Managing Corporate Trave GHG Emissions An eco-sustainabe business trave management framework In response to cimate change, Internationa reguatory bodies, in tandem with regiona governments are deveoping mutiatera adaptation and mitigation strategies towards ensuring a reduction in goba greenhouse gas (GHG) emissions gobay. Trave and transportation industry aone, in 2007, contributed to 13.1% of goba GHG emissions, and were responsibe for 61% of goba oi usage. Since most of the trave and transportation is for movement of goods and business peope, it is imperative for not just trave and transportation industry, but for a corporations wordwide to manage their corporate trave, in an eco-sustainabe manner. This paper is meant for operationa eaders of a corporations, as we as the strategic eadership of Trave Companies to urge a paradigm shift in sustainabe management of corporate trave. This paper proposes a shift in approach from corporationcentric trave management mode, to trave-distributioncentric mode in managing corporate GHG emissions. Through this renewed mechanism, Trave Companies (TMCs) and corporations can work together to reduce, Measure, Report, Verify (MRV) corporate business trave GHG emissions. The paper eaborates on the shift in responsibiities of both TMCs and corporations, creating vaue for both, specificay encompassing the foowing: MRV emissions As part of the service portfoio, aong with transaction-based carbon-footprint detais, TMCs shoud incude 3rd party certification and verification offerings.

Managing Corporate Trave GHG Emissions Reduce emissions - Organizations and TMCs must work together, to ensure that corporate trave transactions; aviation, oca transit, accommodation, etc. are based upon both, cost and carbon, parameters. Through this thought eadership paper, TCS proposes that TMCs are in a strategic position to everage the scope of their activities towards managing corporate eco-sustainabe GHG emissions. IT pays a critica roe in supporting smooth operation of this framework, and can create economic and ecoogica vaue, for both the TMC, and corporations simutaneousy. 1

Managing Corporate Trave GHG Emissions Cimate Change: A Ca to Action The existence of a sustainabiity gap is now irrefutabe. Various scientific studies from across the gobe show pragmatic confirmations from changing weather patterns, incuding an increasing number of natura caamities and rising goba temperatures. A this has had an enormous impact on the heath of our panet and its inhabitants. The business as usua (BAU) approach, if foowed, wi eventuay damage economic growth through ecoogica depetion hence the threat is as much economic as it is ecoogica. The Stern Report (aigned with the IPCC report) appropriatey highights that benefits of strong, eary action consideraby outweigh costs, and eary action is ess costy 1 action. Internationa Action to Address Cimate Change At the core of what needs to be addressed by countries, businesses and civi society at arge is greater effort to embrace and practice sustainabiity the simpe process of having enough to meet your current needs without impacting future generations. Our focus needs to be the estabishment of a framework that addresses this unrestricted drawdown of natura resources and provides a more baanced approach to achieve ecoogica competitiveness which wi drive economic sustainabiity. Towards this, at an internationa eve, the United Nations Cimate Change Conference (UNFCCC) and the Kyoto Protoco have been reguating and guiding the process of reducing the word s GHG emissions. Since the Kyoto protoco is set to expire in 2012, nations came together to sign the Copenhagen Accord in December 2009 wherein each nation, set vountary GHG emission reduction targets Irrespective of the resuts of internationa poicy discussions towards cimate change, each region has been activey striving to reduce resource inefficiency and GHG emissions, by setting frameworks and regiona reduction targets, which are in-turn transated to sector-wise emission reduction and environmenta sustainabiity targets. 6 Managing Corporate Trave GHG Emissions A critica chaenge in meeting reguatory requirements and setting emission reduction targets, is being abe to accuratey measure, report, and verify existing emissions. Eco-Sustainabiity is in an embryonic state of deveopment, therefore there is a fundamenta need for cousion among reguators, businesses, and experts to create reporting frameworks. Towards this, organizations such as Word Resource Institute (WRI) and Goba Reporting Initiative (GRI), Internationa Organization for Standardisation (ISO), etc. are deveoping measurement, reporting, and verification standards in tandem with various industries. Contribution of Trave to Goba GHG Emissions From 1970 to 2004, wordwide emissions of Green House Gasses (GHG) increased by about 2 70% (from 28.7 to 49.0 GtCO2-eq). The transportation industry, incusive of the aviation, automotive, shipping and ocomotive sector contributed to 13.1% of goba GHG emissions. The trave and tourism sector, however, remains important to economic deveopment. The contribution of Trave & Tourism to GDP is expected to rise from 9.2% Other 23.2% Transport 45.3% 2250 Mtoe 1973 and 2008 shares of Word oi Consumption Non-energy Use 11.6% Industry 19.9% 3 (US$5,751 bn) in 2010 to 9.6% (US$11,151 bn) by Whie word oi resources continue to dwinde, it is important to 4 note that in 2008, 61.4% of word oi consumption was by the transportation sector. Other 12.9% Transport 61.4% 3502 Mtoe Non-energy Use 16.2% * Incudes agricuture, commercia and pubic services, residentia and no-specified other. Industry 9.5% Within the transportation sector, road trave contributes to 80% of emissions reated to 5 transportation, foowed by aviation at 13%. Further, these numbers vary distincty in deveoped vs. deveoping nations, with significant variabiity in the efficiency and environmenta impact of vehices. Therefore, poicy-makers, and government reguators, have been working cosey with industry to increase vehice efficiency, and reducing the environmenta impact of trave and transportation on goba GHG emissions. Notabe among these reguations is the recent European Union Emissions Trading Scheme (EU-ETS) for the aviation sector, which is a cap and trade mechanism for aircrafts that operate to and fro and through the European air space. Aircraft operators wi receive a free aocation of aowances subject to the submission of verified 2010 tonne kiometre and emissions data by March 31, It is imperative that this information is accurate as it wi form the basis of the cacuation of the free aowance and every tonne of GHG emitted above this aocation wi have to be purchased on an annua basis. With carbon prices ranging from Euro( ) 12 to 18 per tonne, the financia impications of non compiant data coud be substantia. 7 Managing Corporate Trave GHG Emissions Need for management of Corporate Trave-based GHG emissions Corporate GHG emissions reporting and reevance of business trave Organizations gobay are increasingy required to map their environmenta sustainabiity actions and report on them for statutory reasons. As a foow up to internationa cimate change deiberations and their poitica out-fa, countries wi soon intensify these reguatory requirements, especiay for resourceintensive industries. Carbon reporting and discosure that is vountary and non-audited for the most part wi not ony be mandated, but aso have to meet stringent industria and regiona standards. The quest for this knowedge has ed to a critica demand for Enterprise Carbon Accounting and GHG Emissions systems that support in rapid and cost effective coection, summarization, and reporting of enterprise and suppy chain carbon and other GHG emissions. As per the UNFCCC guideines on reporting corporate greenhouse gas emissions, each organization is aowed to define its own boundary of operation. So each enterprise coud determine, based on their operationa convenience, which operations they want to incude as part of their reportabe emissions, incuding ogistics, transportation, warehousing, etc. Let us consider this from the perspective of an organization that does not consider trave and transportation as a core business activity. At a very basic eve, based upon Word Resource 6 Institute (WRI) Guideines and GHG emission protoco, reports must encompass the foowing three eves of organizations activities: Business Trave at TCS At TCS, Business trave is the second highest contributor of annua GHG emissions, after energy. The foowing are the ways we are managing it: 1. Using a SAAS-based too and internet based coaboration toos to account and report on our GHG emissions, incuding those from business trave 2. Depoyed more than 200 video conferencing systems gobay to reduce the need for empoyee trave 3. Depoyed car pooing, and mass transit portas to reduce oca trave by empoyees SCOPE 1 Emissions Emissions from GHG sources that an organization owns or contros, for e.g. Company owned vehices, and own eectricity produced. SCOPE 2 Emissions Emissions from purchased eectricity used for corporate operations SCOPE 3 Emissions A other indirect emissions that occur in the vaue chain of the reporting company, incuding both upstream, and downstream emissions. For e.g. production of goods and services used by the company, consumer use and disposa The foowing iustration depicts key components that fa under each of the scopes of reporting on GHG emissions. 6 Word Resource Institute,

However, recenty, agencies such as WRI and GRI G3 are reaizing the importance of vaue-chain driven reporting of GHG emissions. They are testing new reporting frameworks with industry eaders wherein each organization is hed responsibe for emissions across the product/ service ife-cyce of their operations, incuding upstream, downstream, product use, and even outsourced activities. This means, business trave based emissions, which fa under scope 3, may not ony be reportabe, but aso required to be reduced and managed. Therefore, now it is imperative for organizations to move from spread-sheet based annua measurement and reporting of corporate business trave, to more mature frameworks that not ony hep in deveoping baseines, but aso strategicay benchmark, and impement emission reduction targets. 7

Managing Corporate Trave GHG Emissions Existing Practices in measurement, reporting & verification of business-trave GHG emissions What do Trave Companies (TMCs) do? Based upon the contract with the enterprise, TMCs are typicay responsibe for providing trave, oca transportation, and/or odging reservation services to the cient. Through a corporate trave-desk, they make enterprise-wide domestic and internationa reservations, mosty based upon two criterions cost and time. In other words, on behaf of the corporate traveer, they wi hep pick out the most cost effective fight option, for instance, that wi reiaby hep the empoyee reach a critica meeting in time. What do Corporations do? The corporation ensures the TMCs abide by the corporate trave and transportation poicies and provide cost-competitive services. Often many times mutipe TMCs are invoved, depending upon operationa considerations for the organization. The cacuation of trave-reated GHG is corporatecentric. The sustainabiity department within the organization, coates annua trave reated data from the corporate trave desk, and then deveop a business trave GHG emissions inventory on spreadsheet, using industry defined formuae. As part of the verification and vaidation of organization s sustainabiity report, the methodoogies used for these cacuations are certified by authorized 3rd party agencies such as DNV, TUV, etc. Data aggregation, normaization, anaysis, and reporting, incuding that of business trave remains a time-consuming and costy process for the organization. TMC Faciitate trave-air, Train, Car, Hote The tabe beow outines the imitation of the existing practice: Trave Data Coate Trave Data Organization Non Trave GHG Emissions Cacuate Trave GHG emissions Certified GHG Report Certify Trade / Offset Existing Practice Organization subscribes to a Trave Company (TMC) that faciitates business trave providing them best vaue in ine with organization principes. The organization has a separate department from the trave department that coates corporate wide trave data to cacuate GHG emissions using best practices The organization uses GHG emission toos, wherein GHG emissions are cacuated on static data points that do not take into account rea time factors ike the type of aeropane engine, hote waste management and occupancy, rai ridership etc Cacuated GHG emissions are then certified by a 3rd party certifying agency The organization aggregates its business trave GHG emissions to reease vaidated and verified corporate emissions data annuay Organizations find it chaenging to benchmark business trave GHG emissions on a granuar eve. Data is coated from different sources thus competeness of data is a chaenge. Limitations Large organizations are spread across mutipe ocations. To cacuate GHG emissions, organizations need to coate trave information from each ocation that has potentia for inaccuracy The accuracy of the GHG emissions is based on poory defined static parameters Athough new and more accurate toos with greater reiabiity and adaptabiity than home grown toos are being deveoped, organizations find it difficut to subscribe to different toos or even change toos periodicay Organizations find it chaenging to benchmark business trave GHG emissions on a granuar eve Additiona cost and overhead to get GHG emission data audited Higher overhead costs in coating, verifying and getting business trave data certified to granuar eve The competeness of the report is dependent on the accuracy of the data coated and the accuracy of the agorithm used 8

Managing Corporate Trave GHG Emissions Proposed Shift in business-trave GHG emissions management Trave Companies account for a arge share of business trave bookings. They are thus ideay paced in the trave distribution suppy chain to indirecty address amost 20% of the goba GHG emissions from sectors ike Transport, Residentia & Commercia Buidings and Water and Wastage through Airines, Hospitaity, Events, Rai, Car 7 Renta, Airports for business trave customers (see figure). Since most business traffic is faciitated by a TMC, the paper suggest that accurate MRV (Measure, Report and Verify) for business trave GHG emissions may be obtained by shifting the data coation, cacuation, reporting and verification services to the trave distribution channe. The initiative wi enabe TMCs to create a vaue added industry demanding offering suite. Today, arge Trave Companies ike Expedia and American Express Trave provide GHG emission 8 cacuations and reports, but these are just academic in nature. These cacuated and reported GHG emissions cannot be used in trade/offset activities because the emission vaues are not certified. The industry is making a coaborative effort to deveop toos that can measure, report and verify trave-reated GHG emissions independenty, using internationa measuring standards. For instance, recenty, SITA deveoped and tested a scaabe goba soution to 9 compy with ETS for the airine industry. Moreover, organizations for whom capturing trave and transportation reated emissions is a non-vaue added over-head cost, they wi find it chaenging to keep pace with a currenty avaiabe toos and reguations (and more to come) in the near future. Transferring the emission cacuation from the organization to the distribution centre wi aow businesses to concentrate on their core competencies. With access to state-of-the-art toos and up-to-date methodoogy, a TMC wi be abe to perform this activity with greater accuracy and ower operationa costs. Further, the trave and tourism 10 industry, is profitaby venturing into eco-tourism based offerings such as ecoogicay certified hotes, hybrid vehice renting services, e-ticketing options etc. Cubbing a these ecoogica offerings by TMCs, under one banner, coud act as a huge eco-enaber in the in business trave and tourism industry. 11 Managing Corporate Trave GHG Emissions Saient features of the suggested Practice The paper suggests that business trave data shoud be captured up the trave vaue chain in the trave distribution network to ensure accuracy, and accountabiity. The foowing tabes outine the roes of TMCs and the corporation through this practice. Roe of TMC Saient Feature TMCs can subscribe to trading scheme compiant GHG emission cacuating entities Offer eco-tourism options, incuding hotes, airines, oca transport, etc. The Mode can be repicated for mutipe organizations Mode can be offered to non-subscribing organizations who can provide trave information for certification TMC GHG emission certificate mode wi command greater respect in the market pace than individua organization non-standard system GHG emission cacuation is bound to become sophisticated. Since Business Trave being core business function to TMCs thus has better knowedge of the industry and the resources to engage with the certifying organizations to get certified data, which wi 11 enhance the accuracy of overa cacuations 'One-Stop' service providers for a trave-reated data incuding trave faciitation, trave reports and GHG emission MRV. Benefits Provide accurate data to organizations Quantify financia and carbon savings of a trave transaction Offer cost effective proposition to organizations subscribing to data A vaue added services for sma and medium business A vaue added service that can be offered to any subscribing and non-subscribing organizations Can offer greater vaue for the services they provide to organizations. TMCs can subscribe to most accurate too, yet provide most cost effective soutions to organizations. Provide cost effective soutions, industry benchmarked soution to organizations. Potentia to increase revenue in short term Roe of Organizations Saient Feature Get carbon and cost reated data at transaction eve for aviation, oca transport, and accommodation. Certified information can be used As Is Business Trave certified information can be used for enterprise wide reporting In future GHG cacuations wi become more sophisticated to improve quaity of data Outsource non-core business requirement Benefits Proactivey make decisions to reduce carbon footprint across the enterprise by providing eco-friendy options. Practicay no upfront investments are required to cacuate business trave GHG emissions No information technoogy systems investment required No overheads required to improve the quaity of data Organizations can save on operating costs by reducing in-house manpower Business Trave certificate information can we be integrated with other GHG emission cacuating programs and IT can be to integrate data directy from TMCs to the company's carbon accounting software Seamess integration of Land, Energy, Water, Waste, Air GHG emission programs. 11 SITA deveops breakthrough goba soution for airine emissions reguation 10

Managing Corporate Trave GHG Emissions As major TMCs continue to invest in creating offerings around cacuating GHG emissions for trave components, an opportunity exists for them to provide sustainabiity-driven services, which wi shift the approach of cacuating MRV from a corporate-centric mode to a trave distribution-centric mode. This shift in approach can become a significant differentiator for first-mover TMCs and provide immense vaue to corporations that are keen on empoying green business trave. This can be done by enhancing TMC s reporting systems to incude verification service for GHG emissions, as we as get their reporting methodoogy periodicay certified by the competent authorities. For exampe, Earthcheck, a 12 benchmarking and certification company, which is recognized as the word s argest certification program designed specificay for sustainabe trave and tourism businesses, compies with the Intergovernmenta Pane for Cimate 13 Change (IPCC) Guideines for Nationa Greenhouse Gas Inventories, the Word Business Counci for Sustainabe Deveopment 14 (WBCSD) Greenhouse Gas Protoco 15 standards for greenhouse gas accounting., and the Internationa Organization for Standardization (ISO) range of Earthcheck Certification Intergovernmenta Pane for Cimate Change WBCSD ISO Green house Accounting Standards ISO Series 11

Managing Corporate Trave GHG Emissions Suggested eco-sustainabe business trave framework driven by IT for TMCs TMC s Reporting Soution within their existing IT framework can be enhanced to accommodate GHG emission management process. Since the new process wi interact with various GHG emission cacuating toos either from trave service provider or 3rd parties, and aso with interna accounting systems the communication exchange mechanism shoud be patform independent. Suppier Agent Customer Integration Layer Customer Trave Reports Accounting Inventory Reporting Accounting Reports Loyaty Booking GHG Emission Framework Avaiabiity Pricing Foowing are the components of the suggested GHG emission certification framework: 1. Coate Trave Data: TMCs shoud enhance its existing framework to incude trave itinerary GHG emission data coated from a trave components ike domestic and internationa aviation, vehice environmenta efficiency, eco-sustainabe accommodations, and other eco-tourism options. 2. Estimate GHG emissions: An appication to cacuate emissions for each trave component using avaiabe GHG emission cacuation toos and database is required. 3. Aggregate Emissions: The modue shoud aggregate the individua and tota trave component GHG emission for an organization. 4. Log a Transactions: Transactions need to be ogged for a period to compy with oca and/or internationa reguatory poicies. 5. 3rd Party Vaidation: TMCs issue GHG emission certificates to organizations based on trave transactions. The TMC itsef must be certified by an emission contro authority. 6. Support/ Faciitate Auditing: The modue shoud cater to audit requirements for each trave transaction. 7. Reporting: TMCs shoud deveop a reporting system that encompasses corporate requirements such as Industry Benchmarks, Benchmark Carbon by Industry, Cost per ton of GHG, what-if anaysis of savings if trips were optiona etc. 8. Distribution: The modue shoud provide a business trave GHG emissions certificate to organizations, which can be used for trade/offset. 9. Education Portas: The modue shoud provide customer education offerings around GHG emission and outine methods to reduce GHG emissions. 14 Managing Corporate Trave GHG Emissions Cimate change and environmenta action in response to scarce conventiona resources has entaied a new wave of reguatory frameworks internationay. These are further being transated into regiona, and industria emission reduction and environmenta management target. In response to these and upcoming mandates, organizations word-over are deveoping emission management systems. But in order to ensure reduction, there is a primary need to be abe to accuratey measure, report, and verify these emissions. Since trave and transportation industry accounts for 61.4% of goba oi usage, it is imperative that the industry itsef, and its drivers, i.e. enterprises wordwide, manage their emissions efficienty. This provides a differentiated opportunity for TMCs to act as an eco-sustainabe trave servicing and reporting agency. TMCs are uniquey positioned in the distribution chain to accuratey cacuate business trave GHG emission MRV and can thus broaden their service portfoio. Since tradabe patforms ike the EU s Emission Trading Scheme ceary define the emissions cap of each business entity, the paper suggests that accurate coation of data, reporting and verification of GHG emisisons wi hep maximize the benefits of the scheme. Business trave GHG emission data can be captured at the source of trave distribution for better accuracy and operationa efficiency for both corporations and TMCs. The approach paves the way for organizations to deveop a dependabe and adaptabe system that can account for reduction in GHG emissions. In order to make this concept workabe, information technoogy (IT) pays an important roe in coating, measuring, monitoring transactions and reporting. By everaging IT-enabed drivers that hep in accumuating, normaizing, anayzing trave-reated, data, TMCs shoud consider eco-trave and MRV services as a key differentiating strategy to tap corporate business trave market. Trave and transportation remains a support activity, and organizations wi eagery ook forward to receiving environmenta managed trave services, that hep them meet their own emission reduction and reporting goas. Since TMCs aso faciitate eisure trave, the system can further be enhanced to persona trave, shoud the persona 16 carbon trading (PCT) become avaiabe. PCT wi be carbon trading patform for individuas which wi have potentia to drive greater emission reductions. 16 House of Commons Environment Audit Committee 13
