1 FREQUENTLY ASKED QUESTIONS IMS LIBRARY What is the web address for the IMS Library? What is the IMS Library? The IMS Library is a centralized digital media library - also known as digital asset management system (DAM). The IMS Library uses metadata to organize digital media to ensure quick and easy retrieval of files. The IMS Library supports departments across the BAC and systems such as the BAC Website. What is metadata? Metadata is data - it means data about data. Metadata is any data added to a file from basic properties to high-level properties. It s what makes a file an asset. As metadata is added to files, the value of the file grows (making it an asset) because the file becomes more accessible people can find it easier; files with like metadata are easier to manage; but more metadata can create a complex system that needs to be managed. 2 SUPPORT/ASSISTANCE Who do I contact for assistance with the IMS Library? Can I speak to someone or is the only way to communicate? At this time is the best way to contact the IMS Library Administrator as soon as your is received someone will be in contact either by or phone. IMS LIBRARY ACCOUNTS I m a BAC staff member, but I don t have access to the IMS Library, how do I request an account? Please contact your IMS Library Administrator at I m not a BAC member, but I need an IMS Library Account. Please contact LOGIN ISSUES I have a BAC address (@the-bac.edu) and I forgot my IMS Library login credentials username and password?

3 Your IMS Library credentials are the same as your BAC credentials that you use to login to your computer, PowerCampus and other BAC systems. I have a BAC address (@the-bac.edu) and I clicked reset password but I m still waiting for a message. IMS Library Users with a BAC addresses cannot reset their password with the reset password feature. Please contact your IMS Library Administrator at imssupport@thebac.edu I m an External IMS Library User (non-bac address) and I m unable to login to the IMS Library. Try using the reset password feature. If issues still persist contact SEARCHING I m looking for a file, but not finding what I need. Contact your IMS Library Administrator at they ve seen every file in the IMS Library so they ll quickly know whether or not they can help you.

4 LIGHTBOXES I m trying to share a Lightbox with an External User (non- Bac user) but I can t. User permissions vary across different user groups. Most likely your account is not configured to share with External Users. If you believe this is an error, contact I deleted my lightbox did the files in that lightbox become deleted from the IMS Library? No, Lightboxes are non-destructive folders and when they are deleted they do not affect files. I deleted my lightbox can I un-delete it? I m sorry, once a lightbox is deleted the files are removed and the only way to get it back is to rebuild it manually. I deleted my lightbox, but I was sharing it with another user. The user or users that you shared that lightbox with will no longer have access to that lightbox. I shared a lightbox with an External User, but the images they download are watermarked. Open that lightbox, click on the downward arrow by the persons name, and make sure watermark isn t checked on user setting page.

5 DOWNLOADING I m trying to download the original file size, but I m not able to. Your IMS Library User Settings are configured in a way that prohibits this action. If you need a high res file or feel this is an error, please contact imsssupport@the-bac.edu. I submitted my request to download a file, and my file is still pending. We aim to process all requests same day. If this is urgent, please contact. Why is downloading restricted? Downloading files increases data across personal computers and networks across campus. To avoid creating more data, downloading has been thoughtfully configured. UPLOADING How do I upload files into the IMS Library? There are a few ways to upload files into the IMS Library:

6 o Under 2GB = Browser Uploads o Under 4GB = Desktop Upload Tool o Larger than 4GB = FTP FTP requires some configuration; please contact for assistance. I uploaded my files, but now they are pending and it says I need to enter metadata? This is correct, before files can be accepted into the IMS Library, files must be tagged with required metadata. Metadata fields with a red asterisk are required. Metadata is very important, and files with metadata entered incorrectly will be declined. If you are unsure how to enter metadata please contact. REPLACING FILES I m the lead photographer at the BAC and I just color corrected a file in my legacy collection in Lightroom how do I update the file in the IMS Library?
