. Item Number Extension, if Variant has an extension to the original item number. 9. Hide is checked if the variant is not currently available. 10. Adds the Variation to the Group. Categories Tab Categories allows products to be listed in multiple Categories. 15

Category: list the categories you have selected, the icon will delete the selection. eproduct Tab An eproduct is a product that can be delivered electronically. Examples are downloadable software, serial numbers and subscriptions. 16

21 Catalog eproduct Type Not an eproduct is the default setting. a Random Verification Link - each customer receives a unique password automatically generated. Only: each customer receives the same bypassing the password. eproduct URL: the link where customers are directed to download the eproduct after payment is processed. Fill in the specified location on your site where the download is available. Example: /songs/filename.mp3 EProduct Delivery Link Action Send to a Page allows the customer to view the URL. 17

22 Printed Documentation File Download redirects the customer to a download where the URL is hidden. By choosing this, the customer cannot pass the URL onto friends where they can download the product for free. Allow Multiple Deliveries Do you want the customer to be able to receive more than one download of the eproduct? Should the customer need to reinstall the download, do you want them to be able to access the information multiple times? Days until Verification Link expires How many days after payment is processed do you want your customer to be able to download the eproduct? Message Insert the each customer will receive after payment is processed. If type supplies hyperlink, it will be displayed below your message. Stores Tab This tab shows you which stores this product will be displayed in, based on the Active Catalog set for each store. To hide this product within a store, click the Hide checkbox and save. Note: Before stores will show up here, the category this product belongs to must be included in the Active Catalog, either with the All Catalog setting, or through an explicit inclusion of a parent category. Tool Bar SAVE: saves your work and returns you to the same file. SAVE & RETURN: saves your work and returns you to the previous Category page. CANCEL: cancels your unsaved additions. CLONE PRODUCT: copies the product you are working on to a new product. Product Editor Overview 18

23 Catalog Catalog > Edit Catalog > Product Editor General Tab The General Tab is where you set up the heart of your store. It contains all the information needed to place the product into your store. Pricing Tab The Pricing Tab allows you greater flexibly in how and who you are discounting your products by selecting sales, quantity pricing, customer types, and store pricing. Descriptions Tab The Descriptions Tab adds the information to your products by adding bullets and details about the products. Photos Tab The Photos Tab is where you place the thumbnails and product photos for your catalog. Shipping Tab The Shipping Tab is where you set the parameters for your shipping, weight, size, and rates. Related Tab The Related Tab allows you to choose items within your store which the customer maybe interested in purchasing to go with this item. An example would be a camera bag, batteries, strap which would go with the camera they were purchasing. Variations Tab 19

24 Printed Documentation The Variations Tab allows you to give the customer choices in colors, size, and numbers of the item they are purchasing. Categories Tab The Categories Tab allows you to add the product to as many categories as you select. An example would be batteries could go into categories of camera, flash, and accessories. eproduct Tab The eproduct Tab is designed for customers purchasing a product that can be delivered electronically. Examples are downloadable software, serial numbers and subscriptions. Stores Tab The Store Tab handles multiple store. Category Editor Edit Catalog > New Category 1. Name - Name of this Category. 2. Parent Category - if this Category is beneath to another Category, i.e. HDTV to Televisions, choose the Parent Category from the down drop menu. 3. Max Items Per Order - if you sell a maximum number of this Product. 4. Sort Order - the order in which the Category is shown within the store. 5. Thumbnail Image - if you would want a small image to be shown next to the category name when viewing the parent category's sub-categories. 6. Hide Category - this will cause the category not to be displayed in the store. 7. Short Description - Editor will allow you to customize the Category header which will be displayed at the top of the category page. 20

29 Stores Shopping Portals Froogle You can export each store's active catalog for listing on Google's Froogle shopping portal: Yahoo Shopping You can export each store's active catalog for listing on the Yahoo Shopping: Active Catalog Each store has an Active Catalog, which can either be the entire catalog, or a subset of selected categories. Use the Active Catalog page to search for the Categories you wish to display on a store, or check the All Catalog checkbox at the top to show the entire catalog. Content Page Editor The heart of a Web site is the content. Users come to a Web site because they want the content the information. Even in an e-commerce Web site, users are looking for information to help in their decisions on what to buy. [SEO Alert] Some examples that customers expect to see are: Contact Us - your phone numbers, physical address, and any important 'generic' addresses (do not put your personal address) About Us - your company history, mission statement, photos of your business or staff, letter from the president, etc 25

30 Printed Documentation Privacy Policy - this has become more important in recent years. Privacy Policies state the way you intend to handle any personal information provided by the customer. For example, you promise not to sell their information to 3rd parties. Return Policy - how you intend to handle returns News / Press Releases - important announcements regarding your company or products Testimonials - customer quotes and case studies Guarantee - if you offer a guarantee of your services or products Shipping Information - your policies, procedures, and how you charge for shipping Content Pages are store-specific, in that you add them to each store separately. This makes sure any information intended to be displayed to customers from one store will not inadvertently be displayed to customers on another of your stores, potentially exposing a conflict. Here you will see a list of all available Content Pages for this store. To add a new page, click the Add Page link at the top. To add a page to a Navigation Menu, choose the menu you wish to add it to and click the. The Actions menu offers the following options (from left to right): Copy the Absolute URL to your clipboard for pasting (ex: Copy the Relative URL to your clipboard for pasting (ex: /store/p/about-us.aspx) Preview the page as a customer would see it Edit the page Delete the page Editing or Creating a Content Page Simply add the Page Title and Meta Tags, then use the Editor to add Text, HTML, and Images to the page, then click Save when you are finished. 32 Printed Documentation Navigation Editor Use the Navigation Editor to add links to the Horizontal (top) menu, or to the Left and Right Links controls that can be displayed on the side columns. 1. Enter the text in the box marked Link Text. 2. The URL is the relative link for the navigation. 3. Sort Order is the order you want the Link Text to appear in, the default order is alphabetical. 4. Hide box is checked if you do not want the Link Text to show on the site. 5. Edit allows you to make changes to the Navigation. 6. Delete if the link is no longer needed. 37 Themes Bottom Page Layout - Footer The Footer will appear at the bottom of each page. Information usually added is contact information, copyright, and site links. Buttons & Graphics Buttons & Graphics Sets are collections of GIF files that can add special accents to your Theme. By selecting a Set from the drop-down and clicking Update, your Theme will immediately start displaying the graphics from your new selection. 39 Themes Left Column Layout The Left Column is where most online stores show their sub-category navigation, search, shopping cart and other information. AmeriCommerce gives you a selection of pre-built Snap-In Modules to insert into your Left Column, 35

Overview The Theme Designer gives you full control over the look and feel of your store. No HTML knowledge is required, and you can tweak the site design effortlessly to achieve the look you desire. AmeriCommerce supports an unlimited number of Themes that can activated for your store at the click of a button. You can even preview how a theme will look before applying it for your customers to see. Some of the primary elements of a Theme include: Global Layout Settings Pick the fonts, colors, screen widths, background images and more for your site's overall layout. Buttons & Graphics Select from several pre-built Button and Graphics sets for your site, or build and upload your own. Page Header, Columns, Footer Define the contents of the different portions of your layout using WYSIWYG editors, and drop pre-built controls onto pages to add functionality like Search, Browse by Category, Sale Items and more. Home Page Editor Use the WYSIWYG Editor and pre-built controls to customize the content of your home page with no HTML knowledge. Content Pages 36

Specify sub-headers and sub-footers for each page type, and more. Right Column Layout The Right Column is where some online stores show their shopping cart, banner ads and other information. 43 Themes Theme Name This is a unique name that describes this particular Theme. Clone Existing Theme Choose a Theme from this drop-down and click the Clone button to overwrite all of the settings on the current Theme with those from the selected Theme. Theme Files Most themes will use the Default Header, Footer and Style Sheet. However, you can substitute a completely unique Header, Footer and Style Sheet file if you are an experienced HTML Designer. You can have as much control here as you like. By putting content placeholders and CSS classes into your custom header and footer files, you can still take advantage of the powerful and easy Theme Designer! Product List Paging This controls the number of products shown on each page when viewing the Category and Manufacturer product list pages. If the box is checked, your products will show in multiple pages. If unchecked, all your products will be shown on one page. If you have less than 20 items, one page will be OK. If you have 20 + items, the customer will be scrolling too long. Page Header The page header is the top-most portion of your store's design. It is typically a horizontal bar that is displayed above the main horizontal menu. The header can be designed using 3 methods: Use Layout Images - This method allows you to define up to 3 images or banners for your header. Use Custom HTML - This method allows you to design your header using the WYSIWYG Editor, or to paste HTML from your favorite HTML designer such as Dreamweaver or FrontPage into the WYSIWYG Editor. 39

47 Global Settings Global Settings Discount Methods You can set discounts on your products by any criteria, a flat discount, a percentage off purchase, free shipping with a minimum purchase, or first time customers. Shipping Providers Set up which shipping companies you make available to your customers Custom Shipping Methods Allows you to modify the shipping parameters you provide. Warehouse Gives you the opportunity to use multiple warehouses or drop ship from your suppliers. Global Regions Regions allow you to set shipping rules and tax rates for specific geographic locations. Tax Rate 43

Keeping your customer informed to the status of their orders by: order confirmation, payment declined, order shipped, and order cancelled. alert Addresses Allows you to add multiple people to your alert. User Accounts Allows you to add multiple people to enter the employees to enter the back end of your store. You can give them limited access as, guest, product manager, or customer service. Complete access to all functions of the store is given as an administrator. Administrator can see all areas and make changes to your store. Payment Gateway Set the institution which will collect the your payments for the merchandise sold on your store. Custom Payment Types Set up additional ways to pay, COD, purchase order, mail check, and etc. 44

49 Reports Dashboard Reports The Reports menu gives you up to the minute information on how your store is doing. Dashboard Summary gives you a quick view of the reports making them easy to understand by showing them in colorful graphs and charts. You can see Sales, Orders, Customers, and Visitors broken down into Today, Month to Date, Year to Date, and Totals. Marketing allows you to track which programs, by type, are performing best for your store. o PPC Analysis (Pay Per Click) keeps you up to date on the performance of key words you are purchasing. It also shows which search engine is providing the most visits to your store. o Organic Analysis shows which search phrases on which search engines are generating the most traffic and orders to your site. o PPC vs Organic gives a side-by-side comparison of pay-per-click versus organic sources in terms of traffic to your site and number of orders made. o Affiliate Marketing shows an in-depth report of how your affiliate programs are performing, including the amount of commissions that each program is owed. o AdCode Analysis is a report on all of the Ad Codes used by your site. 73 How Does Pricing Work? AmeriCommerce has a flexible pricing model, building the price based on several factors. For reference, this is the order in which the price is built: 1. Default Price - this is set on the General tab of the Product Editor. 2. Store Price - this is set on the Pricing tab of the Product Editor. 3. Sale Price - this is set on the Pricing tab of the Product Editor. 4. Quantity Discounts - this is set on the Pricing tab of the Product Editor. 5. Variation Prices - these are set on the Variants tab of the Product Editor. Additionally, pricing can be adjusted at the Cart level by creating Discount Methods under Global Settings, but these are applied to the entire cart, not the product. 69

75 How To Enable PPC Analysis AmeriCommerce integrates with the Google AdWords API and the Yahoo Search Marketing API to provide detailed ROAS calculations for your keyword marketing campaigns. Each night, AmeriCommerce downloads the latest pay per click statistics for your account from Google and Yahoo, then generates the report data to show where your ad dollars are most effective, and where they are losing money. Once enabled, you do not have any special tracking codes to add to your campaigns, AmeriCommerce takes care of this for you each night by adding a tracking code automatically to each new ad when running the reports. Google AdWords Step 1: Obtain a Developers API Key: Before you can enable Google AdWords tracking, you must first have an API Developer Token. In order to get one, you must apply to be a Google Advertising Professional to obtain access to your My Client Center account. This is free, and you can do it from the following link: After logging in to your My Client Center, click the My Account tab, then AdWords API Center. Your Developer Token is displayed there. Step 2: Enable Google AdWords Tracking in AmeriCommerce To enable keyword tracking for Google AdWords, select Marketing > Pay Per Click Integration > Google AdWords. From there, enter your AdWords Account login, password, and Developer Token key. Then check Active and select the stores for which you wish to track your keyword marketing campaigns. AmeriCommerce will automatically add the tracking code to your keyword campaigns. Yahoo Search Marketing To enable keyword tracking for Yahoo Search Marketing, select Marketing > Pay Per Click Integration > Yahoo Search Marketing. From there, enter your Yahoo Search Marketing username, password, account ID. Then check Active and select the stores for which you wish to track your keyword marketing campaigns. AmeriCommerce will automatically add the tracking code to your keyword campaigns. 71

Absolute URL: A complete URL address, typically used only when directing visitors to a different web site. Never use these types of links or image references within a single web site. Example: " AdCode: A unique identifier which shows where visitors, customers, and orders originate. This can be from a Keyword Campaign, Banner, , etc. Administrator: The person who manages or supervises your store. A Affiliate Console: Short for Secure Sockets Layer, a protocol developed by Netscape for transmitting private documents via the Internet. SSL uses a cryptographic system that uses two keys to encrypt data - a public key known to everyone and a private or secret key known only to the recipient of the message. Both Netscape Navigator and Internet Explorer support SSL, and many Web sites use the protocol to obtain confidential user information, such as credit card numbers.by convention, URLs that require an SSL connection start with https: instead of Affiliate Marketing: A source of visitors and sales. An Affiliate can be another web site that shows your banners, a search engine where you buy keywords, an list, etc. Typically commissions are paid based on clicks or sales generated. B Banner Ads: A banner is a typically rectangular advertisement placed on a Web site either above, below or on the sides of the Web site's main content and is linked to the advertiser's own Web site. With technologies such as Flash, banners have gotten much more complex and can be ads with text, animated graphics and sound. Most commerce-related Web sites use banner ads. Bot: One typical use of bots is to gather information. The term is derived from the word "robot," reflecting the autonomous character in the "virtual robot"-ness of the concept. Web crawlers or spiders are web robots that recursively gather web-page information, as does the bot used by Google ("GoogleBot"). C Catalog Feed: A Catalog Feed is a file containing the store's catalog for placement on another web site. Category: A division within a product line. Click Fraud: Click fraud occurs in pay per click online advertising when a person, automated script or computer program imitates a legitimate user of a web browser clicking on an ad, for the purpose of generating an improper charge per click. The part on the left is the most specific, and the part on the right is the most general. A given machine may have more than one Domain Name but a given Domain Name points to only one machine. For example, the domain names: matisse.net mail.matisse.net workshop.matisse.net can all refer to the same machine, but each domain name can refer to no more than one machine. Usually, all of the machines on a given Network will have the same thing as the right-hand portion of their Domain Names (matisse.net in the examples above). It is also possible for a Domain Name to exist but not be connected to an actual machine. This is often done so that a group or business can have an Internet address without having to establish a real Internet site.
