2 2 This guide is supposed to help you set up a quick, easy and above all free social monitoring dashboard. Before I go into detail, I want to clarify two things: First, the mentioned tools are free. Don t expect to get 100% accurate results or to have the tools automatically filter out your own web activities and only show mentions from other users. Second, if you have a common company or brand name, you ll have a tough time with these tools as the accuracy will drop dramatically. Try to put your name in quotation marks in the settings below so that you only get exact matches. If you want better results and reports or analyses go to your favorite search engine and type in Social Media Monitoring. Choose the vendor of your choice, pay lots of money and be happy. Special thanks to Kirsten Winkler ( for letting me use her blog as an example. 1. Google Alerts Google Alerts ( is basically a free online clipping service tool. It being probably one of the oldest monitoring tools I am still surprised of how few people use it. Put in your company s name and/or URL and get regular updates as soon as Google finds new information. Unless you are in an industry where you potentially need to act within minutes of news about your company I recommend to schedule a daily update. If I remember correctly Google sends the update exactly 24 hours after you set up the Google Alert so get up extra early one day and set up the alert so that you ll have the daily update in your inbox every day when you start working.

3 3 Once you have set up the alert make sure to confirm your address by clicking on the link in the (if you are signed into Gmail while creating an alert you won t see this message). Google Alerts will also find your company s own new websites and include them this might not be optimal for you but remember it s a free tool and skimming through the results takes maximum seconds a day. 2. Monitoring dashboard Set up your social media monitoring dashboard. I ve created a dashboard using Kirsten (thanks, Kirsten!) as an example. Check it out here: Done? Here is how you set it up yourself: 2.1 Registering on Netvibes First, register a Netvibes account at Setting up the Netvibes layout Then, set up your first tab by clicking on new tab. You will get a menu like this:

4 4 Name your tab under General options (e.g. Social Media Monitoring). Choose your preferred layout I recommend a 4 boxes layout with three columns as highlighted in the graphic. Now it s time to fill the page with content. 2.3 Setting up your own feeds I recommend to include your own blog and twitter feed. Especially if different people are working on the social media tools within your company you might not know exactly what s going on within your company. This way you are always informed in case a user reacts to tweet, refers to a blog article etc Adding your blog feed Open your company s blog feed and search for the RSS Feed symbol. Klick on the symbol and copy the URL. Switch back to Netvibes and click on Add content in the top left corner (1). Then click on Add a feed (2), then paste the feed address into the text field (3) and hit enter. Netvibes will detect the feed and show it below the text entry box (4). Click on this field symbol and you will be shown a preview. Click on Add to my page. Netvibes also offers autodetection for blog feeds if you just enter the URL of the blog. I find it sometimes doesn t work well so the first method is always the secure one.

5 Adding your twitter feed Next, add your twitter feed. Click on the top left Add content button again and search for twitter search. Select the Twitter Search widget and click on Add to my page. Next, click on the Edit link in the top right hand corner of the widget. The default search is for Netvibes. Delete Netvibes, enter a space instead (1). Don t leave it blank as the widget has a little bug: when left blank it sometimes jumps back to Netvibes as default search. Then enter your company s twitter name in the From user box (2). 2.4 Setting up the monitoring search feeds You should monitor a wide range of social media channels I recommend at least Twitter, the blogosphere, images and videos Adding twitter search The set-up is quite similar to the set-up of your own twitter feed. Add another twitter search widget. This time put in your company/product name in the Search for field and leave the From user field empty. If your company/product name is written in various ways make sure to add a third twitter search widget with the alternative writing.

6 Adding blog search Click on Add content and search for blog search. Select the Blog Search widget and add it to your page. Click on edit in the top right corner of the widget. The default title is web search, rename it to Blog search. Next, click on the little arrow next to the first tab (for me it s Google.de as I am located in Germany). Then choose Manage search engines from the menu. You will see a list of Web search engines and a navigation menu including Blog Search (1). Click on Blog Search and select the blog search engines Google and Wikio. It might be useful to add country-specific search engines as well but I find that Google and Wikio nearly catch all. Next, go back to Web Search (2) and unselect all web search engines (3) (you don t want to mix up web search and blog search). Click Done in the lower right corner.

7 7 Add your company / product name into the search text field. Then click OK to leave the edit mode. You will see Google and Wikio as separate tabs. It s easy to quickly switch between the two Adding image search The image search widget is the same as the blog search widget. Search for images search and select the Images Search widget. Click on edit within the widget. Rename the widget to Images search. Click on the arrow next to the first tab and select manage search engines again. Instead of going to blog search you need to select Images search in the navigation menu. Include Google and Flickr as image search engines (again, it might be useful to include a country-specific image platform). Go back to Web search and unselect the web search engines as you did in blog search. Add your company / product name into the search text field. Then click OK to leave the edit mode. You will see Google and Flickr as separate tabs, similar to your blog search widget Adding video search The procedure is the same as with blog search and image search. Add the Video Search widget. Select Video search in the navigation menu after you clicked on Manage search engines. Include YouTube and Vimeo (and maybe a country-specific video platform). Go back to Web search and unselect the web search engines as you did in blog search. Add your company / product name into the search text field. Then click OK to leave the edit mode. You will see YouTube and Vimeo as separate tabs, similar to your blog and image search widget.

8 Adding Socialmention There are a few social media monitoring aggregators out there which you can use for free. I use Socialmention it s far from perfect, sometimes turns up really old results but does catch some results I do not see elsewhere. So you might want to add that as well. Go to the Socialmention advanced search page ( type in your company / brand name in the exact search ( all these words ) box and get the result. Copy the URL and switch back to Netvibes. Add the Web Page widget to your social media monitoring page by searching for Web page.

9 9 Click edit on the top right corner of the widget. Rename the widget to SocialMention (1), paste the URL into the text field (2) and set height to 1000 (3). That s it! You are done with setting up all search widgets. 2.5 Finalizing the layout You should tweak your widget set-up / layout a bit so that you can use it as a real, quick and easy to monitor dashboard. First, drag the SocialMention widget to the bottom of the page so that it becomes box number 4 (also see 2.2). This way you ll see the entire SocialMention page without too much scrolling. Next, I recommend setting up your Twitter feed and the Twitter search next to each other as it is easier to compare the two. This way any retweets or reactions to your tweets can easily be spotted. Do the same for your blog feed and the blog search widget. Make sure that you always check all mentions within the last 24 hours (or 72 hours after a weekend) if you only check the dashboard once a day. You can do this by clicking on next in the lower right corner of the widget or by simply changing the Number of items to display in the edit function of each widget. I recommend not to show too many tweets / blog entries at once as it becomes hard to read. Also, don t forget to switch between the tabs in the blog, images and video search. If your default is Google, Google and YouTube you ll probably catch quite a good amount of mentions but especially if your users are active on country-specific platforms you should check them daily as well.
