3 Why Mailchimp? We recommend and use ourselves a programme called Mailchimp. This programme is online and is free to use and you can find out more information at if you want to investigate further. When ing out to lots of addresses all of us have been guilty at one time or another of using our standard account and sending out in batches of 10 at a time. You wouldn t be the first person to do it and you won t be the last however, when using Outlook Express or something similar it is very easy to show all the addresses to everyone else on the and you ve probably upset a few people by doing this! However more importantly you may well have inadvertently had your domain or IP address blacklisted on your ISP (Internet Service Provider). There are actually a lot of rules and regulations surrounding the use of bulk ing although sometimes it may not seem like it when you look at your inbox. So, wouldn t you rather play by the rules and send out professional looking newsletter s? There is also a selection of online newsletter programmes available, the reason we have decided to choose Mailchimp is because we like it, it is relatively easy to use, it looks good and it ticks all of the legal boxes. It also takes the hassle out of keeping up to date your address list because if someone subscribes or unsubscribes it will update automatically without you having to do a thing. Now how easy will that make things? 3

4 If Mailchimp is free why do we charge to set up? You are paying for our time to set this up properly for you. As with all things, it s easy when you know how, but if you don t know how you could spend days trying to work it out. By letting us set this up for you it will be up and running and ready to go within a matter of hours. What is included in the set up? By the end of our set up you will have: A template to use that is branded with your company logo, colour, standard information etc An imported subscriber list A sign up form to put on your website (you will have to ask your developer to place this for you) An initial newsletter mailed out to your customers informing them of your newsletter service and giving them the ability to unsubscribe should they wish to A set of written basic instructions What is not included in the set up? Mailchimp can do all sorts of wonderful things that we can discuss further with you; however, in this initial set up we will not be covering all of the functions that Mailchimp offers. Other services available once set up has been carried out include: Integration with your Facebook fan page Integration with your Twitter account Different list set up so that you only send to certain groups of people Sign up forms that give the ability for a customer to choose an area they are interested in On-going support for Mailchimp and newsletter creation 4

5 I know I need a newsletter but I don t have time to do it you re not the only one we ve ever heard say this. It s not a problem and we can put together and send out on your behalf a regular newsletter for you. However, you will still need to provide us with the content and any images. As part of this service we will also monitor any feedback from customers and pass it on to you. Mailchimp gives unsubscribes the ability to give you feedback on why they have unsubscribed, if it is an issue you need to address we will always pass this information on. What do we need to get started? Ok, so you have made the decision to go ahead and get set up with Mailchimp. Before we start we will need to do the following: Confirm the that you will receive from Mailchimp to create your account A.csv file of your contacts that you would like us to load into your account if you are unsure how to do this we can assist, alternatively we need an Excel or spreadsheet with your customers first name, surname and address in different cells within the sheet please ask us for advice if unclear Your logo and main image you use for marketing in high resolution jpg format A deposit payment prior to work being carried out Exclusions Whilst Mailchimp is predominantly free, there are a couple of exceptions to this: If you have over 2000 subscribers ( addresses) or you wish to send out more than 12,000 s per month there is a monthly fee details on request 5

6 Costs Set Up We estimate that as long as we receive all the information and files as mentioned above it will take us 8 hours to set up an account, a template and send out an initial newsletter to clean your contacts per hour = 240 Regular Mail Out We will charge for the time taken to put together a newsletter, however, on average as long as you have provided all text and images then we estimate that this should take no longer than 2 hours per mail out. Plus 1 further hour for monitoring the campaign and reporting back to you per hour One Off Additional Work As mentioned Mailchimp has lots of wonderful features and we can set all of these up for you including integration with your social media and we will charge by the hour. We will always give you an estimate on costs prior to carrying out any work. Our hourly rate is 30 6
