1 Page 4: Current WAN and Network Infrastructure At the PAC, how many ports are in each of the 3 Catalyst 3560G switches. Do you know how many IP phones will be assigned to each of the switches? These are 48 ports on each switch. We do not know at this point how many phones will be connected to each switch. Will the Catalyst 3548 be supporting IP Phones? Do these switches support Gigabit speeds? The 3548 switches have just been upgraded to 3560G 48 port switches. What is the IOS of the Cisco Routers? Version 12.4 on the 2801s, 12.3 on the 7204 Are VLan s currently in place? No. QOS is not currently is place either. Is Active Directory currently in place and in use? Yes Page 4: Connection to the PSTN Do you currently plan to have any PSTN connectivity at the individual libraries? On page 5, you state you will want, Simple communication across WAN connections w/o complete loss of service during WAN outages. Without any local PSTN connectivity, then the internal library extensions will be able to call each other but no PSTN calls at all. We will have a couple of analog lines at each Library for fax and alarm. We do not intend to connect these analog lines into the VoIP system at first but we want to know the capability exist for the future and what the cost implications are. Page 5: General Requirements & Specifications Paragraph 2 states approximately 400 voice mail boxes for Office Personnel. Page 6 Paragraph 2 states configured to support at least 1,000 users and scalable beyond 1000 users. How many voice mail boxes will be required at initial installation. Approximately 400 Page 6 Telephones:
2 asks for the ability to support wireless IP phones. Is there currently a wireless IP network in place at each facility that has the capability to support VoIP and QoS? There are currently Cisco WAP4410N Access Points at all library locations. They are not currently configured for access on the private network nor are they configured for a vlan or QOS. You may suggest a configuration using these devices. States, Vendor must supply phone sets with inline power (not a local wall outlet) for power fail dial tone availability. Do you mean analog telephone sets in case of a complete loss of power? If yes, how many at each facility. No handsets at this time. We are looking to see if the system has the capability and if what the cost of the handset would be. Page 6 System Administration: ACD is mentioned in the first paragraph but nowhere else in the RFP. In a library system, it is not unusual to have a couple of call answering groups (i.e. help desk for internal customers and reference/research for public customers). Is there a need for ACD functionality for groups like this? If yes, how many agents and how many supervisors? If yes, would you need reporting on these groups? Yes, we would like to have ACD capability. We would envision up to 2 supervisors and 8 agents. Page 7 Location and Anticipated Handsets: Do you anticipate the need for any analog devices (faxes, credit card machines, postage machines, modems, etc.) at the PAC or any of the libraries? If yes, please provide quantity per location. We would initially need 8 analog ports at PAC to support an existing computer application for our Library System Software. We would like to know the cost to add analog devices in the future and whether it is part of the base system or an additional New questions posted 10/28/2010 Clarification on the number of users: Per the Voic and Unified Messaging section of the RFP there are 1000 total users to be configured, and per the Call Control section there are 650 users with phones. With regards to the difference between the two user counts - are there 350 users on an existing PBX platform that will need to be integrated with the new
3 voic /unified messaging platform or are they virtual users that will be configured in the system with unified messaging/voic boxes only? These will be virtual users. How many wireless IP phones and cellular dual mode phones will need to be supported? With regards to the dual mode cellular phones, what type of phones are used in your organization iphones, Blackberries etc.? We anticipate a range of 1-6 phones per facility except at PAC where there may be about 12. There are a mix of cellular phones including Iphones, Android phones and Blackberries. We typically use AT&T or Verizon for service. Are you going to maintain the NetGear switches you have today, or would you like us to quote PoE switches to replace the NetGear switches? We do not necessarily intend to replace the switches unless that is the recommendation that comes with the successful proposal. You are welcome to quote the pricing for switches but it should be made know if it is a required or optional component. New questions posted 10/29/2010 Voice quality must be toll quality voice. Latency must not exceed 35 milliseconds in one direction. QOS must not require infrastructure upgrades. QOS should be provided in a simple manner; i.e., a single UDP port rather than requiring network upgrades and separate VLAN s for voice and data. I know this is what Microsoft tells everyone about their OCS, however best practice is to have voice in one VLAN and data in another VLAN? Can your Netgear switches perform QoS? Are they 802.1q and 802.1p compliant? You will have to tell me if they are compliant and if they are useable with your proposal. If they are not compliant then you will need to specify all the equipment that will support your solution. Ability to connect up to four (4) T-1/PRI digital gateway at multiple sites. Four at multiple sites, or one at four sites? Ability to connect up to 4 at least 2 sites. Allow phones in remote locations to maintain all features in the event of WAN outage. Can you please provide all of the Router IOS versions? Yes. See question 3
4 New questions posted 11/1/2010 Would you like a quote for the 2 PRI at the PCLS Processing and Administration Center as an option in our response? No. Our phone service is bid through the E-Rate process that we have not included here. When you ask for the call control system to be configured to support 650 users; do you mean pre-licensed for 650 or at the ability to support 650 without any changing out of hardware? You are welcome to quote the pricing for the listed number of users as long as you include the cost to get to 650 in your response Do you want IP telephones that support 1GB switch throughput for all users? This is an upgrade option for the IP phone equipment. I can list this out as a per each option or include for all phones. We prefer the 1GB for all phones that are not conference room phone. As long as it is clear how to find the cost for 1GB phones you can list as a per each option You have requested on page 6 under telephones the ability to connect up to 4 T-1 PRI at multiple sites, which sites? Do you mean 4 per location or 4 locations do require this gateway functionality. Answered in an earlier question On page 7 you stated that the phones must have or maintain all features in the event of a WAN outage. The would require every site location to have a survivable gateway and separate dial tone, other than PRI dial tone at the Processing and Administration Center. Do you want us to design for a gateway at each location? Yes, that would be good but make it clear which equipment could be eliminated and for what price should we decide to forgo that option at certain locations. What is the SLA from your WAN provider. Would you consider a fully managed MPLS quote with a strong SLA? I don t have the SLA handy. No, we are not considering MPLS at this time. Do you have a more detailed description of the amount of analog support required for each location?

We listed equipment for you to tell us. Regarding (page 16) How many simultaneous analog calls would need to be supported per location in the event of a router or switch failure? 1 analog call for emergency purposes (page 19) Do you want this as an itemized option or just included? If it is not included in the base price an itemized option would help in the review process. Do you know how many ports of voice mail you currently have? No. At this point in time every location has a separate and distinct system which ranges from 2 analog lines with an answering machine to the Processing Center which has an old SRX system with 6 voic ports. There is a mix of Protégé and Lucent systems as well so it is hard to present a number. Do you want a pre paid option for warranty maintenance and software assurance that extends beyond the first year? If so how long Yes, you may quote extended maintenance but we would not look out past 3 years Will PCLS require ad-hoc reporting and supervisor display on PC terminals, or just ACD call routing? We would like to know the costs of both ad-hoc reporting and supervisor display and ACD call routing. We hope to implement a Contact Center in the future. For physical telephones, we assume we are replacing instruments per the table of per-user counts at sites. It seems you want licenses in place to support 400 users on the platform, with the expansion capability to over 1,000. Is that correct? Yes

Yes Are the users of the portable phones also users of one of either the Standard or Executive Handsets or are they a mutually exclusive type of phone handset? It is undetermined at this point as we aren t aware of all the potential options. It could be a mixture of these 2 options as well as cell phone users with phone apps to work off of WiFi. You may suggest other solutions.
