2 2 IT Guide: Staff laptop setup Before you begin We strongly recommend that your laptop is connected to the UKC domain. Contact us for a computer name, which will be added to the domain. Initial laptop setup When a new laptop is switched on it will run through a first time setup procedure to install Windows and other software which can take anything from 10 to 45 minutes. During Windows installation you will be prompted to create a username and password for the laptop s administrator account (used to install programs and change system settings). Use laptopadmin as the username, and set a strong password following the recommendations on our Change Password page: Also during setup, ensure to select the automatically keep Windows to date option, so that future Microsoft security updates are installed automatically. When the first-time setup procedure has completed, connect the laptop to the network via either an ethernet cable or via WiFi (see page 5) before continuing with these instructions. If no network is available some programs might not install, but can be installed when connected to network at a later time. Create a local user account You should now create a second, standard account, to be used if logging onto the UKC domain fails. Click Start, then Control Panel, followed by User Accounts and Manage User Accounts. In Manage User Accounts click Create New Account and select Standard Account. Use laptopuser as the username, and set a strong password following the recommendations on the IT Services Change Password page: Install Windows 7 Enterprise Laptops running Windows 7 Starter, Home Basic or Home Premium editions must be upgraded to Windows 7 Enterprise edition in order to be added to the UKC domain. Windows 7 Ultimate edition cannot and does not need to be upgraded. Windows 7 Professional edition does not require an upgrade unless features available for Windows 7 Enterprise (such as Bitlocker) are needed. If you need to upgrade, ask for a Windows 7 disk at the Welcome Desk in the Templeman Library. Connect the laptop to the network, either with an ethernet cable or by configuring eduroam (see wireless section below), load the disk and follow the installation steps, making sure to choose download latest installation files when prompted. The upgrade option you should choose is from windows 7 to windows 7 enterprise - this process should take two to three hours to complete. Remove unnecessary trial software You should remove any unnecessary software that the laptop came with (eg broadband offers and trial versions of Microsoft Office, Norton Antivirus or MacAfee Internet Security). They will be replaced by licenced University of Kent programs. IT Services website:

3 IT Guide: Staff laptop setup 3 1. Click Start, then Control Panel, Programs, Programs and Features. 2. Uninstall trial versions of Microsoft Office software by removing programs with names such as 2007 Office System, Microsoft Office 2010 Professional Plus,60 Day Activation Wizard for Microsoft Office and Outlook Business Contact Manager. Other components of Microsoft Office, such as 2003, 2007, 2010 Primary Interop Assemblies do not have to be removed Do not remove Microsoft Works - it s similar to Microsoft Office (primarily used on home computers) and can be useful for converting work submitted by students in Works format. 3. Optionally, uninstall 2007/2010 Office Powerpoint Viewer, or Word Viewer if they are present. 4. Uninstall trial broadband software by removing programs that refer to broadband providers. 5. Uninstall bundled versions of Internet security software by removing programs with a name that contains Antivirus, Internet Security or Security Suite. Very rarely, antivirus programs may need to be run and have their virus definitions updated before they can be uninstalled. Configure Microsoft update Microsoft Update extends Windows Update so that it downloads and installs patches for Windows and other Microsoft programs, as well as updated virus definitions for Microsoft Forefront Client Security. 1. Click Start/Windows Orb then Control Panel, System and Security, Windows Update. 2. In the Windows Update dialog box, click Get updates for other Microsoft Products Find out more. 3. Agree to the Terms and conditions and click Sign Up. 4. In the left hand column click Change Settings. 5. Ensure that the option Give me updates for Microsoft products and check for new optional Microsoft Software when I update window, and all other options are ticked. Install University of Kent programs It is recommended to install the following software, which is used by most staff on campus. Microsoft Forefront Client Security Anti-virus program used on all University of Kent owned computers. 1. Copy the folder \\ad.kent.ac.uk\dfs\install\microsoft\fcs\client to your laptop s desktop. If prompted, enter your Kent username as UKC\username. 2. Hold down shift key and right-click the folder on your desktop; select Run Command window here. 3. In the black MS-DOS box type installclient.bat and press enter. The folder on your desktop can then be deleted Microsoft Office Get a Microsoft Office 2010 disk from the Welcome Desk in the Templeman Library, insert it into your laptop and follow the instructions - installation normally takes around 15 minutes. 2. When running the program for the first time, if an option is given to sign up for Microsoft Updates, choose Sign Up. This will download security updates for the software automatically. 4 4 IT Guide: Staff laptop setup Adobe Reader Allows you to view pdf documents on your computer. Browse to click Get Adobe Reader and follow the instructions. See the list of programs listed from the Programs Icon from the Control Panel. Adobe Flash Player Allows you to view flash movies and animations on your computer. Browse to click Get Flash Player and follow the instructions. Adobe Shockwave Player Allows you to view shockwave animations on your computer. Browse to click Get Shockwave Player and follow the instructions. Apple Quicktime Player Allows you to view quicktime movies on your computer. Browse to click download (top right of the screen) and follow the instructions. Refworks Write n Cite Allows you to create properly formatted references and bibliographies in essays and assignments. Browse to and follow the instructions. RealPlayer Allows you to view and download media in various formats. Browse to click the Download FREE RealPlayer button and follow the instructions. Putty Only required if using Falstaff or Cressida for accessing the Student Data System Browse to click Download and then select putty.exe from the For Windows on Intel x86 section. Disk encryption: a legal requirement Once the laptop is built, you need to ensure that data stored on the laptop is encrypted. Laptops used for University business must be encrypted in order to comply with data protection laws and University regulations. It is the responsibility of the school or department to make sure this happens. Search for disk encryption on the Kent website for how-to advice on encrypting a laptop. Configure WiFi and VPN To connect to the Kent wireless service (eduroam), browse to To use the VPN service (for off campus access to University services and fileservers), browse to and follow the instructions. 5 IT Guide: Staff laptop setup 5 Add laptop to domain and log on Adding your laptop to the UKC domain will allow you to log on to with your Kent username and password, both while connected to the university network and offsite as well. 1. Click Start/Windows Orb, Control Panel, System and Maintenance, System. 2. In Computer name, Domain, and Workgroup Settings click change settings. 3. Click the Change button. 4. Select the Domain option, then type UKC and click OK. 5. When prompted enter your Kent username and password. Windows will respond with the message Welcome to the UKC domain and ask for the laptop to be restarted. 6. After the laptop displays the Ctrl-Alt-Del prompt, it may still show the local username created earlier. To login with your Kent account, choose switch user and then enter your Kent username and password with the network lead plugged in. Configure automatic login for online services (optional, recommended) When using a laptop connected to the University network on the UKC domain, you ll need to enter your login details each time you access services such as Outlook Web Access, SharePoint, and those that require you to enter your username in the format UKC\username. You can configure your computer to use your user account credentials to login to these services automatically. 1. Click Start/Windows Orb, Control Panel, Internet Options. 2. In the Internet Properties windows click the Security Tab. 3. In Select a zone to view, click Local Intranet, then click the Sites button and then the Advanced button in the next window. 4. In Add the website to the zone type the following and click add after each one: then click OK as many times as needed to dismiss the dialog box. The User Access Control Shield Microsoft recommend that all accounts run as standard users, and administrator accounts are only used when installing extra programs or for other tasks that require elevated credentials. Running as a standard user helps to stop viruses, spyware or other bad programs from completely infecting a computer. This type of account doesn t have rights to install most programs or change critical system settings. If Windows 7 requires administrator rights, the User Account Control or UAC will be displayed.
