1 Faqs > Spam Monitor General Q1. What is Spam Monitor? Ans.: Spam Monitor is an easy-to-use spam filter that detects and isolates unsolicited junk mail sent to your mailbox. Designed for computer users, not experts, Spam Monitor's step-bystep wizard configures your PC with the safest anti-spam settings automatically. Q2. Who can access Spam Monitor? Ans.: All prepaid and postpaid subscribers can access this service. Q3. What clients are supported? Ans.: Spam Monitor support all popular programs such as Outlook, Outlook Express, Netscape Mail, Mozilla Mail, Eudora or Opera If your clients are not supported by the Configuration Wizard, you still can use Spam Monitor to filter spam messages provided your clients are using either the POP3 or IMAP4 messaging protocols. Q4. Can I sign-up for a free trial? Ans.: No, a free trial is currently not available. Q5. How do I purchase a Spam Monitor subscription? Ans.: To purchase a Spam Monitor subscription, follow these steps: 1) On the main Spam Monitor page, click on the Buy Now button 2) Select the plan and key in your username and password and click on the Confirm button to proceed 3) License Agreement - Please read the End User License Agreement and if you accept it, click on the I Agree button to proceed. 4) Confirmation - Once your transaction has been processed, an Activation Code / Serial Number will be displayed. Your order details will also be ed to your ID. Save these details in a safe place for your future reference. You will need it to activate Spam Monitor. These details will also be useful if you need to contact the customer service team. 2 Q6. How do I install and activate Spam Monitor? Ans.: Installation To install Spam Monitor onto your PC, complete the following steps: 1) Ensure that any earlier version of Spam Monitor on your system has been closed. 2) If required, double-click on the Spam Monitor installation file to initiate the first step of the Spam Monitor Setup Wizard. Begin following the prompts to start the Spam Monitor installation process. 3) Welcome to the Spam Monitor Setup Wizard - The initial Setup Wizard screen is displayed. Click on the Next button to continue. 4) License Agreement - The Spam Monitor End User License Agreement (EULA) is displayed. Before continuing, please read this agreement. If you accept it, click on the I accept the agreement radio button and then click on the Next button to continue. 5) Select Destination Location - Specify the location where Spam Monitor will be installed on your PC. It is recommended that you use the default location specified, although you can choose your own by clicking on the Browse button, then entering or selecting your preferred install location. Click on the Next button to continue. 6) Select Additional Tasks - Additional settings include options to set Spam Monitor to start up when Windows starts up, and to add shortcuts to your desktop and Quick Launch bar on the Windows Taskbar. After choosing your options by checking the appropriate check boxes, click on the Install / Next button to continue. Spam Monitor installs onto your computer. 7) Completing the Spam Monitor Setup Wizard - Click on the Finish button to exit the Setup Wizard. B. Configuring the Classification System The steps listed below guide you on how to configure the Classification System that launches immediately after you have installed Spam Monitor on your PC. 1) Welcome Screen: The first screen will welcome you to Spam Monitor s Classification System. Click on Next to continue. 2) The next screen displays an option that has been selected by default, i.e. to regard all incoming mail from China, Taiwan and Korea as Spam. If you do receive legitimate mail from any of these countries, please uncheck this option. Else, leave it checked and click on Next to continue. 3) Client Detection: Spam Monitor will automatically detect the clients installed on your computer (E.g. Outlook, Outlook Express). Check the box that corresponds to your primary client and click on Next to continue. Note: If you do not see your client on the list, click on the hyperlinked text here and configure the client you normally use. 4) Learning Engine Database: Basis the selection you have made, Spam Monitor will create its Learning Engine Database that will let it better filter Spam Protection. 5) Congratulations Screen: The final screen you will see will inform you that Spam Monitor is configured to filter spam messages. C. Accessing Post Set-up

3 After you have installed Spam Monitor and configured the Classification System, the next time you launch your client, a Spam Monitor will display a configuration wizard that is specifically tailored for your client and will also install a mini-toolbar. The final configuration wizard lets you decide how you would like to deal with incoming spam messages. The steps listed below guide you on the Spam Configuration Wizard. 1) On the welcome screen, click on Next to continue. 2) The next screen gives you there options on how you can deal with incoming spam messages: a) Move it to a Quarantine folder b) Movie it to a Deleted Items folder c) Leave it in the Inbox Select any option you prefer and click on Next to continue. 3) Congratulation Screen: Spam Monitor will display a congratulatory message and will confirm the selection you made on the previous screen. Click on Finish and start accessing your s. Note: Spam Monitor will give you an option to activate your annual subscription immediately. If you like you can read the steps listed below and click on Activate Now or click on Activate Later to start accessing your . D. Activation To activate your copy of Spam Monitor, complete the following steps: 1) After installing Spam Monitor, ensure you are connected to the Internet. 2) Open Spam Monitor and click on the Activate Now button on the left of Spam Monitor s screen to open the Activation screen. 3) On the Activation screen, enter your Name, address and Activation code into their respective fields. The Activation Code is included with the product at the time of purchase. 4) Click on the Activate Now button on the Activation screen. This task will activate your annual Spam Monitor subscription. Note: The Activation Code must be typed exactly as it appears. Your activation code or serial number will also be ed to your ID after you make a purchase. It can also be accessed from the Purchase History link on the right hand side of the main Spam Monitor page. E. Server Settings Once you have installed Spam Monitor on your computer, you need to careful and make a few changes to your server settings. The steps listed below clarify how this can be done. There are two instances during which your client prompts you for authentication: 1) When you sign-in for the first time in the day and check for new mails 2) When you send your first outgoing mail of the day

4 Such an authentication prompt usually displays three fields: 1) Server 2) User Name 3) Password Note: If you have changed these settings you may not encounter these prompts. When you sign-in and check for new mails Server: Please notice that as opposed to your normal incoming mail server, the server address is listen port setting that was set up by Spam Monitor. User Name: In place of your usual user name, the server address gets appended to your user name. Password: Once you key in your password, you should be able to receive your as usual. You do not need to make any changes for this authentication prompt. When you send your first outgoing Server: You will notice that your usual server name now appears in this field User Name: Like the authentication prompt you saw earlier, the server address is appended to your user name. Please delete the appended server address. Using the example above, please Password: Once you key in your password, you should be able to send an outgoing as usual. Note: This is one action that you will need to repeat on a daily basis. Q7. How do I tell if my copy of Spam Monitor is registered? Ans.: When you activate or register Spam Monitor, you will notice that the Activate button has been replaced with a button called About. Click on the About button to see the License Name and License Code allocated to you. If you can see this information it means that your copy has been registered. Q8. How do I start using Spam Monitor? Ans.: Launching Spam Monitor To start Spam Monitor, double-click its icon on your desktop or single-click its icon in your Quick Launch bar. Note: These icons will not appear if they were not selected during installation. If you do not have these icons, you can open Spam Monitor from the Start menu by clicking on Start -> All Programs / Programs -> Spam Monitor -> Spam Monitor. Configuration Wizard The first time Spam Monitor is run, the Configuration Wizard starts. The wizard guides you through setting up Spam Monitor's spam filtering options on your system.

5 On subsequent starts, Spam Monitor's Main Status screen displays. From this screen, you can enable real-time spam filtering, manage your legitimate and spam and IP address lists and train Spam Monitor to fine tune its spam detection capabilities. Main Status Screen 1) SPAM Protection in ON: Activates or deactivates Spam Monitor's real-time spam filtering function. 2) Manage Address Lists: Displays the Address Lists screen, where you can review and alter your Friends (legitimate) and Block (spam) Lists. From here you can also configure the Automatic Friends List, which automatically adds addresses to your Friends List, based on the frequency with which they are received. 3) Improve Spam Protection: Displays the Filter Training Wizard, where you can further improve the spam detection capabilities of Spam Monitor by allowing it to recognize patterns in the s you receive. Exposing the advanced Bayesian Filter to both clean and spam messages increases the efficiency with which Spam Monitor identifies spam s. Left Navigation Menu on the Main Status Screen The text below explains the buttons that are visible as part of the navigation menu on the left hand side of the main status screen of Spam Monitor. 1) Status: Displays the Main Status screen where you can activate or deactivate Spam Monitor spam filtering, manage your Address Lists or train Spam Monitor's Bayesian filtering function. 2) Address Lists: Displays the Address Lists screen, where you can review and alter the Friends and Block Lists. From here you can also configure the Automatic Friends List, which automatically adds addresses to your Friends List, based on the frequency with which they are received. 3) Advanced: Displays the Advanced Settings screen, where you can review and modify the advanced settings including Real-time, Country and ISP blacklists. All Bayesian Filter settings can also be accessed from here. 4) Settings: Displays the Settings screen, where you can alter Spam Monitor's functionality and behavior. These include language, port, access control and message tagging settings, and logging activities. 5) About: Displays the About screen, where you can view more information about your current installation and version of Spam Monitor. Note: This button is only visible while Spam Monitor is either registered or activated. Running a Smart Update 1) Click on the link on top called Smart Update 2) Follow the step-by-step instructions to get all the latest updates You are now ready to begin using Spam Monitor. Q9. How do I set up message rules for Outlook 2003 in Spam Monitor? Ans.: Complete the steps outlined below to setup an Outlook 2003 message rule: 1) Start Outlook and click on Tools on the menu at the top then click on Rules and Alerts.

6 2) Choose the Rules tab and click on the 'New Rule' button. The "Start creating a rule from a template" option at the top should be selected. 3) In this case, you want the filter to use a specific word **SPAM** in the subject. So in the first pane, select "with specific words in the subject". 4) Now in the second pane, click "specific words." In the Search Text dialog box that appears, type **SPAM** (including the astericks) in the "Specify words or phrases to search for in the subject" field. Press Enter twice, or click on Add and then OK. Back in the Rules Wizard, click on Next and check "move it to the specified folder." 5) In the second pane ("Step 2: Edit the rule description"), click the word "specified." Outlook will display a list of folders. Pick the folder you want the to go to. 6) Click Next to skip the Rules Wizard's "Are there any exceptions?" page. "**SPAM**" should be in the "Step 1: Specific a name for this rule" field. Press Enter twice or click on Finish and OK. Q10. How do I add an /domain to my spam list? Ans.: Using the Block Lists you can specify addresses or IP addresses that you don't trust so that Spam Monitor will mark them as SPAM. 2) Click on the Address Lists tab 3) Click on Block Lists 4) Click on Add 5) Enter the /IP address 6) Click on OK Q11. Ans.: The problem you are experiencing is generally due to one of the following three reasons: No Internet connection - please ensure you are connected to the Internet when attempting to perform a Smart Update. OR Firewall / Proxy Server blockage - you may need to temporarily disable your firewall or proxy server to perform Smart Update, as these could interpret Privacy Guardian s update function as a malicious process. If possible, place Privacy Guardian s 'update.exe' on your firewall or proxy server's 'Allowed Processes' list. This will allow you to run future Smart Updates with your firewall or proxy server enabled. OR Virus Scanner interference - you may need to disable your virus scanner temporarily to perform a Smart Update, as these could interpret the download as an attempt to infect your computer with a virus. Please remember to re-enable your Virus Scanner when Smart Update has completed. Q13. I change some Settings / Advanced Settings and now I cannot access any . Ans.: Step 1: Disable Spam Monitor for some time. 1) Click on Start 2) Click on Program / All Programs 3) Click on Spam Monitor 4) On the main screen, click on the button on top that states SPAM Protection is ON This will disable Spam Monitor and you should be able to receive Step 2: Revert to Default Settings 2) Click on Settings 3) One by one click on all the main sub-sections within Settings 4) Click on a link called Load Page Defaults and then Click on OK 5) Repeat this task for all sub-sections within the Advanced tab as well Step 3: Enable spam protection again 1) Click on Start 2) Click on Program / All Programs 3) Click on Spam Monitor On the main screen, click on the button on top that states SPAM Protection is OFF Q14. I forgot my license code / activation key. Ans.: To access your license key / activation code, simply navigate to the main Spam Monitor page on site. Click on a link called Purchase History. This page will display the subscription(s) you have purchased and the corresponding license key / activation code.

8 Q15. After installing Spam Monitor I cannot receive s or am receiving s very slowly. Ans.: Spam Monitor has an automatic learning engine where it will analyze s each time they are received. If you are experiencing this problem, please disable Automatic Learning by following the instructions below: 2) Click on 'Advanced' 3) Select 'Learning Engine' 4) Uncheck the 'Use Automatic learning' checkbox Your problem should now be resolved, to manually train Spam Monitor to detect spam please click on "Improve Spam Detection" in the Spam Monitor Status screen. Q16. Even after installing and clicking on 'Improve Spam Detection' / 'Learn Engine', Spam Monitor still does not detect spam. Ans.: In order to have Spam Monitor detect spam, Spam Monitor needs to configure your client. Please follow the instructions below to execute this task: 2) Click on 'Settings' 3) Select 'General Settings' 4) Click on 'Configure Clients' 5) When the new window pops up click on 'Next' 6) Select the client that you wish to configure and click 'Next' (ensure that you have the client closed before you continue) A new window should popup, click on 'OK'. Q17. I am facing an issue that is not documented here.
