4 Test Administration Quick Start Guide Introduction This Quick Start Guide provides high-level reference information about the Smarter Balanced Test Administration Interface. Use this document with the Smarter Balanced Test Administration Manual (TAM), the Administration and Registration Tools Manual (ART Manual) and the Usability, Accessibility and Accommodations Guidelines. These can be found in the documentation area of the NDSA portal. This guide provides information for: User Role Definitions Help Desk contact information Test Session basics Log In Component descriptions The Test Administration Interface allows the user to: Start and run a test session. View and edit student test settings and accessibility resources. Monitor the testing process. Pause and stop a test session. Transfer sessions between computers and mobile devices. Print test session information. Test Administration Role Definitions User Role State User (State) District Test Description State Users (State) will be responsible for: Uploading, adding, and modifying student information into the Administration and Registration Tools (ART) system unless delegated to local education agencies (LEAs). Adding other State Users, District Test Coordinators (DCs), School Test Coordinators (SCs), and Test Administrators (TAs) into ART; Reviewing and resolving test security incidents as submitted by LEAs. Approving appeals for resets, reopens, restores, or invalidations. Coordinating with Smarter Balanced. Initial State User assignment is managed by Measured Progress. State Users can then add other users. The District Superintendent and the District Test Coordinator (DC) on file by the 2

5 Coordinator (DC) School Test Coordinator (SC) Note: An SC can be a principal, vice principal, technology coordinator, counselor, or other staff member. If possible, an SC should be a person with noninstructional or limited instructional duties so that he or she can coordinate and monitor testing activity in the school. Test Administrator (TA) Note: The NDSA Smarter Balanced assessments should be administered by individuals with an existing state certification in education (e.g., teachers, school psychologists, principals, etc.). Department of Public Instruction will be assigned the DC role by the State User (State). The DC can upload/add/modify/remove student records and has the same capabilities as a State Coordinator only at the District level in ART. DCs are also responsible for the following: Adding SCs and DCs into ART. Ensuring that the SCs and TAs in their districts are appropriately trained regarding the state and NDSA Smarter Balanced assessment administration and security policies and procedures. Reporting test security incidents to the state by contacting the NDSA Service Desk. General oversight responsibilities for all administration activities in their district schools. If no SCs are assigned for a district, then the DC performs all the responsibilities of an SC. The SC role is optional and is assigned by a DC or another SC within a district. SC assignments should be restricted only to those authorized to edit student records in ART. The SC can upload/add/modify/ remove student records and has the same capabilities as a DC only at the school level in ART. SCs are responsible for: Adding TAs and additional SCs into ART. Identifying TAs and ensuring they are properly trained. Coordinating with TAs so they administer all assessments. Entering and/or verifying test settings for students Creating or approving testing schedules and procedures for the school (consistent with state and district policies). Working with technology staff to ensure that necessary secure browsers are installed and any other technical issues are resolved. Monitoring testing progress during the testing window and ensuring that all students participate, as appropriate. Addressing testing problems, as needed. Mitigating and reporting all test security incidents in a manner consistent with Smarter Balanced, state, and district policies. General oversight responsibilities for all administration activities in their school and for all TAs. The TA role is assigned by a DC or an SC. An assessment can only be administered by a TA. For a DC or SC to administer an assessment they must also be assigned the TA role. TAs are responsible for: Completing Smarter Balanced assessment administration training (see section 1.4 Training) and reviewing all Smarter Balanced policy and administration documents prior to administering any Smarter Balanced assessments. Viewing student information prior to testing to ensure that the correct student receives the proper test with the appropriate supports. TAs should report any potential data errors to SCs and DCs as appropriate. Administering the NDSA Smarter Balanced assessments. Reporting all potential test security incidents to their SC and DC in a manner consistent with Smarter Balanced, state, and district policies. 3

Test Session Basics The following work flow provides an overview of how Test Administration and students interact during a test session. 4

8 Log In To log in: 1. Go to the NDSA portal at https://ndsasmarter.measuredprogress.org/portal/ and click Sign In. 2. Enter your user name and password in the Please Log In window and click Log In. The NDSA application page opens. Note: the number of application icons that appear in the application window is based user rights. 3. Select Proctor. The Test Administration Interface opens. 6

9 Test Administration Interface The window s banner displays: Your Username - Logged in as: Your Username Help - opens to links to the TA User Guide for Field Tests, Practice and Training Test User Guide, and sample files to help configure your printer for Braille. Log Out - Click Log Out to exit the TA interface. Stop/Start Session The Start/Stop Session button starts and stops a testing session. Before a session is created, this button reads Start Session and is gray. When a session is in progress, the button reads Stop Session, and is red. If you must stop the session, click Stop Session. Important: Once stopped, a test session cannot be resumed. You must create a new test session. 7

10 Session page layout The test session screen is divided into three functional areas: 1. The first panel displays a list of available tests. The tests can be sorted by grade level or subject. Select the desired tests individually by clicking the checkboxes to the left of each test name, or click Select All. Important: Students are pre-assigned tests, only those tests are available to each student 2. The second panel shows user instructions; it can be expanded or collapsed. 3. The third panel lists the students in the test session. It shows: Student names SSID Opportunity # Test title Test Settings (Standard or Custom) Requests Status (items complete/total items) If the test is paused Test Session Command Buttons 8

11 Student Lookup Click the Student Lookup button to search for student information in the Student Lookup Window, as it is entered in ART. To search successfully, the student s name must be entered exactly as shown. The First Name field is case sensitive. Search Parameters provides two options: With Quick Search, enter the student s SSID. With an Advanced Search, select a District and Grade, and either a First Name or Last Name is required. Search Results appear to the right of the search parameters in a list format. To view an individual s details: 1. Click in the row with the student s name. The information appears in the Student Details field. 2. Click Close to exit. Print To print the Student Status screen in its current view, click Print. Important: Any printouts containing personally identifiable student information must be securely stored and should be destroyed after use. Refresh Now The table refreshes every 60 seconds, or you can click Refresh Now to refresh the page. Create a Test Session Create a test session less than twenty minutes prior to starting the test in order to prevent the system from timing out. 9

12 1. Select one or several tests, or click Select All for all available assessments. 2. Click Start Session. The system generates a Session ID. 3. Provide the Session ID to the students by writing the number on a whiteboard, or by other means. The students log in using the Session ID. Keep a record of the Session ID, you must use it to re-enter a session if you sign out. Approvals and Test Settings Except for those listed below, settings cannot be changed in the Test Administration Application. Student data and accommodations must be updated in ART. Contact your School or District Test Coordinator to have the settings updated. No settings can be changed while a student is actively testing. The Approvals and Student Test Settings window shows data to confirm whether test settings are correct, and where TAs can approve or deny students entry to the test session. 1. Click Approvals. The Approvals and Students Test Settings window opens, displaying a list of tests and associated students. 10

13 2. Review the list to make sure that all students have chosen the correct content area and test. 3. Click See/Edit Details to ensure that each student s test settings are correct. 4. If no changes are needed, select Approve All Students. If there are errors in a student s setting, click Deny, and approve other students individually. This step is not clear in the documentation. Denying Student Entry Denials to the test session are made on an individual basis. Deny students entry if: The student is not supposed to enter this session. The student s demographic information is incorrect. The student s required accommodations are incorrect. Changing print size and graphics TAs can view and change the default size for print and graphics for a student. 1. Click See/Edit Details in the Test Sessions column. 2. Click Print Size and make the desired change. 3. Click Set to change the setting without approving the student. 4. Click Set & Approve to both change settings and approve the student for testing Universal Tools 1. On the Approvals and Students Test Settings window, select a student 11

14 2. Click See/Edit Details. The Details window opens. 3. Enable or disable the desired settings. These settings can be managed in the Test Administration Interface: English Glossary Strikethrough Mark for Review Expandable Passages Highlight Monitoring Student Status and Print on Demand Monitor students status from the Students in your test session window. The Student Status column shows the each student s progress through the test. It shows the total number of items completed and the total number of items in the test. The Print on Demand feature is available only for students who require it. Students having this accommodation can request printing of stimuli and/or items, depending on their settings. For passages, the school or district can set Print on Demand in ART. For items, Print on Demand must be set up by your state s Helpdesk. 12

15 When a student sends a print request, the Print button appears in the Requests column of the monitoring screen. 1. To view the request, click Print. 2. On the Student Print Request window, click Approve or Deny. If you approve the request, a cover sheet containing the student s name and SSID opens in a new browser window. Note: No test content will ever display on your screen. 3. Click Print in the new window and click OK to send the request to the printer. If you deny the print request, nothing will be printed. Pausing and Stopping Test Sessions To pause an individual student s test, click the Pause button on the Students in your test session window for that student. See Figure 16. Click Yes to confirm that you want to pause the test. To stop the entire test session for all students click Stop Session. Click OK in the message box to confirm. Transferring Sessions To transfer a test session to a new device or browser: 1. Do not log out of the session you are currently in or stop the test session. 2. Log into the TA interface on the new machine or in the new browser. A Session ID prompt appears. 3. Enter the active Session ID into the text box and click Enter. The test session on the previous computer or browser will close automatically. Logging Out of the TA Interface Important: Log out only after stopping your active test session, as logging out will cause all inprogress tests to be paused. 13

16 To log out of the TA Interface: 1. Click Log Out. 2. At the confirmation window, click Log Out again. Important: Refer to the TAM for instructions on destroying any printed testing materials and reporting testing improprieties or irregularities 14
