3 EASY SCAN COMPLETE OVERVIEW Easy Scan Complete allows HLC administrators and instructors to scan student badges to record class attendance directly into the HLC. The included barcode scanners are used to extract the students information from their badge. Scanning can be accomplished by: Scanning attendee badges within the classroom setting. Scanning barcodes (corresponding with attendee names) on printed HLC class rosters. Scanning badges into a file that is imported at a later time (offline scanning). Easy Scan Complete also includes WaspLabeler a barcode label making software that allows you to easily create barcode that can be affixed to employee badges. Easy Scan Complete will automatically mark student attendance and grading. Students that registered for the class but did not attend are marked as No Show. When the scanned badge information cannot be recorded in a class immediately, it is stored so that administrators or instructors can make corrections and resubmit the record. Easy Scan Complete follows the same rules as marking attendance manually in the HLC. Attendance cannot be entered before the class date and start time arrive; therefore, scanned information collected prior to the class start date/time will be stored by Easy Scan and can be resubmitted at the conclusion of class. 4 GATHERING DATA FOR BARCODE LABELS To create barcode labels with the Wasp Labeler, use an external data source to select the data for the barcodes. For best results, HealthStream recommends the use of Microsoft Excel. The external data source can be a new or existing Excel spreadsheet, but must contain the following data: Student Name and HLC User ID. Using an Existing Spreadsheet: Name your table so that you can easily identify the correct data to place in the barcodes. Naming your table is not the same as saving your Excel spreadsheet. 1. Click the Formulas tab in Excel. 2. Click Define Name. A pop-up window will appear. 3. Type the desired name of the table in the Name box. Note: The name cannot include spaces or symbols. For example: Student Listing Report is entered into the Name box as Student_Listing_Report. 4. Delete any contents in the Refers to box. 5. Highlight the Student Name and User ID columns including headings. This data range will appear in the Refers to box. This is the data you will use to create your barcode labels. 6. Click OK. 7. Click Save As. 8. In the Save as type: dropdown field, select Excel Workbook (*.xls). 9. Choose the location on your computer to save the file and click Save. Once saved, you can close the document. 5 Creating New Spreadsheets: If you do not have an existing spreadsheet that contains all your student names and HLC User IDs, you can generate a report from the HLC that contains this data. This report can then be imported into Excel. 1. Log into the HLC using your administrator login. 2. Click the Reports tab. 3. Click Student Listing under People Reports. 4. Click Select Student Criteria. 5. Sort or select the desired criteria. To find all students, click Search (with all boxes checked). 6. Select the students you want to include by enabling the appropriate checkboxes 7. Click Continue. 8. Check the Include User ID box. 9. Click Continue. The report will open in a new window. 10. Select the CSV (Comma-Separated Values) option in the Export Format Drop down menu. 11. Click the Export link at the top of the page. 12. Click Open. Note: This will open a new window of an Excel report with the data. The only columns needed for the barcode labels are Student Name and User ID. All other columns can be deleted 13. In the new Excel window, click the Formulas tab. 14. Click Define Name. A pop-up window will open. HealthStream Easy Scan Complete: Administrator User Guide 5

6 15. Enter the desired name of the table in the Name box. Note: The name cannot include spaces or symbols. Example: Student Listing Report must be entered as Student_Listing_Report. 16. Delete any contents in the Refers to box. 17. Highlight the contents of the Student Name and User ID columns (including headings). This will be the new data in the Refers to box. 18. Click OK. 19. Click Save As. 20. In the Save as Type: dropdown field, select Excel (*.xls). 21. Choose a location on your computer to save the file and click Save. Once saved, you can close the document. 7 CREATING BARCODE LABELS Install the WaspLabeler using the disc provided in your package. Use the Label Wizard tool to easily create barcode labels. Navigating through the Label Wizard: 1. Open the WaspLabeler program by double-clicking the Labeler shortcut icon on your desktop. 2. Select the Label Wizard option in the Welcome window and click Ok. The Label Wizard will open. 3. Click Page Setup tab on the right of the Label Wizard. The Step 1.1 Page Setup information will appear. 4. Click Next to display Step 1.2 Page Setup. 5. Click the Page Setup button. 8 6. Click the arrow next to the Family dropdown menu and select Avery Inkjet or Avery Laser, depending on the type of printer you ll be using. 7. Select the template for your Avery label under the Type drop down menu. Note: If you do not see your label in the menu, click New (found below the Type dropdown menu). In the pop-up window, enter the Avery Product ID number in the Type box. Place the correct measurements in the Number of Labels, Label Size, Page Margins, and Space Between Labels fields. If your labels do not have rounded borders, ensure the Rounded Borders box is not selected. Click OK to finish creating your new label type. The item you added will now appear in the Type dropdown menu. 8. Click OK. The window will close and return you to the Label Wizard. 9. Click Next to display the Step 2.1 External Data Source introduction 10. Click Next. Step 2.2 External Data Source will appear. 11. Click the Data Source button. The External Data Source Wizard will open a new window. 12. Click Next to display the Step 1. Data Source Selection page. HealthStream Easy Scan Complete: Administrator User Guide 8

9 13. Click the arrow to the right of the Source Type dropdown menu and select the version of Excel that contains your data (for most users, this will be Excel 5.x 7.x). 14. Click Browse. The Open dialogue box will open. Select the file on your computer and click Open. 15. Click Next. The Table Selection and Link Creation tab appears. 16. Click Next to continue to the Step 2.1 Data Table Selection page. 17. The Available Tables area is populated with the names of the tables found in the spreadsheet imported previously. Click the checkbox next to your named table. 18. Click Next. The Step 3. Data Column Selection page will appear. 19. Under Available Columns, click the check boxes next to Student Name and User ID. 20. Click Next to display the Filter and Sort Criteria Creation tab. Sorting and filtering of the data is optional. 21. You have completed the Data Selection process. Click Exit Wizard, and the External Data Source Wizard will close. You are returned to the Label Wizard, which still displays Step 2.2- External Data Source. 22. Click the Next button. The Step 3.1 Adding Objects page will appear. 10 23. Click Next to display the Step Add Text and Barcodes page. 24. Click the Add Barcode button. The barcode configuration dialog box will open. 25. Under the External Data section, select the Databases, ODBC, Access, QuickBooks, Delimited Text option and click Next. The Object-to-Column Mappings tab will display. 26. Use the drop down menu to select the appropriate column from the data source you imported. You will select the column that contains User ID data. This data will be included in the barcodes, which will then be scanned into the HLC via Easy Scan. 27. Click Next. The Formatting tab will display. No edits are needed on this tab. 28. Click Next. The Placeholder tab will display. The Placeholder text is helpful later when you print your barcodes. Enter any unique descriptive text into the Placeholder box. 11 29. Click Finish. You will return to the Label Wizard, which will display the Step 3.2 Add Text and Bar Codes page. The bar code you just created will appear in the list. 30. Click the Add Text button. The bar code configuration dialog box will open again. 31. Under the External Data section, select the Databases, ODBC, Access, QuickBooks, Delimited Text circle and click Next. The Object-to-Column mappings tab will display. 32. Use the dropdown menu to select the In the Source drop down menu, select the option containing data for Student Names. This text will be printed beneath the bar code. 33. Click Next. The Formatting tab will display. No edits are needed on this tab. 34. Click Next. The Placeholder tab will display. The Placeholder text is helpful later when you want to print your barcodes. Enter any unique descriptive text into the Placeholder box. (For example Student Name. ) 35. Click Finish. You will return to the Label Wizard, which will still display the Step 3.2 Add Text and Bar Codes page. The text you just created will appear in the list. 36. Click Next. The Step 3.3 Adding Graphics page will appear. No graphics will be used in you rbar code, so no action is required on this page. 37. Click Next to display the Step 3.4 Properties and Positioning page. 38. To change the bar code size or location on the label, click Properties. Drag the bar code or text to the desired size or location. Note: HealthStream recommends barcodes for badge labels to have a width no less than and a height no less than To enter these dimensions, click the Properties button on the left navigation menu. Click the General tab. Type in the desired width and height in the text boxes next to the Width and Height options. 39. When you are finished making layout changes, click the Resume Label Wizard button. The Label Wizard will appear again. 40. Click Next. The Save and Print Label page will appear. 12 41. Click Finished. The Label Wizard will close. 42. To remove the User ID caption below the barcode, right-click anywhere on the barcode and click the Properties button from the menu. The Object Properties menu will open. 43. In the Object Properties menu, click the Caption tab. 44. In the Align dropdown menu, select None. 45. Close the Properties box. 46. Click the Save icon in the top menu bar to save the label. 47. Click Print Preview to view the labels before printing. Review the sheets of labels to ensure all bar codes are within the printing area on the labels. 48. After reviewing the labels, click Print in the top menu bar to print the labels. Recommended Labels: You may choose any label type or size you wish to use. HealthStream recommends the use of Avery Template 5311 or larger. 13 BARCODE LABEL CONFIGURATION: 1. Log into the HLC using your administrator login. 2. Click the Tools tab. 3. Click Manage Badge Configuration under Institution Management. 4. 14 USING BARCODE SCANNERS The step-by-step procedure for normal processing with Easy Scan Complete follows. To understand this process, it is important to understand the options on the Scan Students menu. To access the Scan Students Menu, click Scan Students. The Scan Students page appears. The Scan Students page has four options: Scan Students: This option allows instructors to set up a PC and scanner so that students may scan their badges for attendance recording in attended or unattended mode. Scan Students from Roster: This option performs the same way as the Scan Students option, but it will read barcodes from the HLC generated class rosters. Upload and Import Scanned Students: This option is used when the instructor has a file of previously scanned students and wishes to process the file with Easy Scan. Review Import Results: This option is used to see the results of all the scanning done for the class using one of the first three options. Note: Easy Scan uses the term import to refer to scanned records that are placed into Easy Scan using either a scanner or by importing a file of previously scanned students. The Review Import Results menu option shows the status of all Easy Scan records imported to the class, regardless of the method chosen. HealthStream Easy Scan Complete: Administrator User Guide 14

15 Using the Wired Scanner There are three options when using the wired scanner. Administrators can: 1. Scan student badges as they enter the classroom. This is the normal option for scanning class attendance. 2. Scan printed HLC class rosters containing barcodes rather than student badges. 3. Upload and import scanned students by scanning student badges into a Windows text file then process that file later with Easy Scan. The following provides detailed instructions for the typical process of using the wired barcode scanner with Easy Scan to scan a class. 1. Attach the scanner to the computer you wish to use. 2. Log into the HLC using your administrator login. 3. Search for the desired class. 4. Click the Scan Students link next to Register. The Scan Students page appears. 5. Select Scan Students. 16 6. Click Continue. The scanning window appears as an overlay to the HLC administrator login which is disabled in the background. Note: If you wish to return to the HLC administrator login by clicking Cancel, you will be prompted to enter your administrator password and click Continue. This is a feature of Easy Scan that prevents students from using an administrator s login to perform unauthorized tasks in the HLC. 7. Scan students badges as they enter the classroom venue using the wired bar code scanner. As students are scanned, their names and student User IDs will appear in the scanning window. Note: If a student badge cannot be read by the scanner, you may also enter the badge IDs into the open text field using your keyboard and click Scan. 8. Do not scan the badges of students as they leave the classroom venue unless the student s attendance in the class should not be recorded. For example, if a student must leave after 5 minutes, he/she should scan the badge on the way out. This will change the attendance status to Out rather than In on the Easy Scan page. 9. Click Save after all students have been scanned out of the classroom event. You will be prompted to enter your password to return to the HLC. The Scan Students page appears. 10. Select the Review Import Results to display the student records that were imported into Easy Scan for the class. The Scan Results page appears. 17 Using the Pocket Memory Scanner The pocket memory scanner is used with the Upload and Import Scanned Students feature. This allows instructors to browse for the scanned file, select it, and import the entries into Easy Scan just as if they had been scanned normally. The Upload and Import Scanned Students option enables instructors to scan student badges into files that can be imported at a later time. For example, you might use this if a class is assembling in a remote section of the hospital parking lot to attend a class demonstration on the use of fire extinguishers. The instructor may collect badges in the pocket memory scanner and then upload the file later into Easy Scan. Installing the Pocket Memory Scanner: You will need to install the pocket memory scanner application to allow your computer to communicate with the pocket memory scanner and extract the barcode data. 1. To find the all of the documentation and software for the OPN2001 go to All of the software to be downloaded is in the Software Downloads section of the webpage. 2. Click the downloading the Opticon Appload utility link to download the Opticon Appload utility. 3. Extract the file and save it in an easy to find location on your computer. Find the saved file on your computer. Double click the file then follow the directions in the application wizard to install the application. 4. Click the link to download the OPN2001 firmware. Extract the file and save it in the same location as the Opticon Appload utility. Find the file on your computer then double click it to install. 18 5. Download the Windows software utility by clicking the link under the PC Companion Application for the OPN2001 section. Extract the files and save them to your computer. Find the file OPN2001.exe on your computer then create a shortcut for your desktop. 6. Download the Windows USB Drivers to allow your PC to communicate with the OPN2001 scanner. Extract the file and save it to your computer. 7. Double click on the shortcut you created for the Windows software. It will have the icon of the OPN2001 scanner and read Shortcut to OPN2001.exe. Click Run. This is the program you will use to extract the barcodes from your scanner. Creating Class Name Barcodes: Class Name Barcodes need to be created in order to easily categorize the data by class when using the pocket memory scanner. 1. Create an Excel spreadsheet with one column titled Class Name (or Class Title). 2. Enter all the class names for which you will be recording attendance using the pocket memory scanner. 3. Click the Formulas tab. 4. Click Define Name. 5. In the pop-up window, type the desired name of the table in the Name field. Note: The name cannot include spaces or symbols. For example: Class Names must be entered as Class_Names. 6. Delete any contents in the Refers to box. 7. Highlight the Class Name column created in step 1 including heading. This will be the new data in the Refers to box. 8. Click OK. 9. Click Save As. 10. In the Save as type: dropdown field, select Excel Workbook (*.xls). 11. Choose a location on your computer to save the file and click Save. Once saved, you can close the document. 12. Follow the instructions in the Creating Barcode Labels section of this document to create and print your new Class Names barcodes. Note: These barcodes may also be printed on printer paper instead of label paper as they will not need to be placed on badges. HealthStream Easy Scan Complete: Administrator User Guide 18

19 Scanning Badges and Creating Text Files: 1. Scan the barcode for the desired class using the pocket memory scanner before scanning the student badges for that class. An audible beep will be heard after each barcode is scanned. 2. After scanning the Class Name barcode, scan the student badges as they enter the classroom or event. 3. After the last badge has been scanned, scan the Class Name barcode again. This will mark the end of the badge data for that class in the text file when data is uploaded to the computer. 4. Connect the pocket memory scanner to the computer using the connection cord included in the pocket memory scanner package. 5. Open the OPN2001 application. 6. Click Device Options. This will open a new Parameters window. 7. On the drop down menu next to Code-39 Full ASCII, select Enable. 8. Click Settings to save this new setting to the pocket memory scanner. 9. 20 10. Click Get Barcodes in the OPN2001 application window. 11. Check the Save to File box. 12. Click the [ ] button next to Save to File. This will allow you to save the file to your desktop. Note: When naming the file, create a name that includes the date the data was collected and/or the title of the event. 13. Open your saved Notepad file containing your badge data. Note: You may need to scan a new barcode (any barcode will work), open the OPN2001 application, and click Get Barcodes in order to view your original file on your desktop. 14. Look for your first class name (it will be the first barcode in the file), copy and paste all the student IDs between the two class names into a new Notepad file. 15. Save the new Notepad file with the class name. 16. Follow the same procedure for each class in your original Notepad file. HealthStream Easy Scan Complete: Administrator User Guide 20

21 Uploading and Importing the Text Files into the HLC: 1. Log into the HLC using your administrator login. 2. Search for the desired class. 3. Click the Upload and Import Scanned Students link on the Scan Students page. The Upload Scanned Students page appears. 4. Click the Browse button on the page below the instruction line. Select the appropriate text file for that class. Once the file is selected, it will display in the text box. 5. Click the Upload button to import the records from the file into Easy Scan. 6. When the import is completed, Easy Scan will automatically resort back to the Scan Students page and display a banner stating that the file has been successfully imported. 7. Select the Review Import Results option and click Continue to view the uploaded records and current status of all Easy Scan entries for the class. 22 REVIEWING SCAN RESULTS The Scan Results page shows all of the badges scanned, whether they can be matched to HLC students or not, and the date and time that they were scanned. In the example below, note that some of the names in this show *Not Available* for the student name and the Result column shows the badge data that was read. This feature prevents the loss of class attendance when students attend class prior to being entered into the HLC. Note: For large classes, it can be helpful to sort and filter the entries to show only Completed or Failed records. This can be done by selecting the desired status in the Status drop down box at the top right. Additionally, you may sort the results by clicking any column header. This is helpful when you need the results sorted by name, time scanned, etc. Scan Status Options The following options may appear in the Scan Status column: Staged: The user only sees this when they have scanned students and not clicked Save or clicked Cancel. If the user lost internet connection the status would be staged for all records that were scanned before it went down. Staged means the scan was recorded but the user has not chosen to submit it for processing. Resubmitting scanned entries will generally move them out of the Staged status. Ready: This scan is now ready to be processed and will be processed by the background processor. This status follows Staged. If a user resubmits a Staged record it is moved to Ready. If a Failed record is resubmitted the status is moved to Ready. When users click Save on the Scan Students page the scans are moved to Ready. 23 Started: This status follows Ready. The background processor has started processing the records. Records cannot be changed in this status. Completed: This status follows Started. The HLC has finished processing the record and the user can verify this in the result column. No further action needs to be taken for these students. Failed: This status follows Started, and indicates that the HLC failed to process the scan. The result column will have actions the user can take to resolve the issue. There are multiple reasons why the scan status may show as failed. The most common reason is Student is unavailable, which indicates that Easy Scan could not find a student that matched the badge data read. This could occur because: The student has not yet been entered in the HLC. The student is from another facility. The data does not correspond to any existing student for any reason. Note: The HLC queues Easy Scan entry processing just as it does scheduled reports and other processing jobs. If there is an issue with the HealthStream server, records may remain in the Staged, Ready, or Started statuses for a long period of time. If records are hung in one of these statuses for more than 20 minutes, even after resubmitting, contact your HealthStream Customer Support service to report the problem. Resubmitting Entries klj Records that are not in a status of Started can be resubmitted. From the Scan Results page: 1. Select entries to resubmit by clicking the checkboxes to the left of each entry. Click the check box at the column header will select all entries. 2. Click the Resubmit button. Grading Entries Click the Grade link at the top of the Review Import Results page to go to the grading page for the class. This function is identical to the grading function in the HLC. 24 WHEN THE SCANNING IS COMPLETE Once all Easy Scan entries have been successfully submitted to the class, click Grade, make any last changes (for example, the entry of numeric grades), then complete the class normally in the HLC. HealthStream Easy Scan Complete: Administrator User Guide 24

25 EASY SCAN COMPLETE BEST PRACTICES Using an Existing Spreadsheet: Instructors should be designated as the Easy Scan Administrator role. The primary administrator responsible for managing the badge configurations should be designated the Easy Scan Administrator and Badge Administrator role. Gathering Barcode Data: Place the User ID and Student name columns next to each other in your Excel spreadsheet. This will allow you to easily highlight and add all of the relevant data during the data table naming process. Creating Barcode Labels: After you have placed your barcode in the desired position on the label, click Print Preview to see that all of the barcodes fit on the labels. Some barcodes may be larger than others and run off the designated space. If this happens, you may need to resize the barcodes. Always make sure the label sheets are in the printer before clicking Print. We recommend using Avery Template 5311 or larger and without the rounded borders. Using the OPN2001 Pocket Memory Scanner: Create class name barcodes with the class title and date or session number. The more specific the title, the easier it will be to accurately identify and sort the scanned student results by class attended. Scan class name barcode before and after class. This will help you identify which class information you are viewing when you extract the barcodes directly from your OPN2001 Pocket Memory Scanner and place the data into a text file. Creating Text Files: Save the barcode text file that was obtained by extracting the data directly from the OPN2001 scanner into the text notepad with the name of the event and the date the event was held. This will help you easily determine which text file to select when using the Upload and Import Scanned Students option in the HLC. Scanning Badges: Make sure the box next to Student Badge is the same as the HLC ID is checked before scanning student badges. This will allow the HLC to successfully recognize your badges without requiring badge configuration. HealthStream Easy Scan Complete: Administrator User Guide 25

26 When Scanning Rosters: Administrators must print rosters in portrait orientation, not landscape orientation. If printed in landscape orientation, the barcode may not appear on the class roster or sign in report. Maintain Reliable Student Rosters: After students have been scanned into a classroom session, the administrator should check the grading field to ensure that all students present in the classroom appear on the Grade List as Passed. If a Failed status appears with the Student s name, that student was not processed. Determine and Assign Appropriate Roles: Instructors should be designated the Easy Scan Administrator role. The primary administrator responsible for managing the badges and label making process should be designated the Easy Scan Administrator and Badge Administrator role. Viewing Imported Results: Wait several seconds before clicking the Review Import Results option. It may take some time for Easy Scan to process all of the students. By briefly waiting before reviewing the results, you will ensure that all of the barcodes have had time to be processed. Class Attendance Record Stuck on Ready Status Error: To overcome this error, reset the Status of the record to help the records get processed. 27 EASY SCAN COMPLETE FREQUENTLY ASKED QUESTIONS Why can t I find my data table in the Wasp Barcode Labeler? You may have accidentally saved your Excel spreadsheet in the.csv format. This is the default option for saving the Student Listing Report generated by the HLC. Open the file in Excel, and then re-save in the.xls format. Your file should now appear when you access the Wasp Barcode Labeler. I don t see the titles of my data columns in the External Data Source Wizard. How can I find and add the correct data from my Excel file into the Wasp Barcode Labeler Wizard? If you did not name your data table and include the column titles, you will not be able to see them in the External Data Source Wizard. Open the file in Excel and make sure the Student Name and User ID columns are side by side. Click the Formulas tab. Click Define Name. Type the desired name into the Name box in the pop-up window. Click the Refers To box. Highlight the Student Name and User ID columns, including headings. The data range will appear in the Refers to box. Click OK. Save the file in.xls format. I can t find my Avery label template in the label maker. What should I do? If you do not see your label in the menu, click New just below the Type drop down menu. In the pop-up window, enter the Avery Product ID number in the Type box. Obtain the measurements of your labels (by finding your labels on or finding the measurements on your Avery label box). Place the correct measurements in each box. Click OK. Why do I need to add a barcode and text placeholder in the labels? This will help you position your barcodes and text as you design your labels. The placeholders also allow you to see the size of your barcodes and text before you print. What labels should I use for my barcode labels? This is entirely up to your organization. You can create and design labels you would like to best meet your needs. We have recommended a minimum label size to fit on standard ID badges. These recommendations can be found in the Easy Scan Complete User Guide and in the Easy Scan Best Practices document. My scanners will not read my printed barcode labels. Why? Your barcodes may not be formatted correctly. This may take a bit of trial and error to get the barcodes positioned perfectly. HealthStream has found that barcodes with a width of at least: inches and a height of at least 0.66 inches can usually be scanned by the visible-light barcode scanners. 28 Why do I need to create class name barcodes? This will allow you to scan the class name using your Pocket Memory Scanner prior to scanning the student badges. By scanning the class name into the Pocket Memory Scanner, you will be able to separate the students by class as you import the results in the text files. These text files are needed when using the Upload and Import Students option within the HLC. Why do I need to scan the class name barcodes before I scan the student badges? Scanning the class name barcodes allows you to easily sort and upload your data when using the Pocket Memory Scanner. Using class name barcodes will enable you to determine which students attended specific classes. Without class name barcodes, the scanned results will be lumped together in one large file. It will be extremely difficult to match the students with the correct class they attended without first scanning the class name barcodes. I can t find the barcode text file I uploaded directly from the OPN2001 Pocket Memory Scanner into the Notepad in My Documents. What should I do? You may need to scan another barcode, it doesn t matter which barcode you scan, then open the OPN2001 application. Extract the barcodes from the pocket memory scanner. This should allow your original file to appear in your My Documents folder. My import results all say Not Available after the File was successfully uploaded and imported banner has been displayed. Why is this? Most likely, Easy Scan is still processing your file. The length of time required for this process varies by the size of the file and number of students. Click the Student Name or User ID title links. This should replace Not Available with your students information. How do scanners work? There are many kinds of scanners. Some common types of badges/cards include visible-light barcodes (this is the common barcode), infrared barcodes (looks like a barcode with a colored stripe across it that is typically gray or maroon, magnetic stripe (just like a credit card), and RFID. The important thing is to get the right scanner for the right badge type. The scanners included with Easy Scan Complete are visible-light barcode scanner. They will extract the data off of the barcode labels so that Easy Scan can use it. The scanners function the same as any other data input device, like a keyboard or mouse. Can I purchase additional scanners for my Easy Scan Complete package? Yes, you may purchase as many additional scanners as you would like for your Easy Scan Complete package. These orders will appear as separate line items and will be added to your total Easy Scan Complete package price. HealthStream Easy Scan Complete: Administrator User Guide 28

29 I don t need this many scanners. Can I remove scanners from my Easy Scan Complete package? No, the Easy Scan Complete packages include the minimum number of scanners required to successfully implement Easy Scan. I already have student badges with barcodes. Why do I need the barcode label software? The barcode label software is included with every purchase of Easy Scan Complete. This software enables you to create class name barcodes which are required to successfully use the OPN2001 Pocket Memory Scanner. Why must I copy and paste the barcode data into new text files after I have imported the data directly from the OPN2001 Pocket Memory Scanner? This is needed when using the Upload and Import Scanned Students feature to record class attendance. The separate class text files allow you to upload and import only the students that have attended that specific class. If you did not create class text files, you would upload and import a file that contains all of the students you scanned using the OPN2001 Pocket Memory Scanner. This would import all of your scanned students into one class which may result in class attendance recording errors. What roles are required to use Easy Scan? Instructors should be designated the Easy Scan Administrator role. The primary administrator responsible for managing the badges and barcode label making process should be designated the Easy Scan Administrator and Badge Administrator role. Do I need to configure my badges with Easy Scan Complete? No badge configuration is necessary when using Easy Scan Complete. The barcode labels include each student s HLC user ID.
