2 Sage CRM for Real Estate solution by Providian Some Real Estate organisations are still asking why CRM?. Industries such as pharmaceuticals and financial services recognise that sales support and relationship management is crucial, yet the value proposition for CRM systems in Real Estate is not well understood. This is especially odd since real estate is traditionally relationship and sales driven, built on commission incentives, has complex referral models and long sales cycles. The negotiations are complex and resultant transactions are often unique. It operates in a highly competitive environment where the retention of tenants and successful sales is directly correlated to asset value and rate of return. CRM supports more than the sales function - business relationships also need to be managed throughout the organization across all departments.

This growth needs to be managed efficiently and requires extensive planning and vision so that service and operations remain optimal. Having the right systems and infrastructure in place is necessary in order to manage this process. Traditional systems used by Estate Agents often store information in many disparate databases. This information could be stored in individuals , spreadsheets, at the office, at home etc making sharing of this vital information impossible. This results in duplications, inaccuracies and an administrative nightmare. Essential information around Buyers, Sellers, Tenants, Brokers Investors, Prospects and relationships needs to be stored efficiently and shared amongst key players in the organization. Who are the key influencers and decision makers in an organization? What areas of interest do these people have? Who in my organization has a relationship with these people? What other relationships do these people have, for example brokers, investors, banks or legal counsel? The answers to these questions need to be readily available to everyone across the organization. In another example, sales forces, leasing professionals and even 3rd party brokers are often disparate, autonomous and/or geographically dispersed. Visibility into key relationships, pipelines and consolidated reporting becomes almost impossible. This means it becomes increasingly difficult to measure productivity and reduces the opportunity to cross sell. A successful CRM implementation for real estate needs to recognise the concept of personal and corporate contacts, and the importance of centralizing the storage of these relationships. Balance and easy access to information is the key to adoption. The next-generation of sales forces and consumers is here. They are socially networked and they demand more from the companies they work for and work with. They expect a higher level of productivity tools and enhanced communications via many channels. Back office property management systems are designed to manage complex and detailed leasing, rent roll, ownership and accounting/operating data. Key partnerships in Real Estate include those with brokers, investors, analysts, prospective targets for investment, joint venture targets and property managers. The tracking of these partners is critical. Can you easily get a list of your top investors? Can others in your firm? Do you know the analysts who cover your business? Do others? When last did your executives meet with these companies? Transactions in this industry are never the same and have unique processes attached to them. Standard business processes need to be in place to manage and track cash flow, payment schedules, collections etc. The lack of standard processes and disciplines result in inefficiencies and misinformation!
