2 What is AutoComplete? Outlook s AutoComplete t feature builds a list of addresses that you ve sent messages to in the past. As you type an address in a new message, Outlook will build a list of suggested addresses from the cache ( history) and display them in a dropdown box. See the example above. How is this helpful? You don t have to type the entire address. A simple Tab will AutoComplete the address for you. It prevents you from having to use the address book to find an address that you use frequently but do not have memorized. It prevents you from having to remember an address that hasn t been added to your contacts. 2/15/
3 Why OAFA- Addresses? Now that you have been migrated to the EUSE domain you will only be able to see ESUE addresses in the global address list. To make it easier for you to find the address of an individual that hasn t been migrated we added OAFA users to the ESUE mail server as contacts. These contacts were added with OAFA- in front of each user s name. To find a user s address that hasn t been migrated yet type OAFA- in front of their name when searching for it. Each person s OAFA- entry will be deleted as he / she gets migrated to ESUE. Q: Why didn t you just use each user s name rather than adding OAFA- toit? A: Technically the usernames have already been partially migrated to the new domain. The migration tool won t migrate a duplicate name. Therefore we had to add OAFA- to each name to make it unique. 2/15/
4 What s The Problem? PROBLEM DESCRIPTION You ve been migrated to the ESUE domain. You are now getting Undeliverable error messages from our Exchange Server for some of the s you are sending to fa.adm.ohio-state.edu and d OAFA OAFA- address. 2/15/
5 What s Causing The Problem? This problem is caused by old entries in your AutoComplete cache ( history). This will only happen with old exchange.ureg, fa.adm, and recently deleted OAFAaddresses. Note: Don t be alarmed. Your exchange.ureg or fa.adm address is still a valid address. Non-Techie Explanation: If this entry was created prior to the migration, it s a bad entry and will cause you to get an undeliverable message. Techie Explanation: In this case <JGarabis@fa.adm.ohio-state.edu> is only a label. Because this entry was created while I was on the OAFA-NT domain, Outlook actually created a pointer to an Active Directory entry on the old mail server. You are no longer on that domain and therefore that pointer is no longer valid. 2/15/
6 What can I do to fix this? Possible Solutions 1. Get addresses from the global address list. 2. Delete bad AutoComplete entries as you find them. 3. Delete the entire AutoComplete cache. 4. Turn off the AutoComplete feature. Directions for each of these options are on the pages that follow. 2/15/
7 Global Address List Always using the global address list to look up individuals within our organization is the best way to get their correct address until all users have been migrated. Two different methods for doing this are described below. Method 1 Method 2 1. When creating a new message, click on the To button. 2. Type the name of the user. 3. Click on the To button. 4. Click OK. 1. Type part of the user s name in the To.. field. 2. Click on the Check Names box. 3. If Check Names doesn t populate the To field, you will have to select a name from the list. Note: If you don t find the person, be sure to try OAFA- in front of the name. 2/15/
8 Delete Individual AutoComplete Entries You can delete bad entries from your AutoComplete cache as you find them. This eliminates the need to delete all of your history. Note: If you sent an to an OAFA- contact, you will need to delete that t from your AutoComplete t cache when the user gets migrated. 1. Type part of the user ss name or address. 2. Use your arrow key to move to the entry you want to delete. 3. Press the <Delete> key. 2/15/
9 Delete AutoComplete Cache Deleting your AutoComplete cache is one of the quickest ways to resolve this issue. However, if you use the OAFA- addresses, you will have to do this multiple times. Each time a new group is migrated their corresponding OAFA- address will need to be deleted from your cache. The instructions below are not as graphical because we don t encourage you to do this unless you feel comfortable with what you are doing. WARNING: Deleting the AutoComplete cache will delete your entire history and not just the ones associated with our organization. Steps 1. Close Outlook 2. Open Windows Explorer 3. Enter the following in the address bar: %APPDATA%\Microsoft\Outlook 4. Delete the Outlook.NK2 file. (It s named after your profile so it could have a different file name but it will have a.nk2 extension.) Example: I ve been sending s to myfriend@yahoo.com. I depend on AutoComplete to remember that address because I haven t added it to my contacts. If I delete my AutoComplete cache, it won t remember that address until I enter it again. 2/15/
10 Turn Off AutoComplete You might find it helpful to turn off the AutoComplete feature. However, if you turn AutoComplete back on after the migration, the bad s in your cache will still exist. Although, as you enter new addresses and use the global address book the problem will eventually go away. Instructions 1. Click on the Tools Menu 2. Click on Options 4. Click on the Advanced Options button 5. Uncheck the option Suggest names while completing To, CC, and Bcc fields 3. Click on the Options button 6. Click the OK button 2/15/
