3 3 Makig Time for a Solutio that Saves Time: Oe Orgaizatio s Implemetatio Experiece Fra Kae joied the Schizophreia Society of Otario (SSO) as Maager of Admiistratio & Huma Resources over a year ad a half ago ad she oticed they relied o maual processes for trackig vacatios, sick days, lieu time ad emergecy cotact iformatio. Huma resources iformatio was beig tracked o spreadsheets ad employee iformatio was i multiple locatios. Whe CEO, Mary Alberti, forwarded the aoucemet offerig the Huma Resources Iformatio Systems (HRIS) solutio, Quadrat, fuded through the Miistry of Health ad Log-Term Care, Fra took the leap without ay hesitatio. I September 2009, the SSO wet live with the HRIS solutio, offered through the HRIS Commuity Metal Health & Addictios (CMH&A) project. Whe the SSO started their implemetatio ad data fidig, the HRIS implemetatio team wet osite to lear more about their specific busiess requiremets. Fra says they felt egaged i Afrooz Eghbali (L), Sr. Fiace Officer, Sadra Forster, Admi. Assistat ad Fra Kae, Maager of Admi. & HR a collaborative implemetatio process, which ivolved a uderstadig of their specific eeds ad services. What was really iterestig too, was that it was t just about the HRIS software; they became really iterested i our orgaizatio, what we do ad what support we provide i the commuity. It was much more tha just implemetig a HRIS system. Fra outlied the implemetatio: It was a staged process; they would gather iformatio, do some cofiguratio ad work to review the iformatio. There were ever ay gaps. It was a very smooth ad well thought out process. Like ay chage to a busiess process or trasitio to ew software, there is a learig curve. With thoughtful plaig ad hads-o traiig, Fra was able to lead the SSO s implemetatio successfully. I kew i December of last year (2008) that a good chuk of my year was goig to be spet implemetig ad rollig this out across the agecy. I put it i my operatig pla ad made it a priority, she says. The solutio saved a cosiderable amout of moey, Fra says. Now, we do payroll i-house as opposed to outsourcig ad it has also saved me a lot of ma-hours i trackig vacatio, sick time ad flow days. Fra ackowledges that there will be a certai amout of fie-tuig, for example, we just chaged a policy, but we have the support of the HRIS team, so whe we chage somethig they help us do it. Fra says usig the software for the first time was great. I foud it user-friedly ad easy to maoeuvre aroud. I ever really had ay previous experiece usig other HRIS solutios ad I have ever i my life doe payroll ad I ca ow do payroll! Fra s advice to other CMH&A orgaizatios: They absolutely have to get o board. It s a great way to track ad report. It offers huge dollar ad ma-hour savigs compared to other software that they may be usig. This excitig project will implemet Otario Healthcare Reportig Stadards (OHRS)-compliat Maagemet Iformatio Systems (MIS) ad Huma Resources Iformatio Systems (HRIS) software suites i up to 25 SCCH across Otario. The MIS suite is called Quadrat Fiacials ad is built o a Microsoft platform cosistig of Microsoft Dyamics GP Release 10.0 i cojuctio with Quadrat s Materials Maagemet (Mat Ma) ad MIS suite. The HRIS suite is called Quadrat Workforce ad cosists of a variety of differet modules, icludig Quadrat s Huma Resources, Payroll, Schedulig ad Self Service (icludig QHRet). 4 4 CCIM Project Ehaces Trasparecy ad Reportig Withi the CHC Sector The ability to geerate stadard iformatio withi each idividual Commuity Health Cetre(CHC) ad across the sector is oe of the aticipated beefits of implemetig CHC-specific Otario Healthcare Reportig Stadards (OHRS), expressed by Aita Jea, Program ad Systems Maager at the NorWest CHC. Aita recetly discussed the implicatios of participatig i the CHC OHRS/Maagemet Iformatio Systems (MIS) project beig led by CCIM. She provided a overview of the NorWest CHC ad her perspective of the road that lies ahead o the jourey to OHRS compliace; as CHCs alig with the fiacial ad statistical reportig stadards curretly utilized i other sectors. The NorWest CHC is comprised of 3 cetralized sites: Armstrog, Loglac ad Thuder Bay ad 15 outreach locatios, with a eclectic mix of programs o offer to approximately 10,000 cliets. Programs ad services are chose based o: Determiats of Health (set out by Health Caada e.g., icome, social status, idividual capacity ad copig skills, geder etc.) Priority populatios determied by the CHC Board of Directors; ad A particular commuity s eeds. Parterships with youth correctio facilities; a mobile primary health care uit ad outreach urget care cliics are just some of the iovative approaches NorWest has utilized to meet cliet eeds. CHCs are differet as they are structured ad desiged to elimiate system-wide barriers to accessig health care, such as poverty ad geographic isolatio, commeted Aita. Accordig to Aita, NorWest became aware of the CHC OHRS/MIS project through their Executive Director. She was eager to be egaged with the project as they lead the developmet ad implemetatio of CHC-specific OHRS ito approximately 70 CHCs, so she siged o as a member of the Advisory Workig Group (AWG). We took a step back as a Advisory Workig Group to idetify what a CHC is, says Aita, so that we could determie what type of fiacial ad statistical reportig system would be suitable. I additio, the AWG felt that the project team should coduct site visits to CHCs across the provice to see what makes them uique. Aita Jea, Program ad Systems Maager at the NorWest CHC To date 4 site visits have bee coducted with a additioal 7 scheduled throughout March/ April 2010 ad Aita oted that the real effort to esure that the stadards beig developed were suitable, is absolutely pheomeal. CHCs build iterprofessioal teams workig i collaborative practice. I these teams, salaried professioals work together i a coordiated approach to address the health eeds of their cliets. Aita oted that the cliet sees the most appropriate provider for their care, resultig i the effective use of resources. I additio, the redirectio of primary care o a outreach basis ad workig to keep people out of hospital, potetially savig healthcare dollars; esurig participatio i coalitios ad committees, as well as egagig i parterships are some of the ways i which NorWest is spreadig awareess of the CHC model of care withi their LHIN. OHRS-compliace has bee madated for CHCs across Otario. Therefore the CHC OHRS/MIS project will assist these orgaizatios Everyoe will be reportig i a similar way ad they will be able to compare ad bechmark withi the Commuity Health Cetres (CHC) sector by leadig the developmet ad implemetatio of CHC-specific OHRS ad supportig them as they submit their Trial Balaces. Accordig to Aita, by followig implemetatio of this fiacial/statistical framework everyoe will be reportig i a similar way ad they will be able to compare ad bechmark withi the Commuity Health Cetres (CHC) sector. She also oted that, iitially it may be more work, but it will icrease trasparecy ad accoutability, which I thik is eeded i this day ad age. 5 5 Huma Resources Iformatio Systems Project Lauches Successful Webiar Sessios Sice lauchig the Huma Resources Iformatio Systems Commuity Metal Health & Addictios ad Commuity Support Services (HRIS CMH&A ad CSS) projects i August 2008, fidig iovative ways to egage ew orgaizatios has bee a priority for both project teams. After iput from orgaizatios, the HRIS CMH&A ad CSS projects recetly lauched a webiar series geared towards givig orgaizatios a opportuity to lear more about the HRIS projects ad the software offerig, Quadrat. Three successful webiars were held durig Jauary, February ad March, with over 80 participats registerig for the February webiar, early double that of the first oe. Feedback from participats about the webiar has bee overwhelmigly positive. It is a terrific way to lear! said oe orgaizatio. The iteractive webiar sessios are led by two preseters who take participats through a itroductio to the HRIS project ad the four Quadrat software modules: Quadrat HR, Quadrat Payroll, Quadrat Schedulig ad QHRet (Quadrat Self Service). Participats are also take through the software implemetatio process, so they kow what to expect if they decide to joi the project. Wat to Kow What Participats Have Bee Askig at the Webiar Sessios? How log does it take to implemet the Quadrat software? Implemetatio varies from orgaizatio to orgaizatio. The legth of time it takes to fully implemet the software solutio ca rage from oe to six moths, but it depeds o a umber of factors such as: umber of employees, employee groups, positio, presece of collective bargaiig agreemets, etc. All orgaizatios will work closely with a dedicated HRIS implemetatio specialist assiged to their orgaizatio throughout the process. If I joi the project, what costs ca I expect to icur? There is o cost associated with the implemetatio of the Quadrat software. 6 6 Pilot Hospitals Atted Traiig ad Achieve Major Milestoe Live status was realized by four Pilot hospitals egaged i the Small ad Complex Cotiuig Care Hospitals (SCCH) Maagemet Iformatio Systems (MIS)/Huma Resources Iformatio Systems (HRIS) project o February 1, 2010, right o schedule. The McCauslad Hospital, Atikoka Geeral, Dryde Regioal Health Cetre ad Wilso Memorial Geeral Hospital were the first four hospitals to atted traiig ad the cut over to the Otario Healthcare Reportig Stadards (OHRS)/MIS software suite, Quadrat Fiacials; oe half of the software solutio beig offered by the project. To facilitate goig live the project s traiig teams have bee fully egaged sice November Iitially, staff from six Pilots atteded upgrade Microsoft Dyamics GP versio 10 ad Materials Maagemet traiig courses i preparatio for usig Quadrat Fiacials. Selected feedback from these courses icluded: Bak recociliatios, MIS rollups, smart lists ad geerally gettig to kow the system better, were oted by participats as some of the most iterestig ad helpful aspects of the Microsoft Dyamics GP versio 10 traiig. Those who atteded the Materials Maagemet course listed physical cout, cotract maagemet, learig with peers ad hads-o discussio as the highlights. There was a geeral feelig of excitemet from the participats i the courses ad they appeared eager to complete the steps i the implemetatio process so they could start usig Quadrat Fiacials. Subsequetly, three of the Pilot hospitals atteded the Huma Resources (HR) ad payroll traiig i preparatio for the ext step; a cut over to use the HRIS Software suite, Quadrat Workforce, scheduled to take place i the comig moths. This will provide them with the secod half of the software solutio beig offered by the project. Improvig accuracy, reducig time ad updatig software were some of the beefits aticipated by Charlee Schitz, Payroll Admiistrator from Wilso Memorial Geeral Hospital who atteded this traiig. Recetly, Charlee commeted that she arrived for traiig with few Charlee Schitz, Payroll Admiistrator from Wilso Memorial Geeral Hospital expectatios. I really expected that the traiig would be log ad quite borig, but it was iterestig ad the traiers were excellet. I was very impressed. A abudace of reports, Excel compatible features ad a olie time card etry fuctio, are some of the features that Charlee highlights as beeficial to her role ad resposibilities at Wilso Memorial Geeral Hospital. Specifically, she otes that, I have to do maual vacatio accruals for Full-time/Part-time, so a computer-based optio would be more accurate ad reduce the chace for errors. Charlee was optimistic about her hospital s participatio i the project, which was reflected i her fial commets that the trasitio process will work very well, as there is lots of support for us, which is great. 7 7 Dudas Commuity Services sees the Value i the MIS ad HRIS Software Solutios It s o surprise that Fiace Maager, Theresa Korber was pleased whe her Commuity Support Services (CSS) orgaizatio, Dudas Commuity Services, made the decisio to replace the Microsoft Word ad Excel documets that she had bee usig to maually prepare her fiacial, HR ad payroll data, with two automated solutios beig offered by Commuity Care Iformatio Maagemet s (CCIM) CSS Maagemet Iformatio Systems (MIS) ad Huma Resources Iformatio Systems (HRIS) projects. Dudas Commuity Services, a small agecy with oly six staff ad a limited budget, took advatage of CCIM s offer of the Microsoft Dyamics GP ad Quadrat solutios ad Theresa, the oly fiace perso i the orgaizatio, took o the implemetatio of both solutios i stages. A few moths after takig the traiig for Microsoft Dyamics GP, I took the traiig for the HR ad payroll software ad wet live i September 2009, explais Theresa. Not oly was this offer a relief because usig Microsoft Dyamics GP, which is offered by the CSS MIS project ad Quadrat, which is beig offered by the HRIS CSS project, has meat that Theresa o loger has the dautig task of maually preparig her fiacial, Theresa Korber, Fiace Maager for Dudas Commuity Services statistical, huma resources ad payroll iformatio, but also because it would save her time. Accordig to Theresa, Our first trial balace submissio took three weeks to prepare.
