5 1 Intrductin 1.1 Gals f this dcument This dcument describes frm end user perspective all features and pssibilities that NEC Clud Strage ffers. By end user we mean the custmers wh access the NEC Clud Strage in rder t manage strage and cmpany users. 1.2 Terms, acrnyms and abbreviatins The fllwing describes definitins and abbreviatins that are used in this dcument. 6 2 INTRODUCTION TO NEC CLOUD STORAGE With NEC Clud Strage yu will enjy private and shared strage space. Everything yu stre will be available n yur lcal device and "the clud", s yu'll be able t access it frm any cmputer with Internet cnnectin. It prvides with netwrk strage accessible via Mbile Devices, USB mdems, PC r via Web. Yu will have access t yur wn strage space and als a grup strage area shared with the users yu want. This slutin enables infrmatin sharing, nt nly with emplyees f the same cmpany, but als with custmers, suppliers r partners. The slutin allws secure data sharing, available frm distributed lcatins and the pssibility f easily sharing withut the limitatins f . This quick guide cvers the main functinality f NEC Clud Strage and is fr users t start up the service. 2.1 What is needed t use Clud Strage? T use NEC Clud Strage yu just need an applicatin fr the device yu are using r a Web brwser. 2.2 Technical requirements NEC Clud Strage service prvides many access pints: Applicatin fr Windws PCs Windws XP SP3 (x86, x64) Windws Vista Cpyright 2013 NEC Crpratin 6

7 Windws 7 (32 bits, 64 bits) Applicatin fr Andrid Smartphnes and tablets Smartphnes: Versin 2.3 r later. Tablets: Versin 4.3 r later. Applicatin fr ios Smartphnes (iphne) and tablets (ipad) Versin 4.3 r later. Web access: Using any Web brwser: PC: Internet Explrer 7, 8 and 9, Firefx 17 and Ggle Chrme 23. Smartphnes: Safari and 6 and Firefx 5. Tablets: Safari and 6 and Firefx 15. In case Web access is nt used, a specific client per device must be installed. Thse clients can be dwnladed directly frm Web interface. In case f mbile devices it can be dwnladed fr free frm App Stre and Ggle Play respectively. With Windws devices, Micrsft Office files used directly frm Virtual Drives may have spradic incnsistencies while saving Office 2003 and lder files. This wn t happen with Office 2007, 2010 and ver. 2.3 Hw t access Clud Strage? NEC Clud Strage access depends n the used device: Webpage: All users can access directly thrugh NEC Clud Strage URL: If yu are the administratr f yur cmpany and yu bught the applicatin in yur Service Prvider Marketplace, yu can als access NEC Clud Strage frm the Marketplace. Please remember, if yu mdify credential inside NEC Clud Strage, yu ll always have t access it using abve URL. PC: Access with credentials (user/passwrd) directly in the PC client. 8 Mbile devices (ios r Andrid): Access with credentials (user/passwrd) directly in the mbile device client. Previusly yu ll need t dwnlad the applicatin, fr free, frm Ggle Play r Apple Stre, just lking fr NEC Clud Strage. 2.4 User Prfiles There are 2 different types f users: Administratr User This user is the cmpany manager r administratr and als the Grup accunt wner. This user manages bth the persnal space and shared space fr all the users in his grup. The administratr als manages ther users quta. Standard User Standard users have the same rights as administratr but cannt create ther users and manage their wn quta r disk space. Standard Users have access t bth persnal flder and shared grup flder. Cpyright 2013 NEC Crpratin 8

9 3 PC APPLICATION This chapter describes the functinality f NEC Clud Strage PC applicatin fr Windws. 3.1 Installatin and Initial Set Up HW Requirement Operating system f PC must be Windws XP SP3 r Windws 7, and the service requires mre than 1GB RAM Installatin The installatin prcedure is as fllws. Dwnlad the sftware frm NEC Clud Strage Web page ( Execute the.exe file and chse Run, then the installer will be launched. The installer autmatically detects all needed cmpnents t run NEC Clud Strage in the specific PC, s when yu click Install, the installatin prcess starts. Cpyright 2013 NEC Crpratin 9

10 When license screen appears, yu ll have t accept usage terms and cnditin and click Install t cntinue the installatin prcess. Cpyright 2013 NEC Crpratin 10

11 When the installatin is cmpleted, yu ll be asked t rebt the PC. Once restarted, yu can start using NEC Clud Strage PC applicatin. 3.2 Lg in Click n Clud Strage PC applicatin n yur PC and enter yur credential Cpyright 2013 NEC Crpratin 11

12 The message belw will shw the crrect functining f Clud Strage: If yu then pen Windws Explrer and check yur PC drives, yu ll find tw new units, Persnal Strage (Z:) and Grup Strage (Y:); crrespnding t yur new virtual strage. Yu can access and use them as any ther drive in yur PC. 3.3 Cnfiguratin f PC applicatin Once lgged in, at anytime, yu can access NEC Clud Strage PC applicatin by clicking n the icn yu ll find in the taskbar ntificatin area. 13 Executin tasks: Shw a list f running tasks Wrk ffline/nline: It discnnects/cnnects Clud Strage frm the Clud Synchrnize nw: it frces a synchrnizatin with the Clud When clicking Cnfigure NEC Clud Strage, PC applicatin will be pened shwing the fllwing cnfiguratin alternatives: Lgin: Cnnect r exit PC applicatin Remember my lgin when applicatin starts Parameters: Maximum uplad size Start NEC Clud Strage when Windws starts. 14 3.4 File / Flder Uplad and Creatin NEC Clud Strage PC applicatin creates tw new drives in yur PC. The first ne is called Persnal Strage (Z:), dedicated t yur persnal infrmatin, and the secnd ne is Grup Strage (Y:), where yu will have files and flders shared amng yur cmpany. T create a flder in any f thse virtual drives yu just need t pen the drive and create a flder n it as yu ll d it in any ther Windws flder. T cpy ne file r flder int Clud Strage drives, yu just need t d the same as if yu were wrking with any ther Windws flder. Once cpied, in case is a file, it will be saved with a blue mark in its icn, which turns green when the file is synchrnized with the Clud. Hw lng it requires fr synchrnizing depends n size f files. 15 3.5 Icns meaning Any file n Clud Strage drives is created with specific icns that explain the status f each file in terms f synchrnizatin and accessibility. There are 4 types f marks: Green Files with this mark are stred n the lcal cache f yur PC and already synchrnized t the strage in the Clud Yellw Files with this mark have been synchrnized t the Clud, but nt kept n lcal cache, therefre cannt be accessed when ff-line. T change this state, just duble click n the file t pen it and the file will be dwnladed t lcal cache, turning yellw marks int green nes. Blue Files with this mark are cpied n Clud Strage flders n lcal PC, and pending t be synchrnized t the Clud. Once a user cnnects t the Internet, files are synchrnized t the clud and the mark turns t green. Red Cpyright 2013 NEC Crpratin 15

16 Files with this mark have been synchrnized t the Clud, but nt kept n lcal cache. When a user is ff-line, this red mark shws that file is nt available t use. 3.6 File Sharing Frm the PC applicatin yu ll be able t share files with either ther NEC Clud Strage subscribers r nn-subscribers. T share a file just right click n a file, select NEC Clud Strage ptin and then click n Share Cpyright 2013 NEC Crpratin 16

17 On the share menu, firstly yu select permissins. Yu can share a file with Read/Write r Read Only rights, and set a passwrd t prtect it. Secndary yu select the users with whm yu want t share the file. Yu can share a file with existing subscribers f Clud Strage. Yu can share a file with nn-subscribers f Clud Strage by entering their addresses. If infrmatin in the fields is nt crrect because either the user des nt exist r addresses have invalid frmats, an errr message will be shwn. Once yu have fulfilled all the fields, yu just click Share and file will be sent. A file can be shared with mre than ne user at nce by intrducing in the list as many users as needed. Fr Clud Strage subscribers, a file shared is stred n the flder named Shared with me, and it des nt cnsume qute f the subscriber. It cnsumes the qute f the user wh shared the file riginally. 18 4 WEB APPLICATION 4.1 Access T access NEC Clud Strage Web applicatin, just enter the fllwing link in yur Web brwser: Yu will need t enter yur credential (username and passwrd) prvided by the administratr f yur rganizatin and click Lg in In case yu frgt thse, yu can use Frgtten my passwrd? link, enter yu address and an will be sent t yu reminding yu them. 4.2 Main Menu NEC Clud Strage Web applicatin main menu ffers multiple alternatives, amng them are: the pssibility t dwnlad PC applicatin (clicking n cmputer icn), direct link t Andrid and ios applicatins (clicking n Andrid and iphne icns) and dwnlad the user manual (clicking n pdf dcument n the right side f the blue menu) Cpyright 2013 NEC Crpratin 18

19 The meaning and bjective f each ptin in the menu are described herein: Files It s the hme page, where yu can brwse yur persnal and grup flders and files. Files and flders are accessible and can be shared with ther peple frm this menu. My accunt This menu includes all data related t yur accunt: , phne, qute, etc. Yu can mdify basic infrmatin and passwrd. If yu are the administratr f yur cmpany yu will als be able t manage yur disk size r quta, even unsubscribing frm the service. Yu ll als have the histry f all yur transactins in the applicatin. User management (Only fr Administratr users) In this sectin, an administratr can view a list f users belnging t his cmpany. Status and basic user prfile can be managed here. New users and its quta can als be managed frm here. Grup management (Only fr Administratr users) On this page, an administratr can manage the amunt f shared flder capacity fr his grup and view transactin histry f all users. 4.3 Files Menu The main part f this page is the central part where yu will view and manage all yur files, flders and sharing. On the upper part yu will als find a graphic with yur ttal amunt f persnal quta and the ne already in use. Cpyright 2013 NEC Crpratin 19

20 Files menu is divided in 2 tabs: Files On this tab, yu can brwse yur persnal and grup flders and als all files and flders that were shared with yu. Yu can dwnlad, uplad, delete, review, mve, cpy and share files and flder frm here. My shared files In this sectin, yu will find all files and flder yu have shared with ther peple. All shared files can be managed frm here, checking infrmatin r mdifying it, if desired. It s pssible t share with ther NEC Clud Strage user inside and utside yur cmpany and als with peple utside Clud Strage thrugh their s Files submenu On this tab, yu can perate almst everything regarding yur data. 21 The page has the fllwing sectins. Optins Panel. The menu shwn in belw image allws yu t d the fllwing. Uplad Uplad ne r multiple files t NEC Clud Strage Web applicatin. It s als pssible t d a Drag and Drp ne r multiple files frm the PC t the central panel, where all files appear. When uplading ne r multiple files, in the screen appears all infrmatin regarding that uplading: Ttal number f files upladed, ttal size f thse files, ttal upladed percentage, ttal size upladed, files names, file size, individual upladed percentage, etc. Cpyright 2013 NEC Crpratin 21

22 It s pssible at any mment t add files t the current uplad by drag and drp r clicking Add Files buttn. Yu can als cancel individual r ttal uplad using Cancel buttn. Refresh It updates the central panel. Settings It allws yu t cnfigure hw files are displayed. Yu can srt files by file name, date, size and extensin. It s als pssible t display fr each file just its name r als the date when it was upladed r mdified and its size. Files can be seen as a list r with thumbnails Maximize/Minimize It shws in full screen the central panel and returns it back t riginal size Cpyright 2013 NEC Crpratin 22

23 Flders panel On the left side f the page, the structure f flders is displayed. As in any ther NEC Clud Strage applicatin there are three main flders: Persnal, Grup and Shared with me. When yu select a flder t perate r view files within it, that flder is marked with a pink line. Herein is described which are the ptins that each flder ffers when yu right click in them: Dcuments flder: - Share: Yu ll share all yur files and flders under it. Cpyright 2013 NEC Crpratin 23

24 Persnal flder: - Share: Yu ll share all files and flders under it. - New subflder: Create a flder under Persnal ne Grup flder: - Share: Yu ll share all files and flders under it. - New subflder: Create a flder under Persnal ne Subflders under Persnal flder r Grup flder: - Share: Yu ll share all yur files and flders under it - New subflder: Create a flder under the ne yu are selecting - Rename: Change flder name. The flder name cannt cntain any f the fllwing characters: \ / : *? " < > Flder name cannt end in dt (.) - Delete: When yu delete a flder this cannt be restre, please be sure befre deleting. Shared with me flder: - Share: Yu ll share all files and flders under it. Subflders under Shared with me flder: - Share: Yu ll share all yur files and flders under it - New subflder: Create a flder under the ne yu are selecting - Rename: Change flder name. The flder name cannt cntain any f the fllwing characters: \ / : *? " < > Flder name cannt end in dt (.) - Delete: When yu delete a flder this cannt be restre, please be sure befre deleting. Central panel In the central panel yu ll find all the files inside the flder yu have selected in the flders panel. Depending n what yu ve cnfigured in the ptins panel yur files will be displayed in different ways (list, thumbnails, with size, with date...). When yu right click n a file yu will find the fllwing ptins: Dwnlad: It dwnlads the file t yur device Share: Yu ll be able t share the file. Sharing ptins are described further n. - Rename: Change file name. The flder name cannt cntain any f the fllwing characters: \ / : *? " < > File name cannt end in dt (.) 25 Delete: When yu delete a file this can be restred frm Transactin list ptin in My accunt tab. If yu drag and drp any file t the central panel, that file will be upladed autmatically. T mve r cpy any file t a different flder yu just need t drag and drp it frm the Central panel t the crrespnding flder in the flders panel Sharing T share a file r flder yu just need t right click n it, select Share ptin, and then the fllwing windw will be pened: A file r flder can be shared with mre than ne user at nce, and als several times establishing different permissins and/r passwrds. When yu share a file r flder fr the first time yu will be able t cnfigure a passwrd t prtect it and expiratin time in the Security ptins bx. The passwrd can be viewed at any mment and can als be sent t the user with whm yu are sharing, ging t My Shared files tab. When yu share a file r flder that has been shared befre, instead f the Security ptins bx, yu ll find a Shared with these users bx, where yu ll be able t: Check which permissin did yu assign t each user ( ) Check what bservatins r cmments yu added t the sharing ( ) Stp sharing with a specific user ( ). If there is nly ne user, yu wn t be able t stp sharing with him within this bx, yu ll have t g t My Shared files and delete the sharing frm there. Cpyright 2013 NEC Crpratin 25

26 After setting the security ptins yu ll be able t add as many users as yu want t the sharing in the Invite cllabratrs bx. Yu can add the fllwing user t the sharing: Users frm yur rganizatin will appear in the list f Add user r field. Yu can select them all with All grup members ptin. Users utside yur rganizatin will be added in Add user r field using their s. If yu want t add mre than ne, yu just need t separate s by semiclns. T add a user just click n Add user buttn. Fr each specific user r fr a list f user yu can cnfigure: Cmments: Write yur bservatins r cmments n Cmments (ptinal) field. Permissins: Yu can cnfigure the fllwing rights: Reading: users will nly be able t see and dwnlad the file/flder Writing: users will have rights t see, dwnlad, rename and delete the file flder. In case yu are sharing a file, the receiver will be able t uplad a new file with the same name t replace the ne yu shared. In case yu are sharing a flder, the receiver will be able t uplad new files t the flder. Befre ending sharing yu will be able t recheck what yu have cnfigured: Cpyright 2013 NEC Crpratin 26

27 Check which permissin did yu assign t each user ( ) Check what bservatins r cmments yu added t the sharing ( ) Stp sharing with a specific user ( ). Once all the fields are fulfilled, the buttn Share has t be clicked t make the sharing effective. In the case f adding users that have NEC Clud Strage, thse culd access shared files in the flder Shared with me. If the file is shared with users that dn t have NEC Clud Strage service, nce the file is shared, a link is sent via My Shared files submenu Ging t My Shared files tab yu ll manage all the files and flder yu have already shared. Shared elements are rdered by the time remaining t its expiratin. If yu want t delete ne r mre elements, just click n the check bx at the left side f them and click Delete. 28 Yu can btain a URL t share directly the file r flder by clicking the icn windw will appear. The fllwing If yu click n Cpy t clipbard yu will have the link in yur clipbard (just need t paste it later). Depending n the permissins yu want t give the receiver yu can get the Link with Reading permissins r Link with Writing permissins. If yu want t edit a sharing, yu just have t click n displayed: and the fllwing windw will be In this prperties bx, yu will be able t see with whm yu have already shared the file r flder and manage that sharing: Check the passwrd yu set t the sharing (nly in case there is a passwrd) Send the receiver an reminding the passwrd (nly in case there is a passwrd) Stp sharing with a specific user. 29 4.4 My accunt Frm My accunt tab, yu can check yur accunt infrmatin, change access passwrd and manage yur quta (nly fr administratrs). Yu can als access the transactin list My prfile When accessing My accunt the fllwing infrmatin is displayed: Name Surname Creatin date Passwrd Phne number The field crrespnds t the username fr lgin. Only the fields Name and Surname are editable. In rder t mdify them, the desired values shuld be intrduced and buttn Save changes shuld be clicked. Yu can check yu status n My infrmatin bx This means yur accunt is active Cpyright 2013 NEC Crpratin 29

30 This means yur accunt is nt active and yu will be able nly t dwnlad files Change passwrd The passwrd is als mdifiable frm My accunt screen. I rder t d s, click n Change passwrd and intrduce the current passwrd and the new passwrd twice. Then click n Save changes t update the passwrd. This new passwrd will be used frm nw n, n all applicatins: PC, Webpage and mbile devices Transactin list In the left side f the screen an Optins bx shws a link t access the user transactin list. If the transactin list is accessed a new screen will appear with the fllwing infrmatin: Cpyright 2013 NEC Crpratin 30

31 Icn: indentifies if the item invlved in the actin is a file ( ) r a flder ( ) URL f the file r flder which was invlved in the actin Actin: New: new file upladed Deleted: file deleted. Shared: file shared Dwnladed: file dwnladed Mved: file mved frm ne flder t anther Name Changed: file renamed Date: date when the actin was accmplished Restre: In case the actin is Deleted and we are talking abut a file, it will be pssible t restre the file by clicking n restre icn ( ) Clud Strage accunt As user f NEC Clud Strage yu have the pssibility the create a free accunt inside Clud Strage that will allw yu t uplad files t yur Persnal flder, just by attaching them t an and sending that t this Clud Strage accunt. 32 Clud Strage accunt is created autmatically and at any mment yu can: Delete yur accunt Create a new accunt: It changes the accunt name Persnal quta management (Only fr administratrs) In the right side panel f My accunt, the infrmatin abut quta management is displayed numerically and graphically. Purchased quta is displayed, detailing the used amunt and the still available amunt. Clicking n Quta management we will access the purchase prcess fr new quta, having als the capability t reduce quta. Cpyright 2013 NEC Crpratin 32

33 Again, we can see displayed the current quta (used and free). Mving the blue bar we will be able t increase r reduce ur quta as wanted. When dne we ll just need t click Update buttn and a cnfirmatin windws will appear prmpting t cnfirm r cancel the actin. Once the actin in perfrmed, the previus screen will be displayed where the updated quta can be checked. 4.5 User Management (Only fr Administratrs) User management is perfrmed by the administratr. Frm this label, the fllwing ptins are available: Users list: Chek users state and quta Creat user: Create new user within the rganizatin Cpyright 2013 NEC Crpratin 33

34 4.5.1 Edit users Once the administratr access the User Management sectin, a user list will appear including all the users in the rganizatin. The name and surname f the users are listed, as well as a bar indicating the percentage f quta available fr each user. Each user status can als be checked in the list. If a user is active State clumn will shw a green rund, if nt it will shw a red ne. T edit a specific user, just click n the icn at the left side f it ( will be displayed: ), then the fllwing screen Cpyright 2013 NEC Crpratin 34

35 User infrmatin In User infrmatin bth the fllwing data is displayed: Name Surname Creatin date Phne number The field crrespnds t the username use t lgin. Only the fields Name and Surname are editable. In rder t mdify them, the desired values shuld be intrduced and buttn Save changes shuld be clicked. Yu can check yu status n My infrmatin bx This means the user is active files. This means the user is nt active and yu will be able nly t dwnlad Transactin list In the left side f the screen an Optins bx shws a link t access the user transactin list. Shared: file shared Dwnladed: file dwnladed Mved: file mved frm ne flder t anther Name Changed: file renamed Date: date when the actin was accmplished Restre: In case the actin is Deleted and we are talking abut a file, it will be pssible t restre the file by clicking n restre icn ( ) User quta management In the right side panel the infrmatin abut user s quta is displayed numerically and graphically. 37 Clicking n Quta management we will access the purchase prcess fr new quta, having als the capability t reduce quta. Again, we can see displayed the current quta (used and free). Mving the blue bar we will be able t increase r reduce ur quta as wanted. When dne we ll just need t click Update buttn and a cnfirmatin windws will appear prmpting t cnfirm r cancel the actin. Once the actin in perfrmed, the previus screen will be displayed where the updated quta can be checked Delete User In the same Quta management tab, yu have als the right t delete a user. 38 T perfrm the actin, just click in Unsubscribe buttn and cnfirm unsubscriptin in the fllwing windw. Once deleted, the user wuld n lnger be able t use the service. If new quta is purchased during the next 30 days, the user accunt will be then reactivated. Purchased quta is displayed, detailing the used amunt and the still available amunt.
