1 WELCOME TO THE OARS ROWING SEASON Welcome, returning rowers, new novice rowers, new middle school rowers, parents and coaches (returning and new!). In planning for the upcoming rowing season, the coaches are already looking toward The USRowing Youth Nationals Competition. This competition will be held June 12-14, 2015, at Nathan Benderson Park in Sarasota and our coaching staff is hoping to have several boats qualify for this event. However, because the Nationals Competition involves less than half of all of the rowers on our High School Team (as boats must qualify for this event), the cost to attend the USRowing Youth National Championships is above and beyond the regular OARS Dues. Every rower who attends USRowing Youth Nationals must pay for himself or herself. It is important that you are aware of this potential additional cost, should your child be in a boat that qualifies to represent OARS at the National level. Boats qualify for Youth Nationals Competition at USRowing Southeast Regional Championships, which take place in early May and a decision by OARS to accept a Nationals Bid must be made quickly. All rowers will be asked prior to Regionals (late April) if they are willing to participate at Nationals should their boat qualify. Know that this involves continuous daily practices beyond our regular season end date (mid- May) through the 3- day event, June 12-14, as well as the additional cost. The cost is estimated to be between $225- $275 per rower in 2015, which will cover the cost of a hotel stay and a daily food stipend. Rowers/Parents you will find all the information required for joining or renewing your participation in OARS in the attached. Know that membership and participation in OARS is a privilege, not a right, and as such, membership and participation are dependent upon adherence to the promise and commitment to the OARS Code of Conduct. With this promise and commitment, enjoy the year ahead for all it has to offer you. 4 Code of Conduct Every student athlete participating in OARS is expected to engage only in those activities that will promote the reputation, character, health and welfare of the individual, other student athletes, the team, the OARS organization and the community. Therefore, every student athlete, as a condition of membership or participation in OARS, must agree to comply with the following: I promise and commit that: 1 I accept and acknowledge that membership and participation in OARS is a privilege, not a right, and as such, membership and participation are dependent upon my adherence to these promises and commitments; 2 As a member/participant of OARS, it is expected that I act in the best interest of OARS. Any actions of the rower and/or parent/guardian that is deemed inappropriate, may result in dismissal from the team; 3 I will be fully and personally responsible for keeping these promises and commitments, and will endeavor to persuade other OARS student athletes to do the same; 4 I will abstain from the use of alcohol, tobacco, illegal substances and/or weapons, whether or not on OARS property or at OARS related events; 5 I will not use abusive, disrespectful, offensive or otherwise inappropriate language while (i) on OARS property, (ii) representing OARS in the community or (iii) participating in any event as a student athlete for OARS; 6 I will not use or demonstrate abusive, disrespectful, offensive or otherwise inappropriate behavior (including, but not limited to, kissing, inappropriate touching) while (i) on OARS property, (ii) representing OARS in the community and/or (iii) participating in any event as a student athlete for OARS; 7 I will pay attention to, listen to, and demonstrate respect for, OARS coaches, parents, Program Directors and Board members included but not limited to in person, in print and all forms of electronic media; 8 I will give all due and proper respect and assistance (when requested) to other teams, their coaches and regatta officials; 9 I will give all due and proper respect and assistance (including the protection of privacy) to my teammates, on and off the water; 10 I will not utilize any form of electronic media to threaten, intimidate, harass, or entice other students or coaches of OARS or members/participants of any other rowing team; 11 I will not utilize any form of electronic media to post images depicting the use of alcohol, drugs, or suggestive behavior that is not deemed conducive to the image of an OARS team member/participant; 12 I will be considerate and careful when using OARS property and never cause deliberate damage to OARS equipment or property; 13 I will be punctual for practice, regattas and other rowing functions; 14 I will take responsibility for learning, and then abide by, any and all policies and rules established by the Program Directors and/or the Board of Directors; 15 I will abide by and follow the OARS Rules, which are attached hereto and made a part of this code, and which I have read and fully understand and accept. 16 I understand, accept and acknowledge that a violation of the Code of Conduct, or the attached Rules, may result in disciplinary action as determined by the coaches, the Program Directors and/or the Board of Directors. 4

5 Code of Conduct (pg. 2) The Code of Conduct pledge that all rowers and their parents/guardians sign is of paramount importance and critical to the proper functioning of OARS. Adherence to, and enforcement of, the Code is for the benefit of all members of the club and central to the club's vision of excellence in character and excellence in rowing. As such, it is understood and accepted that this Code of Conduct is not meant to mirror the Orange County Public School, or any private school, code of conduct and may contain different provisions and reflect different standards, expectations, and consequences. Coaches or others who learn about a violation will consider the severity of the violation in the context of its impact to the team or safety of individual(s). A violation discovered by someone other than a coach shall initially be reported to a coach by a rower, Program Director or parent unless it would be inappropriate to do so. The coach will discuss the violation with the rower, unless it would be inappropriate to do so. At the coach's discretion, and based on the severity of the case, the coach will report the violation to the OARS Program Directors and to the rower's parents. The OARS Program Directors will review the case and if they find the member/participant to be in violation of the Code or Rules, the Program Directors will take appropriate action. In this context, appropriate action may include, but shall not be limited to, verbal warnings, written warnings, probation, suspension from the team, and/or dismissal from the team. Parents shall be kept apprised of the status of the matter, including the decisions of the Program Directors. In the case of dismissal, no refund of dues or fees that were previously paid will be granted except when dues have been paid in advance. Parents/guardians may appeal any such disciplinary decision in writing, sent to the OARS Board of Directors. The Board's decision is considered final. We hope that it will not be necessary to use this procedure. We publish this notice to remind rowers and parents/guardians that adherence to the Code of Conduct is imperative to the future of OARS. This Code of Conduct supersedes any previously executed form of OARS Code of Conduct. 6 GENERAL RULES OARS RULES 1. Windermere Elementary School property is off limits to student athletes except for the use of the parking lot. 2. Radios/CD Players/iPods with headphones/earpieces only at the boathouse. NO boom boxes. OARS is not responsible for lost, stolen, water damaged, or broken property of any kind. 3. Student athletes will promptly and politely respond to all coaches with respect and courtesy. All parents are to be treated with respect and courtesy at all times while on OARS property or at regattas. 4. Athletes are fully expected to attend all scheduled OARS activities, and practices (including land training), unless their coach has approved their absence. If an athlete has an illness or other unplanned event, which requires their absence from an OARS activity or practice, the athlete must call or their coach with as much advance notice as possible. 5. All forms of alcohol, tobacco and/or illegal drugs are strictly forbidden. 6. Rowers shall adhere to the team dress/uniform policy while attending and participating in all OARS activities/regattas/while on team travel. 7. Rowers shall be considerate and careful when: (a) using OARS property, and /or (b) using another rower's property, and will not cause deliberate damage to any such equipment or property. REGATTA RULES 8. No student athlete, under ANY circumstances, will drive him/herself to any away regatta. The team will be transported to and from regattas by OARS parents/coaches, or via team bus for long distance trips. Athletes are expected to arrange for their own rides prior to the regatta. Carpooling is encouraged. Once assigned to a vehicle, the rower must return with that same vehicle unless other arrangements are made and approved in advance with the coach. 9. All athletes are expected to attend all regattas unless the coach has previously approved the rower s absence. 10. All athletes are to remain with the team at all regattas. Athletes will remain for the last event in which OARS has an entry and assist with de- rigging and loading boats and equipment unless otherwise approved by the coach. 11. The OARS tent is for the use of OARS rowers only. No parents, siblings, girlfriends, boyfriends, or other friends (non- OARS team members) or pets are allowed under the team tent at any time or place. Rowers currently on suspension from OARS shall not be allowed under the team tent at OARS activities/regattas. 12. Rowers are to refrain from public Displays of Affection (kissing, petting, inappropriate touching). 13. Rowers shall adhere to the team dress/uniform policy while attending and participating in all OARS activities/regattas/while on team travel. 6

7 AWAY REGATTA RULES OARS RULES (pg. 2) 14. Keep noise within the normal range. 15. No throwing objects on the bus or in any hotel. 16. Pick up all trash in the bus or hotel room, even if it isn t yours. 17. No rough play, running or game playing in the halls, etc. Be respectful of other hotel guests. Destruction of hotel property will not be tolerated. Any intentional damages to buses, hotels, and other parent/rower personal property shall be paid for by the rower(s) responsible for the damage, and the rower(s) shall be subject to disciplinary action. 18. Any videos/music played on the bus must be generally acceptable and age appropriate for middle school/high school aged students, and shall be approved by the coaches, program directors or chaperones prior to being played on the bus. 19. Chaperones, bus drivers and coaches are to be treated with respect at all times. 20. Rowers must be in their room at designated curfew times (to be determined by the coaches). There will be no changes in hotel room assignments unless approved by the rower s coach. 21. Rowers may not leave their hotel room after set curfew. If there is an emergency, rowers must call their chaperone. Chaperones and coaches will conduct bed checks. Rowers will be given the room number and cell phone number of their chaperone. 22. No long distance calls are to be made from the hotel rooms, unless using calling cards or calling collect. 23. Rowers may not leave the hotel premises for any reason, unless accompanied by their parent, guardian, designated driver or chaperone and with notification to and approval of their coach. 24. Return all room keys at checkout (usually in the morning the day of the regatta). 25. Any misbehavior or violation of the OARS Rules or OARS Code of Conduct at any time during team travel may result in disciplinary action. 7

8 ROWER & PARENT RESPONSIBILITIES Financial Obligations Mailed checks must be received by the club before the 20 th of each month to avoid rower being sent home for not being current and paid up. If you have any questions regarding the dues payment schedule or discounts, please contact the OARS Financial Secretary (refer to the OARS Handbook located on the website for contact information). Please save a copy of the dues payment schedule. Rowers will not be allowed to participate in any OARS activities if financial obligations are not current. If your rower withdraws from OARS for any reason, you are responsible for all financial obligations until written ( ) notice is received and acknowledged by the coach. Upon a written/ ed request to the OARS Financial Secretary, a pro- rated refund may be made to families who have made annual or semi- annual payments if their rower formally withdraws from the club before the end of the payment period (regular rowing season), or takes a leave of absence from OARS, or is out on grade suspension, or is out on injury/ prolonged illness, etc. Rowers out for temporary/short- term disciplinary actions shall not be entitled to any pro- rated refunds. Report Cards As students- athletes, OARS Rower's first priority must be academics. Therefore, in order for rowers to participate in OARS, they must attain and maintain grades as described below: Rowers must have a cumulative GPA of at least 2.0 (unweighted) at the start of the season (August). Rowers must maintain a 2.0 GPA or higher (unweighted) for each quarterly grading period thereafter. Rowers must present OARS with a current copy of their grades at the end of each quarterly grading period. If a rower's grades fall below a 2.0 GPA (unweighted) for any quarterly grading period they will not be permitted to participate in any OARS activities until the end of the next quarterly grading period, and then only if the current quarterly grading period GPA is above 2.0 (unweighted) The GPA is based on each individual quarterly grading period, and NOT any cumulative GPA. Student report cards are due to OARS one week after they become available. If a Rower fails to present their grades to OARS within one- week of grades being issued; they will not be able to participate in any team practices or regattas until proof of a 2.0 (unweighted) GPA is presented to OARS. Failure to comply with the requirement to submit grades in a timely fashion will result in your rower being unable to participate in OARS and the Rower will be sent home until grades are received. Report cards must be placed in the FORMS box in the boathouse - no later than 7 days after they are issued. Students from private or non- traditional educational settings must follow the 7 day rule or present a plan to OARS providing for the timely review of their academic progress. Regatta Transportation It is the parent's responsibility to transport, or arrange for transportation, for your rower to all regattas/events unless OARS will be traveling as a team via team bus. Unless the OARS coaches otherwise notify the entire OARS team no student athlete, under any circumstances, shall drive him/herself to/from any regatta. The team will be transported to and from regattas by OARS parents/coaches, or via team bus for long distance trips. Athletes are expected to arrange for their own transportation prior to regattas. Carpooling is strongly encouraged. Once assigned to a vehicle/parent/coach, rower must return with that same vehicle/parent/coach unless other arrangements are made and approved in advance with parent or coach. 8

9 ROWER & PARENT RESPONSIBILITIES (pg. 2) Volunteering at OARS OARS is completely run by our parent volunteers. We always need more help! There are many committees you may volunteer to be part of and serve on. Please try to attend the monthly parent/board of Directors meetings (normally 1st Tuesday of the month). You may also serve as a boathouse parent, to help keep our rowers and boathouse safe and running efficiently on a daily basis. All OARS families are asked to work one half- day shift at the rower food tent over the course of each season. All OARS families are expected to volunteer in some capacity and take part in the OARS Invitational Regatta in March of each year (annual date is TBD). Please check your often. is our primary means of communication. Please especially look out for the Weekly Update, which should appear in inboxes every Monday evening. Withdrawal from OARS If your rower resigns from OARS for any reason, including illness or injury, you must notice to the coach, Program Director, and/or Financial Secretary (refer to the OARS Handbook located on the website for contact information). You are still responsible for all financial obligations to OARS until the withdrawal notice ( or written communication) is received and acknowledged by OARS. OARS Fundraisers All Competitive Youth Team rowers are required to actively participate in all OARS fundraising activities (e.g. car washes, etc.) scheduled by OARS. Middle School rowers are strongly encouraged to participate. Unisuits/Team Uniform Each Competitive Youth Team rower is required to purchase a team uniform (unisuit/team shirt) at a cost of $90 if ordered with the initial fall order in September. Any unisuit order afterward will be $95. This fee is typically due by the end of September/early October. 9

It is understood that this authorization is given in advance of any specific diagnosis, treatment or agent(s) to give specific consent to any and all such diagnosis, treatment or hospital care which physician, meeting the requirements of this authorization, may, in the exercise of his/her best judgment deem advisable. I hereby authorize any hospital that provided treatment to the above named minor to surrender physical custody of such minor to my above named agent(s) upon completion of treatment. This form gives us your permission for your child to be in OARS informational or promotional sites or materials for current or future use. In granting such permission, (I) (We) give to OARS all right, title and interest (I) (We) may have in the pictures, negatives, reproductions or copies of the Images and waive any and all right to approve of the use of the Images and waive any right to compensation for the publication or other use of the Images.
