1 GLENDALE GROUNDS MANAGEMENT CONTRACT MANAGER BACKGROUND Glendale Managed Services, the green services division of Parkwood Holdings Plc, has revenues of 45 million. Glendale operates throughout the UK and is a green business with green thinking at the core of everything we do. Glendale activities include; grounds management, countryside management, landscaping, horticulture and golf course management. Since 1989, Glendale has had a long and successful history in providing grounds maintenance services to local authorities and other private sector customers. Glendale is proud of its reputation as a high quality service provider and in addition to grounds maintenance, delivers a wide range of green services including countryside and estate management, landscaping, tree services and arboriculture. Glendale also provides retail leisure through Glendale Golf, and sells plants and compost products. CONTRACT DETAILS Waverley Borough Council and Subsidiary contracts ROLE PURPOSE The role of the Manager is to effectively manage all of the operational technical and financial matters relating to the contract ensuring that a profitable contribution is made and that all client and staff matters are handled effectively and in accordance with Glendale policy. 1

3 JOB DESCRIPTION The Manager s key responsibilities will be to: Input into and implement the strategy for the business of Glendale Contribute fully to the effective running of the Glendale Grounds Management Participate in securing the long-term future of the Provide the leadership required to meet objectives Be technically able and play a proactive role in securing new business for Glendale Maintain good relations with existing clients, by managing and meeting the needs of localised systems Direct the business activity of the Build and maintain a sound organisational structure, recruiting, training and motivating staff within the Monitor the performance of the operation through the proper Company accounting and reporting procedures Safeguard the company s image and credibility Proactively target additional business: tendering and pricing as suitable in accordance with the Divisional Pricing Policy Take responsibility for health and safety and actively participate in the maintenance and improvement of the overall Company Health and Safety culture Ensure the maintenance of Quality Standards in particular the application of the Company Quality System. Ensure the Quality System is maintained to BS EN 9001 standard at the contract. Ensure the maintenance of Environmental Standards and compliance with the BS EN ISO 14001:1996 standard at the contract. The Manager will focus day to day on the following tasks: Carry out all financial accounting requirements including: - Ensure the contract delivers to plan, budget and profit - Prepare and analyse financial forecasts for the contract - Control operations within the approved annual budget - Chase debtor payments - Review forward orders and order completions 3

4 - Review stock and work-in-progress Oversee the smooth running of the contract Take responsibility for the implementation of work planning systems on the contract Set up an effective organisational structure for the contract Determine staffing levels and establish an effective management team Recruit employees as necessary Ensure that all employees are effectively managed and employee records are kept up-to-date Maintaining a good Employee Relations relationship Evaluate vehicle and machinery requirements Establish and maintain lists of suitable suppliers and sub-contractors Effectively implement and monitor the companies Health & Safety policy and associated procedures Keep abreast of current horticulture techniques and help establish training programmes for employees Ensure the Supervisor liaise with the Client Officer to: - - agree programmes of work - discuss technical matters - inspect and certify completed work - agree additional works - resolve problems Any other duties that may arise relevant to the role. The role of the Manager can never be defined fully, but in all matters he/she must demonstrate leadership and command respect within the business. All decisions must be communicated clearly both to those responsible to the post holder and to those persons the post holder reports to. The Manager should also be prepared to take the initiative and continually improve operational activity. The person requires ambition and a high level of commitment. The Manager is critical to decision making processes within the business and must gain the trust and loyalty of all stakeholders in the company. 4

6 THE CANDIDATE Skills & Competencies The successful candidate will have an established track record as a Manager in a small/medium sized enterprise, preferably with knowledge in Grounds Management, to make a success of this position they will be characterised by a contracts management background and the successful creation of strong, outgoing client relationships. A proven track record in managing and developing a grounds contract is desirable. Qualifications The post holder will have a minimum qualification to degree level preferably. Appropriate professional qualifications and a business qualification would be advantageous. Personal Among the personal characteristics sought will be: The credibility derived from a successful track record, which will gain acceptance from clients and the teams involved A manager with flexibility in style and thinking and an open approachable personality Strong relationship building skills coupled with excellent communication skills Financial and medium term planning skills as well as clear-sighted operational management awareness A personality with presence and stature who is strong on planning and time management A motivated approach A clear identification with the requirements of Glendale customers/ clients The ability to manage complex operations, with diversely tasked high service levels being required Good presentation skills Numerically confident, strong IT literacy and the ability to produce professional reports and documents Demonstrable range of people management skills The ability to identify opportunities for the Company Demonstrable Health and Safety culture and awareness 6
