4 1 Introduction This document is intended to provide general information relating to license management within the Enprise suite of products. Please refer to the license guide for the specific product for information relating to the functionality provide by each license type. 4

5 General License Information 2 General License Information There a several key facts to be aware of relating to the administration of Enprise licenses. 2.1 Online or Manual License requests With the release of the version of Enprise Job, new licensing tools became available to allow the request or upgrade of licenses to be carried out online within the Enprise Job application, as oppose to the traditional manual method whereby licenses had to be imported into the system. This functionality will be rolled out to other Enprise add-on applications as a new release is made available, but in the interim there will be a mix where certain products can be licensed online while certain products will still need to be processed in the traditional manner. Below are a list of Enprise products that are currently enabled for online license validation: Application Minimum Version Enprise Job Enprise Rent Requirements for generating a license Prior to any licenses being provided, online or using the manual process, the following requirements need to be met New Site 1. In the case of standard licenses (as oppose to subscription licenses), full payment of the software invoice is required which will include a pro-rated portion of maintenance. 2. In the case of a subscription license, the first subscription amount. 3. A signed end user license agreement 5

6 Once this information has been provided, Enprise will load the end user details into the online registration system and inform the consultant that the license can then be validated Upgrading or renewing an existing site When upgrading an end user site (please review the section on what changes / upgrades will require a new license) before a new license can be issued the end user must be current with their annual maintenance, and if any new user licenses are being purchased, the software invoice must have been paid in full Online process The online license validation system allows new or upgrade licenses to be applied to the a client system without the need for requesting or importing license files. The process is carried out on the License tab of the Enprise License Administration screen illustrated below: Enprise License Administration The validation process is carried out by clicking on the Validate button which causes the application to contact a web service hosted by Enprise, and pass the Installation ID and Version number. 7 General License Information service will then validate the information, and if the validation is successful, will update the Users, Registration Code and Expiry Date with the valid license details. If the validation fails, the system will return an error message to contact Enprise. The validation can fail for the following reasons: 1. A change in the key data elements that are used in generating the license that have not been updated with Enprise. These data elements are listed below. 2. The end user has not been setup inside the Enprise registration system which is potentially due to required information not being supplied. 3. The end user is trying to upgrade to a new version but their maintenance is not up to date. 4. The end user has been deactivated. This process is the same for a new site that is being implemented, or an upgrade that is being carried out. Please refer to the requirements however that need to be in place prior to making a license request. In order for the application to access the web service, the following infrastructure needs to be in place: The machine must have internet access Port 80 on the firewall needs to be open. This is the default port for internet traffic Manual process For products that have not yet been converted across to online license registration, the process for new sites and version upgrades is essentially the same. The steps involved to obtain a license are as follows: 1. The license details fro the client environment for the required product needs to be exported into a license file that then needs to be ed to Enprise. 2. If there are no issues with providing a license, Enprise will in turn back a production license using the information provided. Please see the section on the data elements used for generating a license. 3. This license file will then need to be imported into the Enprise license administration 7

8 The import and export process is all carried out from the License tab of the Enprise License Administration form. This form can only be accessed when an Enprise add-on application is running, by user accounts defined as Superusers and is found in the following menu structure: Administrattion -> License -> Enprise License Administration Please be aware that licenses can be requested prior to an upgrade being carried out. If the upgrade is being performed outside of New Zealand standard working hours there may be a delay in being able to generate a license file Exporting the client license details The export of the license details will generate a file that contains all the required information for creating a production license. 9 General License Information When exporting the license files, please ensure that the correct application is selected in the left hand grid. The system may show multiple applications in the left hand grid even though the end user company does not use the product. By clicking on the export button the system will open a Save file dialog box allowing the user to provide a file name and determine where to save the export file. This process will need to be carried out multiple times if the company has multiple Enprise products ing to Enprise The export file or files that were generated from the export need to be ed to devsupport@enprise.com. Please refer to the section that outlines what needs to be in place in order for a license to be supplied. If these requirements are not met, a license file will not be supplied even if the end user system has been upgraded Importing license details Based on the export files, Enprise will generate and send through by return , the required production licenses. These need to be imported into the system using the import function on the Enprise License Administration screen 9

10 Enprise License Administration Clicking on the Import button will open a file browse window to select the license files that were ed through. Please ensure the correct application is selected in the grid on the left for the file that is being imported. If the incorrect application is selected the import will fail. 2.2 What change will require licenses to be updated? When the application does a check of the license, there are several elements that it will use to ensure that the license is valid. These elements however, do vary depending on whether the application has been enabled for online license validation or not. Enprise licenses do not use the hardware key. A change of hardware does not require a change to the license file. This means that an upgraded license supplied for testing purposes can be applied to the production environment (unless other factors identified below have changed) even if the testing was carried out in a different environment. 10

11 General License Information Online enabled applications Once an application has been upgraded to enable online license management, the following elements will be checked when validating the license. Any change to one of these elements will require an updated license: Data Element Description The SAP Business One This is an identity number provided by SAP when requesting System Number licenses from the SAP portal, and should not change. The number of users This relates to the number of users for the specific Enprise product. If the number of users required for the application changes, a new license will be required. The Enprise product series The license that is provided is linked to the specific Enprise product series. The product series is made up of the first four digits of the product version number. If the company upgrades to a new series, a new or updated license will be required which will only be provided if the client maintenance is up to date. Below is an illustration of the structure of an Enprise product version number, using the version number as an example: Section 1 = 8.81 illustrates the SAP version that the development was based on Section 2 = 1xx illustrates the series number for that product version Section 3 = 08 illustrates the patch level within the series The expiry date of the This is only relevant to subscription licenses and demonstration 11

The system will provide warnings when the license is due to expire Manual applications The applications that have not been updated for online license management use the following data elements when validating a license. A change to any of the following elements will require a new license. Data Element Description The SAP Business One This is an identity number provided by SAP when requesting System Number licenses from the SAP portal, and should not change. The number of users This relates to the number of users for the specific Enprise product. If the number of users required for the application changes, a new license will be required. The SAP Business One This relates to the main SAP version number and not the patch version number level. As an example, if you are upgrading from SAP Business One version 8.81 through to 8.82, then a new license will be required. If you are upgrading from SAP Business One 8.82 PL6 to 8.82 PL10, then no new license will be needed.
