2 VISION AND GOALS The vision and goal of Day One AS is to ensure all Atlanta ublic Schools students, parents, staff and facilities are equipped and ready for optimal support, teaching and learning on the first day of school. What does Day One AS look like? An effective Day One AS process involves a collaborative approach that encompasses all divisions within Atlanta ublic Schools (AS). Specifically, it means that AS has: Students ready to learn. Students are enrolled, present and on time. o Accurate school zone information o arent communication o Student handbooks at the schools o Registration Forms Infinite Campus Notaries Interpreters Free and Reduced rice Meals Application (FEA) ready and available at schools for distribution o Transportation School buses are state-inspected and repaired. Eligible drivers and monitors are trained and certified before school opening. Bus routing information is communicated to schools and community. Drivers receive route information, complete practice runs, and visit principal or designee. o Student transfers completed Students are enrolled in the correct courses and have accurate schedules. o Counselors o Infinite Campus Facilities ready for students to learn. Construction and renovation projects are on schedule. Repairs and maintenance are on schedule. School buildings are clean and secure. School safety plan is in place. Crossing guards have been assigned. Furniture is in place. Breakfast is offered on Day One. Staff ready for students to learn. 7 School Readiness Standards Division: Facilities Services Readiness Scope Readiness Components Component Readiness Standard Facilities The Facilities Services Department s Readiness effort will focus on detailed cleaning and major systems repair to ensure the efficient operations during the school year and a conducive and supportive learning environment. It is important to ensure the safety of the students, faculty, administration and other occupants of the physical plant by proper and timely maintenance of capital equipment and cleanliness of the buildings. Cleanliness (by Area) The following is completed: Dust ceiling, air vents, exhaust fans, walls, all horizontal surfaces, light fixtures, light reflectors and globes, Venetian blinds and shades. Replace burned out tubes and bulbs. Clean glass. Remove chewing gum from floor and furniture. Wash and sanitize all furniture top to bottom. Wash walls top to bottom. Wash and sanitize all trash containers. Clean and sanitize water fountains. Wash baseboards and clean corners, and edges. Machine strip floors. Apply floor finish. Allow each coat to dry thoroughly before applying the next coat. Shampoo all carpets. Arrange furniture and objects back in area. Ensure that all paper supplies on location. 11 School Readiness Standards Division: Finance Readiness Scope Readiness Components Component Readiness Standard Finance The Finance Division s Readiness effort will focus on the following; Fiscal Year General Fund & School Budgets Bank Signature Cards for all newly hired or interim rincipals Armored car service pickups Checks, deposit slips and receipt books; contracts; purchase orders Training on time entry procedures and Kronos urchase Cards Timekeeper rincipal Signature Cards General Fund rogram and School Budgets School district time entry personnel will be identified and trained on time entry procedures and Kronos for ayroll by August 1. Bank signature cards for all newly hired or interim rincipals will be ordered and delivered via U.S. mail; completed and returned for authorization and operation of school activity checking accounts by August 30 Fiscal Year General Fund & School Budgets will be loaded into Lawson financial system and communicated to Budget Center Managers using by July 5. Armored Car Service Armored car service pickups will be scheduled for fund accounts held at schools (nutrition, school activity accounts) by July 16. 15 School Readiness Standards Division: Legal Readiness Scope Readiness Components Component Readiness Standard Legal To ensure that all applicable laws, policies and regulations are incorporated into Day One procedures. Focus efforts to complete legal review of all contracts/agreements for goods and services needed for Day One. Review of applicable state, federal, and local laws and policies. rompt legal review of all contracts/agreements that are needed for Day One. Identify, analyze and provide comment on applicable new laws, policies, and regulations by June 15 of upcoming school year. 100% of all Day One related agreements that are properly submitted to OGC by May 31 with appropriate approvals, authorizations, and documentation will be reviewed and submitted to the vendor for consideration or execution by June 30. 16 School Readiness Standards Division: Nutrition Readiness Scope Readiness Components Component Readiness Standard Nutrition School Nutrition will focus on the preparation of cafeteria staff and equipment for school opening, and will ensure the FEA rocess is complete for FY07 Free and Reduced Application rocess. FEA Applications FEA Applications are delivered to all school sites and FEA Site Coordinators are trained to perform duties by August 11. Coordinators at year round schools will be trained by July 12; returning coordinators will complete training by August 10. New coordinators will complete training by August 11. Applications will be delivered to year round schools by July 14, and to traditional year schools by July 31. Kitchens Cleaned Kitchen and all related equipment are clean and operable by August. Included are the cleaning of grease traps and hoods, and floors pressure-washed. Staff Readiness Staff (Food Assistants and Managers) has received information and training to perform duties by August 11. 18 School Readiness Standards Division: Operations - Security Department Readiness Scope Readiness Components Component Readiness Standard Security The Security Department's Readiness efforts will focus on ensuring that our buildings are safe and ready to receive students and staff on the first day of school, life safety systems are functional and our partners are familiar with our emergency response plans. School olice Officer Assignments for Middle and High Schools Install Metal Detectors olice officer coverage for middle and high schools is adequately selected and assigned based upon # of incidents, # of students, building layout forms completed for each officer. Existing metal detectors have been inspected and new detectors installed as needed. Updated School Safety lans School safety plan training is conducted for school safety coordinators and a revised/updated school safety plan is obtained for each school. School Inspections Individual school inspections for each school are conducted ensuring life safety systems are functional: fire and burglar alarm systems, cameras and keyless access. Building and grounds checked for safety hazards. Security Guard Assignments for selected schools The need for additional physical security measures for selected, schools with high incidents of thefts and violence etc. has been assessed. 19 School Readiness Standards Division: Operations - Security Department Readiness Scope Readiness Components Component Readiness Standard Central Office Emergency Response Training Emergency preparedness training is scheduled for central office emergency response team members to review District protocol. Building safety plans are obtained for all satellite buildings. Crossing Guard Assignments Atlanta olice consulted to identify crossing guard vacancies and coverage is provided until the vacancy is filled. Emergency Equipment for Vehicles First aid kits and fire extinguishers are purchased for department vehicles. Training in Emergency Response rocedures Staff is adequately trained in emergency response procedures such as basic first aid, CR and crisis management. artners beginning of the Year Meeting A meeting is scheduled with public safety (GEMA, fire, police, DFACS, mental health), metro chiefs (Fulton, Dekalb, MARTA) and public information officers to discuss strategic emergency response communications strategy and information exchange for the school year.
