In earlier years, businesses were expected to essentially put on a blindfold and then actively manage their fleet vehicles or mobile field workers, or even equipment positioned in faraway locations. Needless to say, this wasn t the best avenue to productivity or profitability. An array of solutions has been created in response to this functional void; however, as capable as some are, they present a growing problem. The majority of vendors in this sector have each tended to concentrate on tracking, managing and optimizing only a single asset category. Fleet telematics solutions focus on vehicles. Mobile workforce management applications are designed for front-line workers and their work processes. Mobile asset tracking solutions monitor high-value equipment in the field. All well and good, except that customers especially fleet telematics users are realizing this silo solution approach is directly clashing with their growing need to simultaneously track multiple asset categories and manage work being done in the field. Frost & Sullivan believes that a new generation of mobile resource management (MRM) solutions is poised to emerge in the North American market. For companies that operate local fleets, these solutions can be viewed as Telematics 2.0, because they add rich worker and asset tracking capabilities, available as needed, and all on a single, integrated software platform. Merging fleet telematics, mobile workforce management, and mobile asset tracking capabilities onto one platform eliminates the cost and frustration of separate systems, solution silos, and multiple administrative portals. Instead, businesses can enjoy economies of scale, easier deployments, richer reports and analytics, and more satisfied employees and customers. Businesses that must actively manage remote resources should be evaluating mobile tracking and management offerings that address multiple asset types and rest on an integrated, all-in-one software platform. MANAGING MOBILE RESOURCES: IT S TIME TO EVOLVE For many years, businesses grappled with an inability to properly manage their remote resources whether these resources were workers, vehicles, or other assets in the field. The simple lack of real-time visibility into a resource s location, activity and conditions continues to cost companies money, reduces the quality of service, negatively impacts productivity, and increases risk. In North America, tens of millions of fleet vehicles, pieces of portable equipment, and field workers operate far outside a business s four walls, combining to create the basis for a record level of administrative disconnect. With self-reporting as the best-case scenario, poor decisions and deceptive actions in the field can take place on a monumental scale and are often uncovered too late to rectify. For example, drivers can easily run up costs by burning through fuel to follow inefficient routes or by abusing their vehicles with excessive idling, acceleration, and hard braking. Service workers can waste time and money trying to repair a furnace or an appliance without proper instruction or the necessary parts. Thieves can steal an expensive, but unsupervised, piece of construction equipment. Fortunately, wireless and location technologies enabled the creation of, at first, simple tracking software applications. These, in turn, evolved fairly quickly beyond Big Brother monitoring into more sophisticated work process management and optimization solutions. Today, Frost & Sullivan views this mobile resource management category of products as encompassing the following three product lines: 3

4 frost.com Fleet telematics In-vehicle tracking and management solutions represent the most traditional and mature part of the MRM portfolio. Capabilities can include vehicle location tracking and geofencing, vehicle diagnostics, driver behavior alerts (speed, idling, hard braking, etc.), sensors, and regulatory compliance tools. The original high-end solutions were designed for large, long-haul trucking companies who could afford the expensive price tag that went with satellite tracking, dedicated servers, and customized, complex software. More current versions use cellular networks, GPS location technology and prebuilt apps to provide the kind of solutions that local fleets can afford. Mobile workforce management The success of fleet monitoring paved the way for more workerspecific remote management solutions. This category encompasses products that use GPS or cellular triangulation locationing to track and manage mobile field workers and their work processes. These are designed to operate on the worker s mobile handheld device, such as smartphones, tablets and ruggedized mobile computing devices. Capabilities can range from simple dots on a map worker tracking and geofencing to more sophisticated features such as dispatching, route optimization, data capture (wireless forms, barcode/rfid scanning, signature and image capture), and wireless timecards. An increasing number of mobile workforce management software applications are cloud-based and priced on a monthly per-user basis. Mobile asset/equipment tracking These solutions utilize cellular or satellite-based systems to track and monitor mobile (generators, construction equipment) and semi-stationary (trailers, containers) assets in the field. The hardware is usually a ruggedized case containing a cellular modem, GPS receiver, battery, and one or more sensors. This case can be attached to the asset or, if small enough, placed into shipping pallets or boxes. Sensors can monitor a number of different environmental conditions, including motion, vibration, temperature, light, humidity, and tampering. An annual Frost & Sullivan survey of purchase decision-makers reveals that 46% of their companies already have, or plan to deploy, a fleet telematics solution; 57% of respondents have implemented or plan to introduce a mobile asset tracking solution. And 62% have mobile workforce management solutions either in place or on the drawing board. The bad news is that these three types of tracking and management solutions are typically treated as silos. The majority of vendors haven t recognized the synergies inherent in these solutions and, as a result, they tend to build each of these three categories as a separate, standalone capability. This silo approach severely lags the real-world needs of today s companies. Businesses increasingly require assistance with tracking and managing more than one type of target at a time, whether it be vehicles, people, or other assets in the field. SEPARATE SYSTEMS = EXTRA EXPENSE, FRUSTRATED WORKERS, SUB-OPTIMIZED MANAGEMENT Consider the following scenario: A mid-sized appliance repair company deploys a fleet of 50 installation and repair vans across its service region. Each van is equipped with an in-vehicle fleet management system that wirelessly relays its location and various engine diagnostic data. Sensors indicate predetermined actions such as an opened or closed door. Driver behavior is monitored, and speeding, harsh braking, unnecessary idling, etc., are flagged. The company saves money and time and increases customer satisfaction by knowing exactly where its vehicles are and, as a result, being able to optimize dispatch and routing. Driving behavior monitoring can improve both worker and vehicle safety, and vehicle diagnostics set the stage for proactive maintenance and optimized vehicle health. 5

6 frost.com The result is unprecedented real-time visibility into the fleet vehicle. However, that visibility comes to a screeching halt when the vehicle stops and the driver steps out. Like an increasing number of businesses, the appliance repair company purchased a fleet management solution, discovered its positive business impacts, and then asked the next logical questions: Why are we stopping at the door of the van? How can we reap this same level of business intelligence and work optimization as our employee does his or her job on the customer site? Where s the handheld mobile workforce management solution? And, by the way, we would like to follow the vehicle and then our worker all on one administrative screen. This same dynamic is duplicated across a number of business types and industry verticals. For example, an energy extraction firm uses a fleet telematics solution to track the locations of its field inspection vehicles. It then determines that a mobile asset tracking solution would also be of value to monitor the placement and prevent the theft of its extraction equipment in especially vulnerable operating areas. A third example might be a courier company that starts with a fleet telematics solution and then realizes that an assortment of mobile workforce management capabilities such as more automated dispatching, route optimization, and mobile payment could be added to increase the field employee s productivity and enhance end-customer satisfaction. This type of business epiphany represents smart thinking on the part of management. Unfortunately, most of these executives will quickly discover that the initial fleet telematics solution they love is a siloed product that is incapable of expanding into other asset categories. The negative impacts of then deploying multiple separate tracking and management systems one for vehicles, another for workers, and yet another for other field assets are not difficult to enumerate: Increased costs Separate deployment processes, worker training sessions, and the day-to-day management and manual synchronization of data from different systems cost time and money. Worker frustration Juggling multiple, non-integrated software solutions out in the field demands extra time and attention in an already challenging work environment. Delayed problem resolution Multiple apps and vendors often translate into a frustrating mix of emergency interfaces when a software issue arises. That, in turn, can result in the software vendors pointing fingers at each other instead of swiftly resolving the problem. As the trouble time adds up, the end customer becomes more dissatisfied and unhappy. Management frustration A lack of integrated reports and analytics slows executive and management decision-making, hinders good analysis, and can negatively impact company profitability. Whether it happens immediately, or a couple of years in the future, a business that believes it really only requires one type of mobile tracking and management capability should not be surprised if new needs unexpectedly present themselves. Manual, paper-based processes in the field and back in the office, resulting in paper waste, data entry errors, and dispatching delays. New regulatory standards, with the TSSA (Technical Standards and Safety Authority) requiring TKE Canada and its peers to keep a log of all maintenance and repair activity for each specific elevator. More demanding customers who expect to be able to access real-time updates when a service emergency occurs, especially when the service issue is costing them business or inconveniencing their end customers. CHECKLIST FOR CHOOSING A CUTTING-EDGE MRM PLATFORM Whether the initial tracking target is a vehicle, a worker, or a piece of remote equipment, prospective purchasers of a mobile resource management solution are advised to consider the following selection criteria: Platform first Potential customers should resist being trapped into a siloed single-target solution. A company s remote tracking and management needs increasingly encompass a combination of two or more of the following asset types: fleet vehicles, mobile workers, and/or portable assets in the field. Opting for an integrated software platform that can be leveraged to address multiple types of assets can save time, money, and employee frustration down the road. Enterprise-grade technology The platform design must incorporate enterprise-grade security, scalability, and redundancy. Customers should require a detailed explanation of how that has been achieved. Support for multiple form factors and mobile operating systems Again, the don t get cornered into a limited product theme applies. Workers device needs can change dramatically over time. Or a BYOD (bring your own device) policy can sometimes extend out into the field. Or a new, breakthrough capability can suddenly become a must-have. The mobile workforce management component of any MRM solution should accommodate the use of smartphones, tablets and mobile computing devices. Frost & Sullivan research reveals that 73% of its North American respondents have moved at least some of their mobile apps to the cloud, while the percentage of companies implementing only on-premise solutions is decreasing (from 36% to 27% during ).
